What the Film Graphics Approval Form Is

The Film Graphics Approval Form documents stakeholder review and sign-off on artwork, titles, credits, lower-thirds, visual effects overlays, and printed graphics used in a film or video production. It records version numbers, approval status (approve/reject/revise), usage rights, and delivery formats so production, post, legal, and marketing teams have a single source of truth for what appears on screen or in printed materials.

Why a Formal Approval Record Matters

A standardized Film Graphics Approval Form reduces rework, clarifies rights and usage, and creates an auditable trail for distribution and clearance. It protects production schedules, minimizes printing or VFX delays, and preserves the evidence needed if disputes or regulatory questions arise.

Why a Formal Approval Record Matters

Who typically completes and signs this form

Use role-based signing order when multiple approvals are required so each team sees only the fields relevant to them.

  • Production Designer — Confirms final art and placement for on-set graphics and props.
  • Post Supervisor — Verifies VFX overlays, timing, and rendered formats for delivery.
  • Legal/Clearance Officer — Confirms trademark and rights clearance for any third-party assets.

Core elements to include on a professional form

A complete Film Graphics Approval Form groups identification, versioning, asset details, approvals, and legal language so reviewers can act quickly without ambiguity.

Asset ID

Unique identifier for each graphic (e.g., Scene_Shot#_GraphicID) so teams track the correct file through revisions and delivery.

Version & Date

Version number and MM/DD/YYYY effective date to distinguish iterative proofs and determine which artwork is approved for final use.

Description

Short description of the graphic, resolution, color profile, and placement (on-screen coordinates or print trim) to prevent format mismatches.

Usage Rights

Summary of rights granted (territory, duration, media) and any third-party license terms that affect distribution or archiving.

Approval Matrix

Named signers, role, decision (Approve / Approve with Changes / Reject), date, and optional comments for each review step.

Attachments

File references (filename, checksum, or signed PDF) and delivery format (ProRes, PNG, PDF/X) required for final distribution and archival.

Step-by-step: completing and routing the form

Follow a clear sequential workflow so approvals occur in the right order and artifacts attach correctly.

  • 01
Prepare: Populate asset ID, attach art files, and add version number.
  • 02
Assign Reviewers: Add signers in role order and set field permissions per role.
  • 03
Collect Approvals: Send for signatures and capture decisions and comments.
  • 04
Archive: Save final signed PDF and linked master art in the project archive.

Typical digital workflow configuration

Configure your digital approval workflow for predictable routing, authentication, and archival.

Field Configuration
Routing Order Sequential by role or parallel for nonblocking reviews
Authentication Email link with optional SMS code or organization SSO
Expiration Set a 7–30 day expiry for outstanding approvals
Attachments Require embedded proof files (PDF/PNG/TIFF) with checksums

Where the form goes after completion

Define destinations and recipients so the signed record is available to downstream teams without manual handoffs.

  • Production Archive: Final signed PDF saved to project folder for master asset reference.
  • Post/Editing: Post receives approved artwork and format instructions for final render.
  • Legal/Clearance: Legal stores the approval and linked license documents for audit.
  • Vendor/Printer: Approved print-ready files sent to vendor with signed approval slip.

Technical requirements for eSubmission and signing

Ensure the chosen platform provides an audit trail, tamper-evident signed PDFs, and retention controls to meet legal and archival needs.

  • File formats: PDF, DOCX, PNG, TIFF are standard for artwork and proofs.
  • Integrations: Connectors for Google Workspace, Box, NetSuite, or Procore reduce manual uploads.
  • Authentication: Email link, SMS code, or enterprise SSO for signer identity verification.

Security and compliance features to check

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamp, IP, and action log recorded for each signer
Access Controls: Role-based permissions and SSO/SAML support
HIPAA: BAA available for protected health information where applicable
21 CFR Part 11: Support for FDA-regulated recordkeeping and e-signature controls
Certifications: SOC 2 Type II and ISO 27001 attestations

Common preparation mistakes to avoid

  • Using inconsistent asset identifiers across proofs leads to wrong-file approvals and reprints.
  • Omitting license or clearance references causes legal delays during distribution.
  • Failing to attach print-ready files results in mismatched color profiles or trim errors.
  • Routing approvals without defined roles can delay sign-off and block production schedules.

Risks and consequences of incorrect approvals

Production Delay: Missed release windows and increased costs
Reprint Costs: Additional vendor expense for corrected physical materials
Copyright Exposure: Unauthorized use of third-party assets can trigger takedowns or claims
Contract Disputes: Ambiguous approvals may lead to liability between vendors and production
Regulatory Risk: Noncompliance with advertising or broadcast rules may result in fines
Record Loss: Insufficient retention hinders audit or indemnity defense

Typical timing expectations for approvals

Set explicit deadlines on the form and in routing notices so reviewers understand the cadence and impact of late responses.
