What a Film Shooting Agreement Covers

A Film Shooting Agreement is a written contract that sets out terms for on-location or studio production activities, including parties, schedule, location access, compensation, rights to footage, insurance, and indemnities. It documents permissions for property use, assigns responsibilities for permits and safety, and clarifies intellectual property and release rights so producers and location owners share a common expectation before principal photography begins.

Why a Clear Film Shooting Agreement Matters

A formal agreement reduces scheduling disputes, clarifies who secures permits and insurance, protects location owners from liability, and preserves producers’ rights to shoot and exploit footage under agreed terms.

Why a Clear Film Shooting Agreement Matters

Who Typically Prepares and Signs This Agreement

Each signer should have authority to bind their organization and confirm that required permits and insurance will be in place on or before the scheduled shoot dates.

  • Location owners or managers — review access limits, parking, and restoration obligations before granting permission.
  • Producers and production companies — ensure rights, schedules, and insurance commitments are documented to protect the production.
  • Municipal or facility permitting staff — verify insurance, safety plans, and local permit compliance for filming.

Core Sections to Include in a Professional Film Shooting Agreement

A complete agreement groups obligations into clear sections so responsibilities and risks are allocated and enforceable.

Parties

Identify full legal names, business types, and contact information for all parties, including the production company, individual producer, and location owner or facility operator, to avoid identity disputes.

Location & Schedule

Specify precise addresses, permitted areas, shoot dates and start/end times, setup and strike windows, and any noise or curfew restrictions that affect production operations.

Scope of Work

Describe permitted activities, equipment allowed, number of cast/crew, catering, stunts, special effects, and any limitations such as restricted rooms or no-drone zones.

Compensation & Fees

State location fees, payment schedule, deposit amounts, refundable restoration bonds, and how additional overtime or damage costs will be calculated and paid.

Rights & Releases

Detail rights granted for recording, use, distribution, and sublicensing of footage; include model/property release language when required to clear commercial use.

Insurance & Indemnity

Require production liability insurance limits, name location owner as additional insured, and include indemnity obligations for property damage or bodily injury caused by production activities.

Step-by-Step: From Draft to Signed Agreement

Follow a simple sequence to prepare, review, and finalize the Film Shooting Agreement so the production can proceed with documented permissions.

  • 01
Draft: Populate core fields and attach location map or exhibit.
  • 02
Review: Location owner and legal counsel review for risk and access limits.
  • 03
Insure: Producer obtains COI and Additional Insured endorsement.
  • 04
Sign: Collect signatures from authorized signers and distribute executed copies.

How to Configure an Online Signing Workflow

Set up a simple, auditable workflow to collect signatures, verify identities, and distribute the executed agreement to all parties.

Field Configuration
Signer Order Define sequence: production first, then location owner, then municipal permit officer if required
Authentication Use email plus optional SMS code or ID verification for high-risk locations
Attachments Require COI, permits, and site map as mandatory upload fields
Notifications Enable automatic reminders and final executed PDF distribution to all parties

Digital Signing and Secure Distribution Options

Ensure the chosen provider supports required compliance (HIPAA if health data is involved), audit logs, and the ability to export executed documents for municipal records.

  • File types: PDF, DOCX supported
  • Integrations: Google Drive, Box, NetSuite
  • Security: AES-256 at rest

Typical Execution Flow for an Electronic Film Shooting Agreement

A clear online flow reduces turnaround time and preserves evidence of consent and execution for both parties.

  • Upload: Sender uploads agreement and exhibits
  • Place Fields: Add signature, date, and attachment fields
  • Invite: Send signer emails or share signing link
  • Complete: Signers finish signing; system issues completed PDF

Key Deadlines and Timing Considerations

Track municipal permit lead times, insurance deadlines, and payment milestones to avoid delays or permit denials.

Permit Application Lead Time:

Varies by city; submit weeks to months in advance

Insurance Certificate Due:

Provide COI before first day of setup

Deposit Due:

Pay according to contract schedule to reserve date

Final Walkthrough:

Schedule pre-shoot site check 24–72 hours prior

Record Retention:

Keep executed agreement accessible for statutory retention period

Milestone Timeline from Booking to Wrap

Use a milestone view to coordinate permit approvals, insurance, equipment delivery, and production day activities.

01

Booking Confirmed

Production reserves date and pays deposit per contract.

02

Permits Secured

Local permits and street closures approved before setup.

03

On-Site Setup

Equipment and crew arrive during approved setup window.

04

Strike and Restoration

Restore premises and confirm owner acceptance after strike.

Common Preparation Mistakes to Avoid

  • Failing to secure an Additional Insured endorsement on the production policy, leaving the location owner exposed to uncovered claims.
  • Using vague location descriptions or failing to attach a site map, resulting in disputes about which areas were authorized for use.
  • Not aligning municipal permit timelines with the production schedule, causing last-minute cancellations or fines.
  • Overlooking restoration obligations or cleanup deposits, which can lead to withholding of refunds or disputes after the shoot.

Potential Consequences of an Incomplete or Incorrect Agreement

Permit Denial: Loss of shoot date
Insurance Lapse: Exposure to uninsured claims
Copyright Claims: Legal disputes over footage use
Indemnity Exposure: High defense and settlement costs
Schedule Delays: Increased production costs
Payment Disputes: Potential litigation or lien filings
