What a Horseback Riding Agreement Covers

A Horseback Riding Agreement is a legal contract between a stable, instructor, or facility and a rider (or guardian) that documents the scope of riding activities, participant responsibilities, fees, and risk allocation. Typical clauses include the assumption of risk and liability waiver, medical and emergency information, competency or experience representations, insurance and indemnity provisions, payment and cancellation terms, and signatures for consent. The agreement may also set rules for tack, mounting, supervision, and termination. Accurate, signed agreements help clarify expectations and form a written basis for resolving disputes.

Why a Written Agreement Matters for Riders and Facilities

A clear Horseback Riding Agreement reduces uncertainty about responsibilities, documents consent to known risks, and helps protect both riders and facilities by describing fee terms, safety rules, and medical authorizations. It assists insurers and can be critical evidence if an incident occurs.

Why a Written Agreement Matters for Riders and Facilities

Who Typically Completes This Agreement

Facilities and individuals use the Horseback Riding Agreement to document participation, liability allocation, and administrative details before riding activities begin.

  • Stable operators and riding schools that enroll students or rent horses for lessons or trail rides.
  • Parents or legal guardians signing for minors participating in lessons or therapeutic riding programs.
  • Freelance instructors, equine therapy programs, and event organizers offering ride-related services.

Use the agreement whenever a rider will be supervised, provided instruction, or participate in organized riding that exposes them to foreseeable equine risks.

Core Sections to Include in a Professional Agreement

A well-drafted Horseback Riding Agreement groups essential terms so parties can quickly find obligations, risk disclosures, and contact data—reducing ambiguity and improving enforceability.

Parties

Identifies the facility, instructor, rider, and guardian as applicable, including legal names and contact details; establishes who is bound by the agreement.

Scope of Activities

Describes permitted activities (lessons, trail rides, jumps, shows), location, duration, and any age or skill prerequisites that limit liability exposure.

Assumption of Risk

Sets out that riding involves inherent risks, details common hazards, and explains that the rider assumes those known risks during covered activities.

Liability Waiver

Specifies waiver and release language, any limitations on claims, and whether indemnification is required for third-party claims arising from rider actions.

Payment and Cancellations

States fees, payment schedules, refund policies, no-show rules, and any deposit forfeiture conditions tied to cancelled lessons or events.

Emergency and Medical

Collects medical conditions, emergency contacts, authorization for emergency treatment, and whether riders consent to transport to medical facilities.

Step-by-Step: Completing and Executing the Agreement

Complete these core steps sequentially to produce a valid, signed Horseback Riding Agreement for each participant.

  • 01
Prepare Document: Use a template with standard clauses tailored to your facility and activities.
  • 02
Fill Participant Data: Enter full legal names, contacts, emergency info, and medical disclosures.
  • 03
Review Terms: Confirm waiver, payment, and cancellation terms with the rider or guardian verbally and in writing.
  • 04
Sign and Store: Obtain signatures (digital or wet), date the form, and retain an accessible copy for records.

Where the Signed Agreement Should Go

Signed agreements should be routed to parties and stored securely so staff and insurers can access them when needed.

  • Rider/Guardian Copy: Provide a signed copy to the rider or guardian for their records and proof of consent.
  • Facility File: Keep the original or master electronic copy in the facility's secure record system for claims and audits.
  • Instructor Access: Make a read-only copy available to instructors supervising the rider that day.
  • Insurance Holder: Share a copy with insurers on request to support coverage determinations after incidents.

Customizing the Agreement for Online Completion

Configure your digital workflow to match operational needs, authentication level, and retention policies before sending forms to riders.

Field Configuration
Signature Order Choose simultaneous or sequential signing based on who must sign first.
Authentication Level Set email link, SMS code, or ID check depending on risk and verification needs.
Conditional Fields Show medical or emergency fields only when participant is a minor or indicates a condition.
Reminders Enable automatic reminders for unsigned agreements and upcoming lesson commitments.

Digital Signing and File Requirements

Choose a platform that supports required file formats, authentication, and secure storage for signed agreements.

  • File Formats: PDF and DOCX preferred; preserve original layout and embedded fields.
  • Integrations: Connect to Salesforce, NetSuite, Google Workspace, or Box for streamlined workflows.
  • Security: Use AES-256 at rest and TLS in transit for sensitive rider data.

Key Timing and Notice Deadlines to Track

Establish and communicate deadlines for cancellations, refunds, parental consent, and medical updates to avoid disputes.

Cancellation Notice:

Specify how far before a lesson a rider must cancel for a refund.

Refund Window:

Define the period and method for processing refunds after valid cancellations.

Minor Consent Renewal:

Require updated guardian consent annually for recurring programs.

Emergency Info Updates:

Prompt participants to update medical/emergency details whenever circumstances change.

Insurance Notification:

Inform insurers within their required timeframe if an incident triggers a claim.

Common Preparation Mistakes to Avoid

  • Using vague waiver language that fails to list typical equine risks, which can undermine enforceability in court.
  • Failing to collect parent/guardian signatures for minors, leaving the agreement voidable and exposing the facility to claims.
  • Keeping only paper copies without backups or access controls, risking loss, damage, or unauthorized disclosure of sensitive data.
  • Not specifying payment and cancellation terms clearly, leading to disputes over refunds and fee retention.

Consequences of an Incomplete or Incorrect Agreement

Liability Exposure: Increased
Insurance Denial: Possible
Legal Costs: Significant
Regulatory Fines: Varies
Claim Delay: Likely
Privacy Breach: Risky

Practical Tips for Accurate and Efficient Agreements

Apply these practices to reduce disputes, speed onboarding, and keep records audit-ready across seasons.

Use Plain, Specific Language
Avoid legalese; describe common equine risks (kick, fall, collision) and list exact waiver effects so riders understand obligations and court review is simplified.
Verify Identity and Age
Request a government-issued ID for adults and collect guardian information for minors; accuracy prevents challenges to signature validity and supports insurance claims.
Keep Signed Copies Accessible
Store executed agreements digitally with controlled access and backups; index records by participant and date to retrieve documents quickly after an incident.
Review Annually and After Incidents
Update terms to reflect safety changes, new programs, or legal developments; document revisions and obtain new signatures when material changes occur.

Real-World Use Cases for the Agreement

These practical scenarios show how the agreement is used across common riding activities and programs.

Riding School Enrollment

A community riding school uses a standard agreement on registration to capture consent and medical details.

  • The waiver and supervision rules apply per lesson.
  • Signed agreements streamline weekly check-ins and provide evidence for insurers if an incident occurs, minimizing administrative friction and clarifying parental expectations.

Therapeutic Riding Program

A nonprofit therapy program requires medical disclosures and physician authorization before sessions begin.

  • Staff require emergency contact and medication info.
  • Detailed agreements ensure therapists understand participant needs, document consent for adaptive equipment, and support continuity of care while meeting funder or clinic record requirements.
