What the Handover Deliverables Template Is and When It’s Used

The Handover Deliverables Template is a standardized document used to record and transfer project outputs, responsibilities, and access information when a project, phase, or role is handed over to a successor. It lists deliverables completed, remaining tasks, acceptance criteria, supporting documentation, asset locations, credentials, and contact points for unresolved items. The template ensures consistent communication, reduces operational risk, and creates an auditable record of what was transferred, when, and by whom. It is used across industries for project closeouts, role transitions, and contract milestones needing formal sign-off.

Why a Formal Handover Template Matters

Using a Handover Deliverables Template clarifies expectations, documents outstanding items, and provides structured acceptance criteria so successors can resume work with minimal interruption. It reduces disputes, supports audits, and creates a consistent record for compliance and quality assurance.

Why a Formal Handover Template Matters

Who Completes and Reviews the Handover Deliverables Template

Outgoing project leads, incoming team members, program managers, and contract administrators typically complete or review the template during transition.

  • Project managers coordinating handoffs between teams and vendors for continuity.
  • Operations staff capturing asset locations, credentials, and access instructions securely.
  • Contract administrators confirming deliverable acceptance and contractual completion dates formally.

Review by stakeholders ensures sign-offs are recorded and responsibilities are clear before project closure or role reassignment.

Core Sections to Include in a Professional Handover Deliverables Template

A professional Handover Deliverables Template organizes outputs, acceptance criteria, risks, documentation locations, and sign-off fields so transitions occur with clarity and accountability.

Deliverable Inventory

List every deliverable with version, status, completion date, owner, and file location. Include repository IDs and document references so successors can retrieve materials without delay.

Acceptance Criteria

Define measurable criteria for each deliverable, including test results, approval thresholds, and required attachments. Clear acceptance language reduces ambiguity during sign-off and avoids disputes about completion.

Outstanding Issues

Document unresolved tasks, blockers, mitigation steps, responsible parties, and expected resolution dates. Provide escalation contacts and impact assessments to prioritize outstanding work during the handover.

Access & Credentials

Record system access, credential custodianship, credential expiry, secrets handling, and location of key accounts. Note whether credentials require rotation and how secure transfer will occur.

Supporting Documentation

Attach or reference manuals, SOPs, architecture diagrams, test plans, change logs, and vendor contracts. Ensure referenced versions are current and that storage paths are accessible to incoming teams.

Sign-off & Approvals

Provide signature blocks with printed name, role, date, and explicit acceptance statements. Include witness or manager approvals where contractually or legally required for enforceability.

Step-by-Step: Preparing and Executing a Handover

Follow these sequential steps to prepare, review, and execute a handover package so the receiving party can assume responsibilities with minimal onboarding.

  • 01
Gather Materials: Collect deliverables, documentation, and access details.
  • 02
Document Status: Record completion status, outstanding work, and test results.
  • 03
Assign Owners: Designate responsible contacts and backups for each item.
  • 04
Sign & Archive: Obtain approvals, record signatures, and store final package securely.

Typical Routing for a Handover Package

This routing sequence shows typical handover flow from preparation through acceptance and archival, including review checkpoints and final sign-off steps.

  • Prepare Package: Compile deliverables and supporting documents.
  • Internal Review: Stakeholders validate completeness and acceptance criteria.
  • Formal Handover Meeting: Review items and obtain verbal agreement before signatures.
  • Finalize & Store: Complete signatures, distribute copies, archive with retention metadata.

Configure the Template Workflow for Online Use

Configure the online template to enforce required fields, authentication, conditional logic, and automated routing for sign-offs and archival.

Field Configuration
Template Name Standardized title and versioning for tracking
Signature Authentication Email, SMS code, or KBA; require consent disclosure
Conditional Fields Show fields based on role or deliverable type

Common Mistakes to Avoid When Preparing a Handover

  • Incomplete inventory lists that omit versions or file locations make it difficult for successors to locate necessary files, causing delays and repeated work.
  • Vague acceptance criteria leave room for disagreement about whether deliverables meet requirements, increasing the chance of disputed sign-offs.
  • Failure to transfer credentials securely leads to access outages or security incidents if passwords or keys are mishandled.
  • Not documenting outstanding risks or escalation paths forces reactive problem solving and lengthens transition timelines.
