What a Hair & Makeup Service Agreement Covers

A Hair & Makeup Service Agreement is a written contract between a stylist or makeup artist and a client that documents the scope of services, schedule, fees, deposits, travel arrangements, and responsibilities on the event day. It defines deliverables such as trial sessions, number of looks, estimated time per client, and any add‑on services. The agreement should allocate risk—cancellation, rescheduling, illness, and damage—and specify payment terms, late fees, and whether photography, model releases, or styling assistants are included. Electronic execution under ESIGN or UETA is generally acceptable for these private contracts.

Why a Written Agreement Helps You and Your Client

A clear agreement reduces misunderstandings, documents expectations for wedding parties or events, and creates enforceable payment and cancellation terms. It protects the artist’s time and helps the client know what to expect, including arrival windows, touch‑up policies, and what constitutes extra charges or overtime.

Why a Written Agreement Helps You and Your Client

Who Typically Uses This Agreement

The Hair & Makeup Service Agreement is used by independent artists, salon owners, event planners, and clients booking services for weddings, editorial shoots, or corporate events.

  • Independent stylists and makeup artists booking weddings, bridal trials, or on‑site event work with multiple clients.
  • Salons and studios offering package pricing, trial appointments, or group bookings that require deposit and cancellation rules.
  • Event planners and coordinators who need liability language and confirmed schedules for large parties or multi‑vendor days.

Use the agreement whenever services are prepaid, when multiple clients or locations are involved, or when travel, assistant staff, or photo releases are part of the engagement.

Key Parties and Signatories

Lead Artist

The licensed stylist or makeup artist who provides services and accepts responsibility for staff, timing, and supplies. Include business name, license number if applicable, address, and designated contact for day‑of coordination.

Client / Purchaser

The person or organization contracting the services (bride, event host, production company). Provide full legal name, billing address, phone, email, and the authorized signer who can approve changes and payments.

Core Clauses to Include in the Agreement

A comprehensive agreement organizes operational, financial, and legal terms so both parties can perform with predictable outcomes.

Services & Scope

Describe specific services (trial, number of clients, on‑site time, touch‑ups), product brands if relevant, and any exclusions to avoid scope creep.

Schedule & Location

Specify event date, call time, travel time, exact service location, and contingency plans for delays or venue changes.

Fees & Deposit

Itemize total fee, deposit amount and due date, accepted payment methods, refundability of deposit, and when the final balance is payable.

Cancellation & Rescheduling

Define cancellation windows, reschedule policy, forfeiture conditions, and any rescheduling fees tied to notice periods.

Liability & Insurance

Allocate responsibility for injuries, allergic reactions, property damage, and require proof of insurance for larger events when appropriate.

Photo Releases & IP

State whether artist may use photos for portfolio or marketing and whether the client grants a model release or requires restrictions.

Step‑by‑Step: Completing and Executing the Agreement

Follow this sequence to reduce errors and ensure the contract is enforceable by both parties.

  • 01
Gather details: Collect full names, event date, venue, and client contact information.
  • 02
Populate terms: Fill service scope, fees, deposit, cancellation, and travel fields.
  • 03
Review together: Have both parties review terms and resolve ambiguities before signing.
  • 04
Execute and save: Sign by handwritten or eSignature and retain an executed copy for records.

Configuring an Online Signing Workflow

Set up a simple digital workflow that collects signatures, timestamps, and stores executed copies securely.

Field Configuration
Signing Order Client then artist
Authentication Email link; optional SMS code
Auto Reminders Enable 3 reminders, 3 days apart
Final Storage PDF copy to cloud storage

What Happens After You Send the Agreement

A predictable eSignature flow helps complete bookings quickly and creates an audit trail for both parties.

  • Upload Document: Attach the contract and add signature fields.
  • Send to Client: Client receives link or email to review and sign.
  • Sign & Confirm: Both parties sign; system records timestamps.
  • Store Copy: Executed PDF and audit trail are retained for future reference.

Digital Signing and File Format Considerations

Choose a platform that supports PDF/DOCX, audit trails, and standard authentication options to ensure enforceability.

  • File Formats: PDF and DOCX supported
  • Authentication: Email, SMS, or stronger
  • Integrations: Cloud storage and CRM

Essential Information to Collect and Record

Client contact: Full address and phone
Artist contact: Business name and license
Payment terms: Deposit and balance due
Service details: Trial and event specifics
Allergy notes: Known medical conditions
Photo release: Consent for portfolio use

Common Mistakes to Avoid

  • Vague scope that omits number of clients or duration can lead to on‑site disputes and unplanned overtime charges for the artist.
  • Not specifying deposit refundability or a clear cancellation timeline often results in disagreements and delayed or withheld payments.
  • Failing to collect allergy or sensitivity information can create safety risks and potential liability for both the artist and the client.
  • Relying on verbal agreements for schedule changes or add‑ons without written amendments leads to billing disputes and unenforceable expectations.

Potential Risks and Consequences

Deposit Loss: Client forfeits deposit on late cancellation
Service Denial: Artist may refuse last‑minute additions
Liability Claims: Allergic reactions can trigger claims
Tax Reporting: Artist may need to issue 1099‑NEC
Privacy Breach: Improper photo use risks disputes
Invalid Signature: Missing consent can affect enforceability

Typical Deadlines and Payment Milestones

Common timing elements keep bookings secure and ensure artists can staff and supply events properly.

Deposit Due Date:

Due on booking to secure the date, often within 7 days

Final Payment:

Due on or before the event date, commonly 7–14 days prior

Contract Effective Date:

Date the agreement is signed or the effective MM/DD/YYYY entered

Cancellation Notice:

Client must notify within specified window to avoid forfeiting deposit

Refund Processing:

Refunds typically processed within 7–14 business days after approval

Real‑World Scenarios and How the Agreement Helped

Two representative scenarios show how clear terms prevent disputes and streamline event coordination.

Bridal Booking

A stylist booked a bridal party for a destination wedding with multiple locations and trial sessions

  • The contract required a 30% nonrefundable deposit and travel fee
  • Clear deposit and travel terms prevented last‑minute charge disputes and ensured timely vendor coordination on the wedding day.

Editorial Shoot

A makeup artist engaged for a magazine shoot needed specific IP and usage rights for images

  • The agreement granted limited usage for print and web with photographer credit
  • Stipulating usage and credit avoided later licensing disagreements and enabled timely publication.

Practical Tips for Accurate and Efficient Completion

Adopt straightforward drafting and recordkeeping practices to reduce friction and protect both parties.

Be specific about scope
List the number of looks, exact start and end times, touch‑up windows, and any assistants included to avoid on‑site disagreements and to calculate staffing needs accurately.
Use clear payment milestones
Require a written deposit, specify when the balance is due, and detail accepted payment methods and fees for late payment or returned funds.
Document allergies and preferences
Collect written allergy information and product preferences in client intake forms so services are tailored safely and disputes about reactions are minimized.
Keep executed copies accessible
Store signed agreements and the audit trail in a secure cloud location and retain them according to your retention policy for dispute resolution and tax purposes.
