What the Heat Treatment Authorization Form Is

The Heat Treatment Authorization Form is a written instruction and approval record used to request, authorize, and document controlled thermal processing of metal or alloy parts. It captures part identifiers, material specifications, process parameters (temperature, cycle, atmosphere, quench), acceptance criteria, and traceability data so providers and quality teams can execute required heat treatments and verify conformance to purchase orders or engineering drawings.

Why a Formal Authorization Matters

A clear authorization reduces process errors, supports traceability, and establishes acceptance criteria for downstream inspection and warranty claims.

Why a Formal Authorization Matters

Who Typically Completes and Signs This Form

Responsible parties include production planners, quality engineers, purchasing agents, and heat-treatment vendors who must coordinate process details before work begins.

  • Manufacturer production planners and engineers — specify part lots, material, and required process.
  • Third‑party heat‑treat service providers — confirm process capability and record furnace lot data.
  • Quality assurance and inspection teams — accept completed runs and record test results.

Accurate completion assigns responsibility, enables tracking, and prevents rework or nonconforming shipments.

Essential Sections in a Professional Authorization Form

A complete form groups identity, process, acceptance, logistics, traceability, and approval areas so each party can act and audit the work.

Authorization Header

Includes form ID, revision, purchase order number, and requestor contact information to tie the treatment to a contract or PO.

Part Identification

List part number, drawing revision, quantity, serial or lot numbers, and heat number to maintain material traceability.

Process Specification

Specify heat‑treat method, temperature profile, soak times, atmosphere, quench medium, and any post‑treat operations required.

Acceptance Criteria

Define hardness ranges, microstructure, dimensional tolerances, or NDT requirements and reference applicable standards or drawing callouts.

Traceability Data

Record furnace ID, load ID, cycle start/end times, thermocouple locations, and operator initials for auditability.

Signatures & Approvals

Spaces for requestor, heat‑treat provider, QA acceptance, and revision signoffs with printed name, title, and date.

Required Information and Key Data Elements

Form Revision: Record revision ID
Purchase Order: PO number
Part Details: Part number and lot
Process Spec: Method and parameters
Traceability: Furnace and load IDs
Signatures: Requester and approver

Step-by-Step: How to Complete and Authorize Heat Treatment

Complete the form in order: identify parts, choose the process, set acceptance criteria, confirm logistics, and obtain signatures before releasing parts.

  • 01
1 Identify Parts: List part numbers, quantities, lot or serial numbers.
  • 02
2 Specify Process: Enter temp profile, atmosphere, quench medium, and any fixtures.
  • 03
3 Add Acceptance: Define tests, hardness limits, and inspection steps.
  • 04
4 Sign & Release: Requester signs; QA acceptance recorded post‑treatment.

How to Configure an Online Authorization Workflow

An online workflow enforces required fields, routes approvals, and retains an audit trail — configure these settings for reliable electronic processing.

Field Configuration
Required Fields Make part ID, process spec, and signature mandatory
Signature Order Requester → Heat‑treat provider → QA
Authenticator Use email link or SMS code for signer verification
Storage Location Save signed PDF to secure document repository

Sharing and Technical Requirements for Digital Submission

Digital copy formats and integrations determine how vendors receive, sign, and archive the authorization form.

  • File Formats: PDF and DOCX supported
  • Integration: Works with NetSuite, Salesforce, Box
  • Authentication: Email link or SMS verification

Where to Send and How to Route Completed Forms

Route the authorization so the heat‑treat provider can confirm capability, ops can schedule the load, and QA receives a copy for inspection and records.

  • To Provider: Send completed form to supplier procurement contact
  • To Production: Notify production to stage parts for pickup
  • To QA: Send copy for pre‑treat acceptance criteria review
  • Archive: Store signed file in document management system

Typical Timelines and Processing Expectations

Set clear turnaround expectations on the form so service providers can plan furnace loads, testing, and shipping without creating bottlenecks.

Request Submission Lead Time:

Submit at least 72 hours before planned processing

Typical Turnaround:

2–10 business days depending on load and spec

QA Inspection Window:

Allow 24–48 hours for hardness or microstructure checks

Expedites:

Rush fees may apply and reduce lead time

Record Retention Start:

Retention begins on the treatment completion date

Common Preparation and Submission Errors to Avoid

  • Using ambiguous process descriptions instead of standard spec references, causing misinterpretation and incorrect processing.
  • Failing to include drawing revision or material heat number, which breaks traceability and can void inspection acceptance.
  • Omitting acceptance criteria or tests, forcing QA to request clarification and delaying shipment.
  • Allowing unsigned or partially signed forms to be sent to the provider, creating liability and rework.

Consequences of Incorrect or Incomplete Authorization

Part Rejection: Scrap or rework costs
Warranty Exposure: Voided warranty claims
Safety Incidents: Improper properties risk failure
Delivery Delays: Missed customer deadlines
Regulatory Noncompliance: Industry audit findings
Increased Costs: Expedite fees and inspections
