What the Fundraising Donor Checklist Is and when to use it

A Fundraising Donor Checklist is a standardized form used by nonprofit staff to record donor information, gift details, acknowledgement status, and any restrictions tied to contributions. The checklist ensures consistent intake of names, contact data, gift amounts, designation (restricted or unrestricted), pledge schedules, and required receipts. It helps development teams meet IRS substantiation requirements and internal finance controls while creating a clear audit trail for donor communications, stewardship, and compliance with donor-imposed restrictions or grant terms.

Why using a checklist improves gift accuracy and compliance

A consistent Fundraising Donor Checklist reduces processing errors, documents donor intent for restricted gifts, and helps the organization meet IRS substantiation and reporting expectations. It also supports transparency for auditors and simplifies stewardship, reconciliation, and donor service workflows.

Why using a checklist improves gift accuracy and compliance

Who typically completes and relies on the checklist

Fundraising teams, gift processors, development directors, and volunteer campaign leads commonly complete the checklist during intake or when logging gifts.

  • Development Coordinator — logs gifts and issues acknowledgements
  • Finance/Gift Processor — reconciles payments and posts to ledger
  • Campaign Volunteer Lead — records donor commitments at events

Use recorded checklist data for acknowledgements, pledge management, monthly reconciliation, and donor relationship work in CRM systems.

Core sections every professional Fundraising Donor Checklist should include

A professional checklist groups donor identification, gift details, payment method, designation instructions, acknowledgement status, and follow-up tasks. Structured fields and picklists reduce free-text errors and support automated routing and donor receipt generation.

Donor Identity

Full legal name, preferred name, organization, and preferred mailing/email address for receipts and tax purposes.

Gift Details

Donation amount, gift date, designation (restricted/unrestricted), pledge schedule, and whether the gift is in-kind or cash.

Payment Method

Specify credit card, ACH, check number, stock transfer, or third-party platform and include transaction reference.

Acknowledgement

Record whether a written acknowledgment was sent, date sent, and receipt method (email/mailed).

Restrictions & Purpose

Capture any donor-imposed restrictions, project codes, or grant funding conditions and required reporting timelines.

Follow-up Tasks

Assign stewardship actions, pledge reminders, and accounting reconciliation steps with due dates and responsible staff.

Required fields to collect on the Fundraising Donor Checklist

Donor Name: Full legal name as on ID
Contact Info: Street, city, state, ZIP
Email Address: Preferred email for receipt
Donation Amount: Numeric value in USD
Gift Date: MM/DD/YYYY format
Designation: Restricted or unrestricted

Step-by-step: How to complete the Fundraising Donor Checklist

Follow this sequence to capture complete, auditable donor and gift information and to trigger acknowledgements and accounting workflows.

  • 01
    1. Capture Donor Info: Collect full legal name and contact details before accepting a gift.
  • 02
    2. Record Gift Details: Enter amount, date, designation, and payment method.
  • 03
    3. Verify Payment: Confirm cleared check, processed ACH, or successful card authorization.
  • 04
    4. Issue Acknowledgement: Generate and send the proper donor receipt with substantiation language.

Where the completed checklist goes and how it flows

After completion, route the checklist to finance, donor records, and stewardship. Clear routing reduces processing delays and ensures compliance.

  • Send to Finance: Finance posts the gift to the ledger and reconciles bank deposits.
  • Attach to Donor Record: Add scanned checklist to the CRM contact or constituent record.
  • Generate Receipt: Development issues the IRS-compliant receipt and records delivery.
  • Assign Stewardship: Schedule thank-you calls, reports, or restricted-use follow-up tasks.

How to configure an online checklist workflow

Configure digital fields and automated routing so submissions trigger the correct downstream actions in CRM and accounting systems.

Field Configuration
Donor Email Required field; auto-populate CRM contact
Gift Amount Numeric validation; prevents negative entries
Designation Dropdown with project codes
Acknowledgement Sent Checkbox triggers email receipt workflow

Digital submission and eSignature considerations

Choose a platform that supports secure e-signing, audit trails, and acceptable authentication for donor-facing receipts.

  • File Formats: PDF and DOCX supported
  • Integrations: Connects to CRM and accounting systems
  • Authentication: Email link, SMS code, or higher

Ensure the platform you use can produce a tamper-evident signed record and retain audit metadata for donor and regulatory review.

Timing considerations and acknowledgement timelines

Timely acknowledgements and accurate gift dating are important for donor tax substantiation and internal reporting. Follow the prompts below to avoid delays.

Acknowledgement Timing:

Provide written receipt promptly; for contributions $250+, follow IRS substantiation rules (IRC §170(f)(8)).

Gift Date vs Deposit:

Record the date control of funds passed, not deposit date, for tax year purposes.

Pledge Payment Schedules:

Log each installment with dates to track outstanding balances and reminders.

Event Gifts:

Date gifts at the time received at the event unless donor specifies otherwise.

Monthly Reconciliation:

Reconcile gifts and checklist entries during regular accounting close cycles.

Common mistakes to avoid when preparing the checklist

  • Incomplete donor names leading to duplicate records
  • Missing designation codes causing misapplied funds
  • Late acknowledgements that complicate tax substantiation
  • Unrecorded in-kind valuations lacking documentation

Consequences and risks of errors on donor records

Tax Deduction Risk: Donor may lose deduction
Refund Disputes: Requires investigation and adjustments
Grant Noncompliance: Possible reporting sanctions
Audit Exposure: Increased audit scrutiny
Reputational Harm: Donor trust may decline
Operational Delay: Slows reconciliation and reporting
