What a Horse Boarding Contract Covers

A Horse Boarding Contract is a written agreement that defines the relationship between a horse owner and a boarding facility. It sets out services (stalling, turnout, feeding, farrier and veterinary coordination), payment terms, arrival and release procedures, liability and indemnity provisions, health and vaccination requirements, and termination rights. The contract clarifies responsibilities for daily care, emergency decisions, storage of tack and equipment, and any additional fees for training, lessons, or special diets. Having a clear, signed contract reduces disputes and documents expectations for both parties.

Why a Clear Boarding Agreement Matters

A formal contract reduces ambiguity about care levels, fees, and emergency authority, making disputes easier to resolve and expectations straightforward for both the barn and owner.

Why a Clear Boarding Agreement Matters

Who Typically Completes a Horse Boarding Contract

Typical parties and administrators involved in boarding agreements are listed below.

  • Barn owners and stable managers who operate boarding facilities and set service packages and house rules.
  • Horse owners or lessees who need to confirm care standards, payment, and emergency authority for their animals.
  • Veterinarians or agents who may be authorized to make emergency medical decisions under limited power-of-attorney language.

Use this contract when a horse will reside at a facility for any sustained period, from short-term layups to full-time stall boarding.

Essential Clauses to Include

A professional Horse Boarding Contract should be precise and modular so each key area can be updated separately without redoing the entire agreement.

Services

List daily care items (stall cleaning, turnout frequency, feeding plan), any extras (blanketing, clipping), and which tasks are chargeable versus included.

Fees

State monthly or weekly boarding rates, payment due dates, accepted payment methods, late fees, and returned-check charges with calculation method.

Health

Require proof of current vaccinations, Coggins, deworming schedule, and outline vaccination and isolation procedures for contagious disease.

Emergency Care

Specify who may authorize veterinary care, spending limits without owner consent, and reimbursement procedures for emergency expenses.

Liability

Define assumptions of risk, indemnity language, insurance responsibilities, and limitations of liability for facility staff and owners.

Termination

Describe notice periods for termination, grounds for immediate removal (nonpayment, dangerous behavior, contagious disease), and property retrieval procedures.

Information Required in the Agreement

Owner Name: Full legal name
Horse ID: Breed, age, color

How to Configure an Online Boarding Contract Workflow

Configure fields and routing to match your operational process before sending for signatures.

Field Configuration
Signature Order Owner first, then barn manager; allow countersignatures
Required Fields Make owner name, horse ID, emergency contact mandatory
Authentication Email + SMS code recommended for owners
Attachments Require Coggins and vaccine proof on submission

Digital Signing and File Format Needs

Choose an eSignature platform and document format compatible with your records and compliance needs.

  • File Types: Use PDF or DOCX for editable and archival copies
  • Audit Trail: Ensure timestamp, IP, and signer info are recorded
  • Authentication: Prefer multi-factor for high-value authorizations

Verify the vendor supports secure storage and export to your practice management or accounting systems before committing.

Where To Send or Store the Completed Contract

Identify finalized destinations to ensure access, compliance, and smooth retrieval during incidents or audits.

  • Owner Copy: Send an electronic PDF to the owner’s email address for their records
  • Barn Records: Store a signed copy in facility management system or secure cloud folder
  • Veterinary Files: Share vaccination proof with the farm vet if authorized
  • Insurance: Keep copy with business insurance documentation when required

Key Dates and Billing Deadlines

Track billing, notice, and insurance-related deadlines to avoid penalties and ensure continuity of care.

Payment Due Date:

Monthly payment due on the date specified in the contract

Late Fee Start:

Late fees apply after the grace period specified in the fee section

Vaccination Updates:

Owner must provide updated records by the dates indicated or upon request

Termination Notice:

Standard notice period is commonly 30 days unless immediate removal is justified

Emergency Contact Update:

Owners should update emergency contact information within 5 business days of changes

Common Preparation Errors to Avoid

  • Leaving emergency authorization blank or vague, which delays critical care decisions and may incur higher veterinary costs.
  • Failing to attach proof of vaccination or Coggins, resulting in refusal of turnout or quarantine requirements.
  • Using ambiguous fee language (e.g., 'reasonable charges') rather than specifying amounts or calculation methods.
  • Not specifying authorization limits for third parties, causing disputes over expense reimbursement and liability.

Consequences of an Incorrect or Missing Agreement

Financial Loss: Unclear fee terms
Medical Liability: Unauthorized vet costs
Property Loss: Abandoned tack disputes
Legal Action: Contract breaches escalate to litigation
Insurance Denial: Noncompliance with policy terms
Boarding Refusal: Facility may deny services

Realistic Use Cases for the Contract

Two practical examples show how contract clauses address common boarding scenarios.

Full Board Arrangement

A pleasure horse is placed on full board with daily turnout and blanketing scheduled

  • Owner authorizes up to $750 for emergency vet care without prior approval
  • The contract specifies monthly billing, feed supplements as extra charges, and a 30-day termination notice to manage cash flow and care continuity.

Temporary Layup

A performance horse requires a 6-week layup for lameness recovery

  • Barn agrees to rehab turnout and controlled exercise; owner provides vet and farrier instructions
  • The contract sets a daily layup rate, authorizes vet coordination, and requires updated Coggins and treatment logs for documentation.

Supporting Documents to Attach

Attach these documents to the contract to create a complete record and reduce onboarding friction.

Health Records

Include current Coggins test, vaccine records, and recent veterinary notes that document preexisting conditions and ongoing treatments.

Insurance Proof

Provide a certificate of liability insurance and policy number showing the owner’s coverage limits and effective dates.

Emergency Plan

Attach a signed emergency authorization form that lists preferred vets, transport arrangements, and spending limits for unplanned care.

Inventory List

Document tack and equipment left on premises with owner signatures and a clause describing storage liability and retrieval procedures.

Practical Tips for Accurate Agreements

Use clear language and consistent administrative processes to minimize disputes and improve day-to-day operations.

Standardize Templates
Maintain a template with modular clauses so typical add-ons (training, lessons, special diets) can be included or excluded without drafting a new contract.
Define Payment Mechanics
Specify billing cycles, accepted payment methods, where to send payments, and exact late fee calculations to avoid ambiguity and collection disputes.
Document Health Proof
Require up-to-date vaccine and Coggins documentation before turnout; note quarantine procedures expressly to limit exposure risk.
Review Annually
Revisit contract terms at least annually to adjust rates, revise emergency authorizations, and reflect changes in facility policies or local law.
