What a Gift Letter Template Is and When It’s Used

Gift Letter Template is a written declaration used to document a monetary gift from one party to another, typically to support a real estate purchase or a loan application. It confirms that funds provided are a bona fide gift, not a loan, and therefore need not be repaid. Lenders use the letter to verify source and intent of funds to meet underwriting rules. A clear template reduces delays by standardizing required fields such as donor identity, recipient name, gift amount, purpose, relationship, effective date, and signature with date.

Why a Standardized Gift Letter Template Matters

A standardized Gift Letter Template helps lenders and recipients confirm that funds are a gift, reduces underwriting ambiguity, and speeds loan processing. Using a clear template minimizes requests for supplemental documentation and supports consistent recordkeeping for audit and tax purposes.

Why a Standardized Gift Letter Template Matters

Who Typically Uses the Gift Letter Template

Donors, borrowers, mortgage lenders, loan officers, closing attorneys, and underwriting staff commonly use Gift Letter Templates to document non-repayable funds.

  • Donor family members providing down payment help for primary residence; lenders require clear documentation in many underwriting programs.
  • Non-related donors or employers sometimes require additional lender scrutiny and source-of-funds evidence.
  • Closing agents use gift letters to confirm funds at settlement and prevent post-closing financing issues.

Use a consistent template to reduce processing time, ensure lender requirements are met, and provide an audit trail for compliance.

Core Elements to Include in a Professional Gift Letter Template

A professional Gift Letter Template includes donor details, recipient identity, gift amount, purpose, effective date, signature area, and optional notarization or witness lines.

Donor Details

Full legal name, mailing address, phone number, and relationship to recipient. Include donor identification type and number if requested by lender to confirm source of funds.

Recipient Info

Borrower or recipient full legal name, property address (if tied to real estate), and contact details. Necessary for underwriting tracking and closing documents.

Gift Amount

State exact currency and figures numerically and in words to prevent ambiguity. Indicate whether funds were transferred by check, wire, or other method.

Purpose

Specify the intended use (down payment, closing costs, reserves). Lenders require clear purpose to classify funds for debt-to-income calculations and to determine whether gift funds satisfy program-specific seasoning or reserve requirements.

Declaration

A clear statement that the donor does not expect repayment and that funds are unconditional. Include any special conditions or contingencies explicitly and provide contact details for follow-up verification by lender.

Signature Block

Donor signature, printed name, and date. Add witness signature lines or notary acknowledgement if lender or state law requires additional authentication and retain executed copy for borrower file.

Step-by-Step: How to Complete the Gift Letter Template

Follow these steps to complete the Gift Letter Template accurately for mortgage or loan underwriting and to support source-of-funds verification.

  • 01
Prepare Document: Populate donor, recipient, amount, purpose, and date.
  • 02
Attach ID: Include copy of donor photo ID to verify identity.
  • 03
Add Purpose: Explain why funds are gifted; state relationship to recipient.
  • 04
Sign & Date: Donor signs and dates; lender may require notarization.

How the Gift Letter Workflow Typically Works

Basic flow for preparing, signing, and delivering a Gift Letter Template for lender review and closing documentation.

  • Draft: Complete template fields and attach supporting documents.
  • Verify: Confirm donor identity and availability of funds.
  • Authenticate: Signers use wet or electronic signatures per lender.
  • Deliver: Submit to lender, closing agent, or upload portal.

Configuring an Electronic Workflow for Gift Letters

Configure an electronic workflow to collect signatures, attach ID, and route the completed Gift Letter Template to underwriting and closing teams.

Field Configuration
Signature Type Allow e-sign or wet signature per lender policy.
ID Attachment Require uploaded photo ID and bank statement.
Auth Method Use email link, SMS code, or KBA as needed.
Routing Auto-route to underwriting, closing, then archive.

Platform and Integration Considerations

Choose a platform that supports PDF, Word, e-signing, and secure storage for Gift Letter Templates.

  • File Formats: PDF, DOCX, and HTML supported.
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace.
  • Auth Options: Email, SMS, SSO, and multi-factor.

Security and Compliance Considerations

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest.
HIPAA: BAA required for PHI handling.
Audit Trail: Detailed timestamps, IP, and action log.
Access Controls: Role-based access and two-factor options.
Certifications: SOC 2 Type II, ISO 27001, PCI DSS.
Retention: Secure storage, exportable audit records.

Penalties and Risks of an Incorrect Gift Letter

Underwriting Delay: Loan approval may be delayed.
Loan Reclassification: Funds treated as debt if repaid.
Tax Reporting: Incorrect gifts may trigger IRS questions.
Backup Withholding: Missing TINs can trigger 24% withholding.
Notarization Failure: Invalid notary may void acceptance.
Fraud Risk: Misstatements can lead to legal exposure.

Common Preparation Issues to Avoid

  • Incomplete donor identification causes lenders to request additional documents, delaying closing and increasing processing time; include clear photo ID and contact information to avoid this.
  • Vague purpose statements like 'family assistance' can trigger lender follow-ups; specify down payment, closing costs, or reserves and attach transfer receipts.
  • Using funds from temporary or unverified sources increases risk of rejection; provide bank statements showing funds cleared and donor withdrawal.
  • Failing to state 'no repayment expected' or including ambiguous repayment language can convert a gift into a loan for underwriting purposes.
