What the Feasibility Report Template Is and When to Use It

A Feasibility Report Template is a structured document used to assess the viability of a proposed project or investment. It summarizes objectives, scope, technical requirements, cost estimates, schedule projections, risk analysis, and recommended next steps. Organizations use this template to compare alternatives, inform stakeholders, and support go/no-go decisions. A well-prepared report clarifies assumptions, identifies critical success factors, and provides the factual basis needed for budgeting, permitting, and funding discussions across public and private sectors.

Why a Standardized Feasibility Report Adds Value

Using a consistent template reduces ambiguity, speeds review, and ensures essential analyses are included. It helps decision makers compare options on a like-for-like basis and documents assumptions for later audit or revision.

Why a Standardized Feasibility Report Adds Value

Who Prepares and Reviews Feasibility Reports

Typical contributors and reviewers span project teams, financial analysts, subject-matter experts, and organizational approvers.

  • Project managers and planners: compile scope, schedule, and resource estimates for internal review.
  • Financial analysts and accountants: validate cost models, conduct sensitivity testing, and assess funding options.
  • Technical leads and engineers: evaluate technical feasibility, required permits, and implementation risks.

Final reviewers usually include senior management, investors, or public-sector officials who authorize proceeding to design, procurement, or funding stages.

Core Sections to Include in a Professional Feasibility Report

A complete template organizes the study into consistent sections so reviewers can find critical information quickly and compare alternatives objectively.

Executive Summary

One-page synopsis of purpose, recommended option, key findings, high-level cost and timeline to enable fast executive decision making.

Scope & Objectives

Clear description of project boundaries, goals, assumptions, exclusions, and success criteria used throughout the analysis to avoid scope creep.

Technical Assessment

Evaluation of technical options, required infrastructure, permit needs, major dependencies, and feasibility constraints affecting implementation.

Financial Analysis

Detailed capital and operating cost estimates, revenue assumptions, funding sources, payback or NPV calculations, and sensitivity scenarios.

Risk & Compliance

Identification of major risks, mitigation measures, regulatory obligations, and any environmental, safety, or statutory constraints.

Recommendation

Actionable next steps, preferred alternative, estimated timeline, required approvals, and a short list of conditions for go/no-go.

Step-by-Step: Completing the Feasibility Report

Follow this sequence to gather inputs, produce the analysis, and deliver the final report for decision.

  • 01
Gather Inputs: Collect scope, technical data, and cost quotes from stakeholders.
  • 02
Run Analyses: Complete financial models and risk assessments, including sensitivity checks.
  • 03
Draft Report: Write sections, create charts, and document assumptions clearly.
  • 04
Review & Approve: Circulate to approvers, record feedback, and obtain final sign-offs.

Configuring an Electronic Workflow for the Template

Set up a repeatable online workflow to assign roles, route approvals, and capture signatures reliably.

Field Configuration
Role assignment Map reviewer, approver, and preparer roles with email addresses
Conditional review Enable conditional routing based on decision choices
Required attachments Specify supporting documents that must be uploaded before submission
Audit capture Turn on timestamp, IP, and action logging for each step

Typical Submission and Approval Flow

A simple digital flow shortens review cycles and preserves an auditable trail of decisions.

  • Prepare: Author completes template and attachments
  • Route: System sends review requests to stakeholders
  • Sign: Approvers apply electronic signatures
  • Archive: Final PDF and audit trail stored securely

Technical Considerations for Digital Completion

Pick a platform that supports common file formats, secure storage, and integration with existing systems.

  • File formats: PDF, DOCX, XLSX supported
  • Integrations: CRM, ERP, cloud storage connectors
  • Authentication: Email, SMS, or advanced MFA

Ensure the platform you choose supports audit trails, retention settings, and any required compliance addenda for your industry.

Typical Timelines and Review Deadlines

Define target dates to keep the feasibility process on schedule and coordinate stakeholder availability.

Initial assessment:

Complete within 2–4 weeks of project kickoff

Stakeholder review:

Allow 7–14 days for technical and financial reviewers

Final recommendation:

Target board or funding decision within 4–8 weeks

External approvals:

Permitting or regulatory reviews vary by jurisdiction

Contracting start:

Begin procurement after formal go/no-go approval

Key Milestones from Study to Approval

Sequence the following milestones to show progress from conceptual review to formal approval.

01

Project Kickoff

Define scope, timeline, and responsible parties

02

Data Collection

Gather technical specs, quotes, and site information

03

Analysis Complete

Deliver financial model, risk matrix, and alternatives

04

Decision Point

Executive or board issues final go/no-go

Common Mistakes to Avoid When Preparing the Report

  • Using inconsistent cost bases across alternatives can invalidate direct comparisons and lead to poor decisions.
  • Failing to document assumptions and data sources makes the report difficult to audit or update later.
  • Skipping sensitivity or scenario analysis understates risk and can result in scope or budget overruns.
  • Delaying stakeholder review until the final draft increases rework and lengthens the approval timeline.

Security and Compliance Features to Note

In-transit encryption: TLS 1.2/1.3
At-rest encryption: AES-256
Audit trail: Timestamp and IP logging
Regulatory compliance: ESIGN and UETA adherence
Healthcare-ready: HIPAA BAA available
Certifications: SOC 2 Type II, ISO 27001

Consequences of an Inaccurate or Incomplete Report

Project delay: Missed approvals increase schedule risk
Cost overruns: Underestimated budgets lead to funding shortfalls
Contractual liability: Incorrect data can trigger claims
Regulatory fines: Noncompliance with statutory rules may cause penalties
Funding loss: Investors may withdraw support
Tax exposure: Erroneous tax reporting risks IRC penalties
