What the Home Information Form Is and when it’s used

The Home Information Form is a standardized document used to collect factual details about a residential property and its occupants for transactions, listings, underwriting, claims, or service requests. It commonly captures the full address, ownership, occupancy status, utility accounts, recent improvements, permit numbers, physical condition notes, and contact information for owners and agents. Organizations use the form to verify collateral, evaluate risk, prepare disclosures, and route requests across title, lender, insurer, and property management workflows. Where permitted, electronic completion and eSigning are acceptable under ESIGN and applicable state laws.

Why a clear Home Information Form matters

A complete Home Information Form reduces follow-up inquiries, improves underwriting accuracy, and creates a consistent record for audits and claims. Standardized data helps closing, listing, and servicing teams avoid delays and supports compliance with retention and privacy obligations.

Why a clear Home Information Form matters

Primary users and typical signers

Designed for real estate agents, mortgage underwriters, insurers, property managers, and service providers who require standardized property and occupant information quickly.

  • Real Estate Agents: populate listings and disclosures with verified property details to reduce showing delays.
  • Lenders and Brokers: use the form to confirm collateral details, occupancy, and recent improvements for underwriting.
  • Insurers and Adjusters: document property condition, utilities, and prior claims history for risk evaluation.

The form supports multiple stakeholder workflows: collectors prepare it, verifiers validate entries, and authorized owners or representatives sign it for legal effect.

Essential sections to include in a professional form

Core sections of a professional Home Information Form define property identifiers, occupant data, utilities, improvements, disclosures, and signatory details for legal clarity and processing.

Property Details

Enter the full street address, parcel number if known, lot dimensions, year built, zoning classification, and any deed restrictions so recipients can reliably identify the property in records and searches.

Ownership

List all titled owners, ownership percentages, and contact details. Include corporate owner legal name and authorized representative to avoid mismatches during underwriting or legal review.

Occupancy

State current occupancy status (owner-occupied, tenant-occupied, vacant), lease terms if applicable, and anticipated occupancy changes that could affect underwriting or insurance coverage. Also include number of household members, primary use, and whether short-term rentals occur.

Utilities

Record active utility accounts, service providers, meter numbers, and billing responsibility. Include connection dates and account holder names for verification. Note seasonal services, septic or well systems, and known service interruptions or liens.

Improvements

List significant renovations, permits, completion dates, contractor names, and warranty information. Attach permit copies and state whether work was inspected and approved by local authorities to support valuation and underwriting.

Signatures

Provide signature blocks for owners and agents, printed names, titles, and dates. Include witness or notarization fields if required by state law or lender conditions.
