What the Fire Safety Plans Check Is

A Fire Safety Plans Check is a structured checklist and supporting document used to verify that a building's fire safety plans meet code, permit, and insurer requirements. It records floor plans, evacuation routes, detection and suppression system details, occupant loads, and maintenance schedules. The check is completed by building owners, fire protection consultants, contractors, or reviewing authorities to document compliance before occupancy, after renovation, or during periodic inspections. The resulting record supports permitting decisions, insurance underwriting, and enforcement actions.

Why a Fire Safety Plans Check Matters

Completing a Fire Safety Plans Check documents compliance with building and fire codes, reduces safety risks, and creates an audit trail suitable for inspections, permitting, and insurance review. Electronic completion preserves records and supports consistent review workflows.

Why a Fire Safety Plans Check Matters

Who Typically Completes a Fire Safety Plans Check

Signers may include authorized facility representatives, licensed engineers, or the authority having jurisdiction depending on local rules.

  • Building owners and property managers responsible for maintaining life-safety systems and submitting plans to local authorities.
  • Fire protection engineers or consultants preparing technical documentation and verifying system details against applicable codes.
  • Contractors and installers recording as-built fire suppression and alarm information for permits and inspections.

Core Components of a Professional Fire Safety Plans Check

A professional check captures both schematic and administrative data so reviewers can confirm compliance quickly and reliably.

Plan Overview

High-level project identification, scope, building type, and plan version so reviewers can match the checklist to the correct submission and revision history.

Floor Plans

Scaled floor layouts showing exits, corridors, room uses, and travel distances to confirm egress paths and code-required clearances.

Suppression Systems

Details on sprinkler zones, type, design density, hydraulic calculations, and last service date to validate system readiness and coverage.

Alarm & Detection

Alarm system type, device locations, notification appliances, monitoring provider, and test records used to assess detection and notification capability.

Occupant Loads

Calculated occupant loads by space and overall building load that determine exit sizing, number of exits, and fire-resistance requirements.

Compliance Records

Permits, inspection logs, maintenance tags, and certifications that demonstrate ongoing compliance and support auditor review.

Essential Data Fields

Facility Name: Exact legal name
Address: Street, city, state, ZIP
Owner Contact: Name and phone
Plan Version: Version or revision
Date: MM/DD/YYYY
Authorized Signer: Name and title

How to Complete the Fire Safety Plans Check

  • 01
Gather documents: Collect plans, system specs, and recent inspection reports.
  • 02
Populate fields: Enter facility data, plan version, and dates accurately.
  • 03
Annotate plans: Mark exits, detection, and suppression equipment clearly.
  • 04
Sign and submit: Obtain authorized signature(s) and route to AHJ or reviewer.

Set Up an Online Review Workflow

Configure a digital workflow so stakeholders receive the right fields and reviewers get an auditable submission.

Archive Location Store signed records in a secure, access-controlled repository.

Where to Send the Completed Check

The submission destination depends on the purpose: permitting, internal recordkeeping, insurance, or inspection follow-up.

  • Local Fire Authority: Submit for permit review or official acceptance.
  • Building Department: File with the municipality if tied to occupancy permit.
  • Insurance Provider: Provide to underwriter for risk assessment.
  • Internal Records: Store in facilities or safety management system.

Typical Timelines and Processing Expectations

Processing times and deadlines vary by jurisdiction and submission type; plan ahead for review windows and revision cycles.

Initial Submission Timing:

Submit prior to final occupancy inspection or permit approval.

Local Review Window:

Allow 10–30 business days for municipal review depending on workload.

Responses to Comments:

Respond to reviewer requests within 10 business days where possible.

Annual Updates:

Update plans annually or after material building changes.

Emergency Revisions:

Submit amendments immediately after system changes or incidents.

Common Preparation Mistakes to Avoid

  • Submitting outdated floor plans that do not reflect recent renovations leads to reviewer rejection and rework requests.
  • Failing to show clear egress paths or blocking dimensions causes noncompliance findings under most codes and prevents approval.
  • Omitting up-to-date service records for alarms and sprinklers hides maintenance gaps and increases liability during inspection.
  • Using ambiguous occupant loads or failing to document load calculations results in additional requests and possible plan resubmission.

Penalties and Risks of an Incorrect Check

Monetary Fines: Fines and penalties
Permit Denial: Work stoppage risk
Increased Premiums: Higher insurance costs
Civil Liability: Damages exposure
Criminal Risk: Willful violations possible
Reinspection Cost: Additional fees and delays
