What the Financial Physical Statement Is and when it’s used

A Financial Physical Statement is a structured record summarizing an individual’s or entity’s tangible financial position at a defined date, typically listing cash, bank balances, physical assets, inventory, accounts receivable, liabilities, and contingent obligations. Lenders, underwriters, auditors, and internal finance teams use it to assess collateral, liquidity, and solvency when evaluating credit, collateral recovery, insurance adjustments, or asset-backed transactions. The document can be a standalone form or part of a broader financial package and is often paired with supporting schedules, proof-of-ownership documents, and signatures to establish attribution and accountability.

Why a clear, accurate Financial Physical Statement matters

A precise Financial Physical Statement reduces disputes, speeds underwriting, and supports compliance with internal controls and regulatory audits by providing a verifiable snapshot of physical assets and related obligations.

Why a clear, accurate Financial Physical Statement matters

Who prepares and relies on this statement

Typical preparers and recipients span finance teams, lenders, insurance adjusters, and legal counsel.

  • Corporate finance teams preparing collateral schedules and balance reconciliations for lending relationships.
  • Commercial lenders and credit analysts evaluating secured loan applications or collateral coverage.
  • Insurance adjusters and underwriters documenting physical asset condition and replacement value.

Accuracy matters for every recipient; use consistent formats and supporting evidence to avoid processing delays.

Primary signers and approvers

Chief Financial Officer

The CFO or delegated finance officer certifies the statement’s completeness, signs to attest that schedules match accounting records, and ensures required attachments (titles, invoices, inventory lists) are included for lender or insurer review.

Authorized Signer

An operations manager or designated officer may sign on behalf of a business entity under corporate authorization, confirming factual accuracy and granting permission for third-party verification such as asset inspections or lien searches.

Core sections every professional Financial Physical Statement should include

A well-structured statement groups information for easy review and verification, reducing time needed for underwriting and audit checks.

Cover Summary

One-page summary with reporting date, preparer name, purpose of statement, and total asset and liability tallies for quick decisioning by reviewers and approvers.

Asset Schedule

Detailed listing of tangible assets by category (equipment, inventory, real property, vehicles) including descriptions, serial numbers, location, and estimated fair market values or book values.

Liabilities

Current liabilities tied to physical assets such as secured loans, leases, liens, and outstanding vendor obligations, with creditor names and balances.

Supporting Attachments

Proof-of-ownership documents: titles, bills of sale, insurance policies, appraisal reports, and recent invoices to substantiate reported values.

Valuation Notes

Methodology and assumptions used for valuation (replacement cost, market value, depreciation schedule) and any pending disputes or contingent exposures.

Signature Block

Signature, printed name, title, date, and notarization or witness lines where required to validate the document for lenders or legal use.

Step-by-step: completing and submitting a Financial Physical Statement

Follow these sequential steps to assemble, verify, sign, and deliver a Financial Physical Statement that meets lender and compliance expectations.

  • 01
Assemble Data: Gather ledgers, invoices, titles, and appraisal reports to support each asset entry before populating the statement.
  • 02
Populate Fields: Enter values, identifiers, and locations; cross-check totals and math for accuracy and internal consistency.
  • 03
Attach Evidence: Attach scanned PDFs of ownership documents, insurance, and third-party valuations to the submission package.
  • 04
Sign and Certify: Have authorized signer execute the form; notarize or witness if required, then submit to the requesting party.

Configuring a digital workflow for this statement

When converting the form to an online workflow, map fields, verification steps, and routing so reviewers receive a complete packet without manual intervention.

Field Mapping Map PDF fields to database columns for repeatable imports and consistency checks.
Conditional Fields Show or hide attachments and notarization fields based on entity type or loan size.
Authentication Require email or SMS codes for signer verification; escalate to KBA for high-risk filings.
Routing Rules Auto-route to operations, credit, and legal teams in parallel or sequential order as required.
Retention Policy Attach retention metadata so completed packets are archived according to regulatory timelines.

Where to send the completed statement and how submission works

Submission channels vary by recipient; document the recipient, preferred delivery format, and whether notarized originals are required.

  • Prepare: Compile statement, attachments, and certification pages into a single PDF package.
  • Sign: Execute signatures electronically or in person; include notarization if requested by lender or regulator.
  • Deliver: Send via secure file transfer, an authorized eSignature platform, or hard-copy courier when originals are required.
  • Confirm: Obtain a delivery receipt or signed acknowledgement from the recipient for the file transfer or physical delivery.

Digital submission considerations and platform requirements

Choose a platform that supports secure upload, evidence attachments, signature audit trails, and required authentication methods.

  • Integrations: Salesforce, NetSuite, Microsoft 365 integrations reduce manual entry.
  • File Types: PDF, DOCX, and XLSX are commonly supported formats.
  • Security: TLS encryption and AES-256 at rest are standard requirements.

Timing expectations and common processing timeframes

Know and communicate expected review windows so preparers deliver complete packets and recipients can schedule inspections or appraisals.

Response on Request:

Provide the statement within 10–30 business days unless the requester sets a different deadline.

Annual Reviews:

Many lenders require an updated statement annually or upon material change in collateral.

Appraisal Scheduling:

Allow 7–21 days for third-party appraisals or site inspections in typical commercial cases.

Notary or RON:

If notarization is required, factor in scheduling; RON sessions can be arranged within 1–5 business days.

Internal Approvals:

Internal underwriting and legal review typically add 3–10 business days depending on complexity.

Common preparation errors to avoid

  • Omitting serial numbers or VINs for equipment increases verification time and may reduce accepted value.
  • Using inconsistent valuation methods across asset classes causes reconciliation errors and lender queries.
  • Failing to attach titles, bills of sale, or appraisal reports often forces requests for supplemental documentation.
  • Incorrect signer authority or unsigned certification pages can render the statement invalid for legal or lending use.

Real-world examples of how the statement is used

Two practical scenarios show how organizations apply the statement to support lending and operational needs.

Martin Properties

Property portfolio summary prepared for a lending renewal

  • Included titles and recent appraisals, 15 assets
  • The completed statement allowed the lender to reconfirm collateral coverage remotely, reducing in-person inspections and accelerating the renewal process by several days.

Fertility Centers of Illinois

Equipment inventory prepared for an equipment lease

  • Itemized serials and maintenance logs
  • Providing detailed supporting documents and an audited schedule helped finalize funding and provided the lessor with clear repossession instructions if needed.

Practical tips for accurate and efficient completion

Adopt a consistent format, validate attachments before submission, and use verification checks to reduce processing time and downstream risk.

Standardize formats
Use consistent valuation methods and a single template for all submissions to simplify review and reduce reconciliation errors across reporting periods.
Verify attachments
Confirm titles, invoices, and appraisals are legible, dated, and match reported items before finalizing the package to avoid requests for supplements.
Record authority
Maintain corporate resolutions or power-of-attorney documents that authorize signers to execute statements on behalf of the entity to prevent acceptance delays.
Use audit trails
When submitting electronically, include a vendor-generated audit trail showing signer identity, timestamps, and delivery receipts to establish attribution and integrity.
