What the Healthcare Psychologist Contract Covers

A Healthcare Psychologist Contract is a written agreement that defines the professional relationship between a licensed psychologist and a party receiving services, such as a patient, clinic, hospital, school, or employer. It specifies scope of services, session frequency and duration, fees and billing procedures, informed consent, confidentiality and HIPAA protections, recordkeeping, telehealth terms, limits of confidentiality, professional liability and insurance requirements, termination rights, and dispute resolution. The contract sets expectations for both clinical care and administrative responsibilities and can be executed electronically under U.S. e-signature laws.

Why a Clear Contract Matters for Providers and Clients

A clear Healthcare Psychologist Contract reduces misunderstandings, documents HIPAA obligations, clarifies payment and cancellation policies, and allocates professional liability responsibilities; properly signed agreements also support enforcement and audit defense under ESIGN and UETA.

Why a Clear Contract Matters for Providers and Clients

Who Commonly Uses This Contract

Typical users range from solo practitioners to institutional employers and educational programs.

  • Private practice psychologists providing outpatient psychotherapy, assessments, and telehealth services with independent billing and client agreements.
  • Hospitals and community health clinics when hiring psychologists as employees or contractors and controlling HIPAA workflows.
  • School districts and university counseling centers for service agreements, supervised practicum placements, and FERPA/HIPAA overlap.

Use the version appropriate for employment, contractor engagements, patient consent, or institutional credentialing.

Core Sections to Include in the Contract

A professional contract should be concise but complete; include administrative, clinical, legal, and technical provisions that match the practice setting and regulatory obligations.

Scope of Services

Describe clinical activities (assessment, therapy, consultation), session lengths, modality (in-person/telehealth), and any deliverables such as reports or evaluations.

Compensation

State fees, billing cycles, payer responsibilities, sliding scales, cancellation and late-payment policies, and who handles insurance claims and coding.

Confidentiality

Specify HIPAA protections, permitted disclosures, limits of confidentiality (danger to self/others, court orders), and record access procedures.

Telehealth Terms

Detail permitted platforms, geographic limitations, informed consent for remote services, emergency procedures, and technology failure contingencies.

Liability & Insurance

Require proof of malpractice insurance limits, indemnification clauses where applicable, and professional standards of care for dispute resolution.

Termination & Notice

Define notice periods, refund or pro-rata billing on termination, transition plans, and post-termination record access or custody.
