What the Finance Dealer Card Is and when it's used

A Finance Dealer Card is a standardized document used by vehicle dealers and finance departments to record buyer identity, vehicle details, financing terms, and assignment data for lenders. It consolidates the purchaser's legal name, tax identification, vehicle identification number (VIN), sale price, APR and term, down payment, and lender assignment fields. Dealers use it to support credit decisions, title processing, payoff posting, and lender submissions. Where allowed, the Finance Dealer Card can be executed electronically under federal and state e-signature law when consumer-disclosure requirements are met.

Why a consistent Finance Dealer Card matters

A clear, complete Finance Dealer Card reduces processing delays, cuts data-entry errors, and provides a consistent audit trail for lender submission and title work while supporting enforceability when properly signed and retained.

Why a consistent Finance Dealer Card matters

Typical users and signers of the Finance Dealer Card

The document is completed and signed by multiple parties across the retail auto finance workflow.

  • Dealer Sales and Finance Managers — Prepare buyer and vehicle data, calculate finance terms, and obtain buyer acknowledgements.
  • Buyers and Co-signers — Provide identity, TIN/SSN, consent to financing, and signature for credit and title purposes.
  • Lenders and Title Clerks — Review, accept assignment, and use the card to process funding and title transfer.

Roles vary by dealership size; some large dealers use distinct title clerks or third-party processors to finalize submissions.

  • 02
Enter Data: Populate buyer, vehicle, and finance fields; verify VIN and TIN for accuracy.

Digital flow for eCompletion and submission

A typical eSubmission reduces handoffs: prepare, authenticate, capture signatures, then archive with an audit trail.

  • Upload Document: Add the completed template as PDF or DOCX for field placement.
  • Place Fields: Insert signature, initial, date, and required conditional fields in the file.
  • Authenticate Signer: Use email link, SMS code, or higher-level authentication if required.
  • Finalize & Archive: Capture completion certificate and store with document retention metadata.

Technical requirements for online completion

Choose a platform that supports PDF/DOCX upload, field placement, secure storage, and a compliant audit trail.

  • File Formats: PDF and Word DOCX are commonly accepted for template preparation.
  • Integrations: CRM and ERP integrations support automated routing and record updates.
  • Authentication: Email, SMS, or advanced signer verification options reduce fraud risk.

Platforms that integrate with systems such as Salesforce, Microsoft 365, NetSuite, and cloud storage reduce manual reconciliation and support secure eSubmission.

Recommended online workflow settings

Configure your eWorkflow to enforce required fields, capture authentication, and retain an audit log for each completed card.

Field Configuration
Required Fields Enforce buyer name, VIN, APR, SSN/TIN

Common preparation errors to avoid

  • Entering buyer name differently than their ID or credit report causes lender rejections and delays title issuance.
  • Mistyping a VIN or omitting odometer disclosure creates registration and warranty disputes.
  • Using initials or incomplete signatures when full execution is required can void portions of the agreement.
  • Failing to capture consent for electronic records where consumer-facing disclosures are required risks enforceability.

Potential penalties and legal risks

Incorrect TIN: May trigger 24% backup withholding and payment delays
Missing Disclosure: TILA or state disclosure failures can lead to statutory damages
Improper Notarization: Invalid notary acts can void title-related filings
Late Filings: Delays in lien filing can affect priority and creditor rights
Identity Fraud: Insufficient signer authentication increases fraud exposure
Retention Violations: Failing to retain records risks administrative penalties
