What a Household Management Agreement Covers

A Household Management Agreement is a written contract between a principal (homeowner or family) and a household manager or management firm that assigns duties, schedules, compensation, expenses, and decision-making authority for running a private residence. Typical topics include staffing and subcontractor oversight, household budgets, procurement and vendor management, property maintenance, pet and childcare arrangements, confidentiality, data handling, and termination procedures. The agreement clarifies expectations, reduces disputes, and documents indemnities and insurance requirements so both parties understand service levels and legal responsibilities.

Why a Formal Agreement Matters

A signed agreement codifies the scope of services, compensation, and liability limits, helping prevent misunderstandings and offering a clearer basis for dispute resolution and insurance claims.

Why a Formal Agreement Matters

Who Typically Uses This Agreement

Household Management Agreements are used by individuals and organizations who delegate recurring household operations to a dedicated manager or firm.

  • Private homeowners and families who employ a household manager or chief steward to coordinate staff and vendors.
  • Property management firms or household management companies contracted to oversee multiple residences or estates.
  • High-net-worth households or executives who require formalized service levels, confidentiality, and vendor oversight.

Essential Sections to Include

A professional Household Management Agreement breaks service expectations and legal protections into clear, actionable sections to reduce ambiguity and protect both parties.

Parties & Definitions

Identify the principal and the manager, define household, staff, vendors, and key terms to avoid ambiguity in responsibilities and reporting.

Scope of Services

List duties (scheduling, vendor management, shopping, cleaning oversight, maintenance coordination) with measurable standards where possible.

Compensation & Expenses

Specify salary, invoicing cadence, reimbursement policy, expense caps, and any performance bonuses or benefits.

Term & Termination

State the agreement term, renewal conditions, notice periods, and grounds for immediate termination for cause.

Confidentiality & Data

Include nondisclosure obligations, data-handling protocols, and required safeguards for sensitive household information.

Liability & Insurance

Allocate liability, require specific insurance coverage limits, and clarify indemnification for third-party claims.

Step-by-Step: Completing the Agreement

Follow a clear sequence to gather information, draft terms, review with counsel if needed, and finalize signatures.

  • 01
Gather Documents: Collect IDs, tax forms, insurance certificates.
  • 02
Define Services: Outline daily, weekly, and ad hoc responsibilities.
  • 03
Set Compensation: Agree salary, reimbursement, and invoicing schedule.
  • 04
Sign and Archive: Execute signatures and store signed copy securely.

How to Configure the Agreement for Online Completion

Configure the digital workflow so signers receive only relevant fields and copies are routed automatically to stakeholders.

Field Configuration
Template Upload final contract as PDF or DOCX template
Conditional Fields Show or hide clauses based on role or selections
Notifications Email signer and CC payroll or counsel automatically
Authentication Require email, SMS code, or stronger verification

Where the Signed Agreement Typically Goes

After signing, copies should be distributed to the principal, the manager, payroll, and retained for legal or tax purposes.

  • Principal Copy: Kept by homeowner for records
  • Manager Copy: Retained for operational reference
  • Payroll/HR: Used to set up compensation and taxes
  • Legal/Insurance: Stored for claims and compliance

Digital Signing and File Format Considerations

Use a platform that preserves audit trails, supports PDF and DOCX, and integrates with payroll and storage systems.

  • File Formats: PDF and Word DOCX supported
  • Security: TLS 1.2/1.3; AES-256 at rest
  • Integrations: Connects to payroll and cloud storage
