What a Financial Scanner Order Is

A Financial Scanner Order is a formal request that authorizes a provider to scan, index, and deliver financial records in digital formats for recordkeeping, review, or regulatory purposes. Typical documents include bank statements, invoices, tax returns, payroll records, and contracts. Orders specify scan resolution, OCR processing, indexing metadata, retention instructions, and secure delivery methods such as encrypted file transfer or eSubmission. Properly completed orders reduce manual handling, preserve legibility, and create an auditable digital record suitable for electronic signatures and long-term storage under applicable U.S. retention rules.

Why Standardize Your Scanner Orders

Use a Financial Scanner Order to ensure consistent capture, secure handling, and searchable storage of financial records. Standardized orders reduce processing errors, support compliance with ESIGN and UETA recordkeeping expectations, and improve audit readiness while lowering physical storage and retrieval costs.

Why Standardize Your Scanner Orders

Who Typically Prepares and Receives These Orders

Primary users include records managers, finance teams, auditors, custodial vendors, and third-party scanning services that manage digital conversions.

  • Records managers who set indexing, retention, and chain-of-custody requirements for scanned financial files.
  • Finance and accounting teams requesting searchable copies of invoices, payroll reports, and bank statements.
  • External auditors and compliance officers needing verifiable records during reviews or regulatory examinations.

Confirm role, approval authority, and access levels on the order so recipients know permissions and delivery expectations.

Core Sections to Include in Every Financial Scanner Order

Essential sections of a Financial Scanner Order define scope, quality, indexing, security, delivery, and retention specifications for scanned records and handling protocols.

Scope

Specify which document types, date ranges, account numbers redaction requirements, and order of priority for scanning. Clearly list folders or boxes to avoid omissions and reduce rework.

Quality

State required resolution (DPI), color mode, acceptable file formats (PDF/A preferred), OCR accuracy targets, and image enhancement settings. Include verification steps and re-scan thresholds for illegible originals.

Indexing

Define metadata fields such as account number, client name, document date, document type, and tags. Specify filename conventions and whether OCR-extracted text is stored for search.

Security

Require encrypted transfer, access controls, role-based permissions, and retention of an audit trail. Indicate if HIPAA protections or a Business Associate Agreement (BAA) apply to sensitive health records.

Delivery

Specify delivery method (secure FTP, encrypted cloud share, or physical media), notification procedures, and acceptable file package structure. State whether signed digital certificates must accompany files.

Retention

Include retention duration, disposition instructions, and whether originals are returned or destroyed. Reference statutory retention requirements for tax, payroll, and HIPAA records where applicable and include audit hold procedures.

Step-by-Step: From Order to Delivered Scans

Follow these steps to prepare and submit a Financial Scanner Order for secure, compliant digital conversion and delivery.

  • 01
Gather Documents: Collect all records, separate by type, remove staples.
  • 02
Define Scope: List date ranges, accounts, and exclusions.
  • 03
Specify Settings: Choose DPI, color, OCR, and file format.
  • 04
Confirm Delivery: Select secure transfer method and recipient access.

Typical Online Order Form Settings

Configure your online order form to collect necessary specifications and automate vendor routing for efficient processing.

Field Configuration
Scan Resolution 300–600 DPI; color for images, grayscale for text
File Format PDF/A preferred; include searchable OCR text
Index Fields Account, client name, date, doc type, page count
Delivery Method Secure FTP, encrypted cloud share, or physical media

How the Order Progresses Through the Vendor

Typical Financial Scanner Order workflow shows the path from order creation through scanning, quality control, and secure delivery to recipients.

  • Create Order: Specify scope, formats, and metadata fields.
  • Provider Acceptance: Vendor confirms resources, turnaround time, and cost.
  • Scanning: High-resolution capture and OCR processing performed.
  • Delivery: Encrypted transfer plus audit trail provided.

Platform and Integration Considerations

Deliver scanned output using platforms and integrations that support secure transfer, searchable PDFs, and access controls.

  • File Formats: PDF, PDF/A, TIFF supported
  • Integrations: Salesforce, NetSuite, Google Workspace, Box
  • Authentication: Email link, SMS code, or SSO

Common Preparation Pitfalls

  • Incomplete scope details—omitted folders, date ranges, or document types lead to missing records and extra scanning cycles.
  • Poor OCR setup—low DPI or wrong color settings reduce text recognition accuracy and increase manual correction workload.
  • Insufficient authentication—orders that fail to specify signer identity or access levels can produce noncompliant records.
  • Ignoring retention laws—not aligning retention instructions with IRS or HIPAA rules can cause legal exposure.

Security and Compliance Basics to Specify
