What the Franchise Proposal Template Is

A Franchise Proposal Template is a structured business document used by prospective franchisees or brokers to present an offer to a franchisor. It summarizes the applicant's background, financial capability, proposed territory, initial investment and requested terms, and includes proposed timelines for negotiation and opening. The template standardizes key data for review, supports consistent comparison across candidates, and serves as the basis for drafting or negotiating the formal franchise agreement when the franchisor indicates interest.

Why a Clear Proposal Matters

Using a formal Franchise Proposal Template helps ensure all decision‑critical information is provided up front, reduces back‑and‑forth, and makes it easier for franchisors to compare candidates objectively and follow internal approval processes.

Why a Clear Proposal Matters

Who Typically Prepares or Reviews This Proposal

The Franchise Proposal Template is used by prospective franchisees, franchise brokers, and franchisor review teams during initial vetting.

  • Prospective franchisees preparing an offer and documenting funding sources and experience for franchisor review.
  • Franchise development managers evaluating candidate suitability and territory alignment against the FDD.
  • Business brokers or consultants packaging candidates to present to multiple franchisors.

Use the template to communicate consistent facts and to streamline internal approvals and external negotiations.

Core Sections to Include in a Professional Proposal

A well‑organized Franchise Proposal Template contains sections that provide a clear, verifiable snapshot of the candidate and the offer, making review and next steps straightforward.

Executive Summary

One‑page overview of the candidate, the proposed territory, investment range, and the primary commercial objectives for the franchise.

Applicant Profile

Background on ownership structure, relevant industry experience, key principals, and summary of prior business performance or supporting references.

Financial Snapshot

Confirmed sources of capital, liquid reserves, credit profile, and any financing contingencies that affect closing timelines.

Proposed Terms

Requested franchise fee, expected royalty structure, territory definition, exclusivity requests, and proposed contract start date.

Operational Plan

Projected opening schedule, staffing plan, lease or site status, estimated startup costs, and operational milestones to first revenue.

Supporting Attachments

Documents such as financial statements, personal resumes, letters of intent for real estate, and any referenced legal agreements.

Essential Data Elements to Provide

Legal Entity: Full legal name
Contact Information: Phone and email
Financial Metrics: Bank account / assets
Territory: Proposed geography
Investment Amount: Estimated capital
Supporting Docs: Financial statements

Step‑by‑Step: Completing the Franchise Proposal

Follow these four steps to create a complete, review‑ready proposal that minimizes follow‑up questions and supports faster franchisor decisions.

  • 01
Gather records: Collect financials, IDs, leases and resumes before you start.
  • 02
Fill core sections: Complete executive summary, terms, and financial snapshot with exact figures.
  • 03
Attach evidence: Upload signed bank statements, LOIs, and reference letters as PDF attachments.
  • 04
Review and submit: Proofread, confirm signatures, then deliver to franchisor contact.

How to Customize and Submit the Template Online

Set up a digital workflow so the proposal collects required inputs, attachments, and signatures in the correct order.

Field Configuration
Applicant Signature Require signer authentication and date stamp
Attachment Fields Accept PDF/DOCX, make required where needed
Conditional Sections Show financial detail fields only if funding is 'loan'
Routing Route to franchisor rep then legal reviewer

Where to Send or File the Completed Proposal

Identify the appropriate recipient and include required enclosures to ensure the franchisor can begin the review process immediately.

  • Primary Contact: Send to franchisor development or franchise sales representative.
  • Legal Review: Provide a copy to your attorney for pre‑submission review.
  • Franchisor Counsel: Franchisor legal counsel receives final submission for FDD cross‑check.
  • Investor Copies: Share redacted versions with lenders or partners as required.

Digital Signing and File Format Considerations

Use platforms that accept common formats and provide strong audit trails to document intent and consent.

  • Supported Formats: PDF, DOCX, and image files
  • Authentication: Email, SMS, or stronger MFA
  • Integrations: CRM and cloud storage links

Ensure the chosen eSignature workflow captures timestamps, IP addresses and an audit trail so signatures meet ESIGN/UETA standards for attribution and retention.

Typical Timelines and Response Expectations

A clear timeline helps align expectations; individual franchisors set different review windows but the following are common internal milestones.

Initial Review Period:

Franchisor may take 7–21 days to complete first assessment.

FDD Disclosure Waiting:

Allow at least 14 days where FDD disclosure rules apply before signing.

Financial Verification:

Bank reference checks and credit reviews can add 7–14 days.

Site Approval:

Lease negotiation and site approval typically take 30–90 days.

Final Agreement:

Execution and funding often complete within 30 days after approval.

Common Mistakes to Avoid When Preparing the Proposal

  • Submitting incomplete or unsigned attachments that block financial verification and delay review.
  • Using vague territory descriptions that cause overlap disputes with existing franchisees.
  • Overstating available funds without evidence, which typically ends discussions quickly.
  • Failing to route the proposal to the franchisor’s designated development contact.

Risks and Consequences of an Incorrect Proposal

Deal Delay: Extended review
Rejection: Application refusal
Financial Liability: Loss of deposit
Contractual Disputes: Negotiation setbacks
Regulatory Risk: FDD noncompliance
Reputational Harm: Damaged relationships
