What a Hotel Accommodation Booking Request Is

A Hotel Accommodation Booking Request is a written record that a guest or booking agent sends to a lodging provider to confirm room reservations, payment terms, special requests, and authorizations. It documents guest names, arrival and departure dates, room type, rate, deposit and cancellation terms, and billing instructions. The request creates a clear record for both parties that reduces misunderstandings and helps hotels manage inventory, allocate rooms, and apply the correct rates and taxes.

Why a Clear Booking Request Matters

A well-formed booking request reduces errors, speeds check-in, and provides an auditable record of terms, pricing, and guest authorizations for tax and compliance purposes.

Why a Clear Booking Request Matters

Who Typically Prepares or Receives This Request

Common users include travel coordinators, corporate bookers, guests making group reservations, and front-desk or reservations staff who confirm stays.

  • Corporate Travel Coordinator: Arranges block bookings, negotiates rates, and centralizes billing for business travelers.
  • Individual Guest / Agent: Confirms personal details, payment method, and special requests like ADA needs or early check-in.
  • Hotel Reservations Staff: Uses the request to allocate rooms, apply policies, and prepare arrival documentation.

Each party relies on the request to confirm terms, trigger billing, and ensure regulatory or internal policy compliance for the reservation.

Roles That Can Sign or Approve the Request

Hotel Authorized Signer

A hotel manager or reservations supervisor who is empowered to confirm group rates, deposits, and contractual cancellation terms for the property. Their signature (electronic or handwritten) binds the hotel to the confirmed terms and internal approval thresholds.

Guest or Agent

The guest, travel agent, or corporate travel manager who supplies guest details, payment authorization, and any special requests. Their signature confirms acceptance of charges, cancellation policies, and any authorization to charge a card on file.

Essential Parts of a Professional Booking Request

A complete booking request includes identity and stay details, payment and cancellation terms, room and rate specifics, special requests, authorization language, and signature blocks. Each section should be explicit to avoid ambiguity.

Guest Identity

Full legal name, contact phone, email, and billing address for the primary guest and any paying third party; ensure names match payment credentials.

Stay Dates & Room Type

Check-in and check-out dates in MM/DD/YYYY format, number of guests, bed preference, and the exact room rate or rate code being requested.

Payment & Deposit

Deposit amount, payment method, cardholder name and last four digits, and authorization language permitting pre-authorization or charges for incidentals.

Cancellation & No-Show

Cancellation deadline, refundability rules, and fees for late cancellation or no-show; specify timezone for deadlines.

Special Requests

Requests such as ADA accommodations, early check-in, late check-out, rollaway beds, or pet policies, and whether they are guaranteed or subject to availability.

Signature & Authorization

Lines for signer name, title (if corporate), signature, date, and a clear statement confirming acceptance of the hotel’s policies and charges.

Step-by-Step: Completing a Booking Request

Follow these steps to prepare and confirm a booking request so the hotel can reserve the correct room and apply policies consistently.

  • 01
Prepare Details: Collect guest names, dates, payment, and rate information before starting.
  • 02
Complete Form: Fill every required field and attach any supporting documents like ID or corporate authorization.
  • 03
Authorize Payment: Provide card details and check the authorization checkbox if required.
  • 04
Sign & Send: Sign the request and submit it to the hotel via the agreed channel (email, portal, or eSignature).

Configuring an Online Booking Request Workflow

When building an electronic workflow, configure fields, authentication, notifications, and storage to match your operational and compliance needs.

Field Configuration
Document Type PDF or DOCX templates with fillable fields
Authentication Email link, SMS code, or stronger KBA for high-risk bookings

Where to Send or File a Booking Request

Choose the destination that matches hotel operations: reservations inbox, property management system, or a secure eSignature portal.

  • Email: Send to the hotel reservations or group sales inbox for manual processing.
  • PMS Upload: Import into the property management system to attach to the guest folio.
  • Secure Portal: Submit via the hotel’s booking portal or vendor eSignature service for automated confirmation.
  • Agency System: Travel agencies send requests through GDS or corporate booking tools for central billing.

Digital Delivery and Integration Options

Booking requests can be delivered by email, uploaded to a PMS, or routed through an eSignature platform integrated with other systems.

  • File Formats: PDF, DOCX supported; prefer locked PDF for final confirmations
  • Integrations: Connects to Salesforce, Microsoft 365, NetSuite, Procore
  • Storage: Encrypted cloud storage with role-based access

Key Deadlines and Timing Expectations

Understand typical time windows for confirmations, cancellations, and refunds to avoid fees and ensure the reservation is honored.

Booking Cutoff:

Request at least 24–72 hours before arrival for standard reservations; longer for group blocks.

Confirmation Window:

Hotels typically confirm within 24–48 hours after receiving a complete request.

Cancellation Deadline:

Deadline varies; often 24–72 hours prior to arrival to avoid penalties.

Deposit Schedule:

Deposits may be due at booking or closer to arrival depending on rate rules.

Refund Processing:

Refunds typically process within 7–14 business days after cancellation is confirmed.

Processing Milestones from Request to Check-In

A typical booking moves through request receipt, confirmation, payment authorization, pre-arrival checks, and arrival processing.

01

1. Request Received

Hotel logs the request and assigns it a confirmation number for tracking.

02

2. Payment Authorized

Card pre-authorization or deposit is applied according to the policy.

03

3. Confirmation Sent

Hotel issues a confirmation with rate, room type, and cancellation terms.

04

4. Pre-Arrival Check

Hotel verifies special requests and prepares the folio for arrival.

Common Mistakes to Avoid

  • Using mismatched names for guest and cardholder, causing payment holds or denied check-in.
  • Leaving dates ambiguous or missing time zone, creating confusion over check-in deadlines.
  • Failing to specify cancellation time and time zone, leading to unexpected charges.
  • Not capturing signed authorization for incidental charges or third-party billing.

Risks and Consequences of Incorrect Requests

Chargebacks: Disputed charges if authorization language is unclear
No-Show Fees: Guest may incur full-stay charges if cancellation rules are not followed
Operational Delays: Incorrect room allocation and check-in delays
Legal Disputes: Ambiguous terms can lead to contract disputes
Tax Errors: Incorrect billing can trigger tax reporting issues
Privacy Exposure: Improper handling of guest data risks regulatory penalties
