What the IBJJF Participation Agreement Covers

The IBJJF Participation Agreement is the athlete-facing contract used by tournament organizers to document a competitor's eligibility, understanding of rules, assumption of risks, medical disclosures, and release of liability. It typically includes personal identification, weight- and age-class verification, medical clearance or contraindication statements, permission for emergency care, a media and broadcast release, and agreement to abide by IBJJF rules and disciplinary procedures. The form records consent from adult athletes or parent/guardian consent for minors and creates a written record organizers use for event management, safety screening, and dispute resolution.

Why the Agreement Matters for Events and Competitors

A clear Participation Agreement documents consent, reduces disputes, and ensures organizers can verify eligibility and medical status before competition.

Why the Agreement Matters for Events and Competitors

Who typically completes the IBJJF Participation Agreement

The agreement is completed by athletes, parents or guardians for minors, and event staff who register competitors.

  • Adult competitors who register for an IBJJF-sanctioned event and must confirm eligibility and health disclosures.
  • Parents or legal guardians signing on behalf of minor competitors, providing consent and emergency contact details.
  • Event administrators and registration staff who collect, verify, and retain completed agreements for each entrant.

Accurate completion protects athlete safety, supports event administration, and preserves legal protections for organizers.

Common mistakes to avoid when preparing the agreement

  • Using a nickname instead of the legal name, causing a mismatch with photo ID at weigh-in and possible disqualification.
  • Failing to obtain a parent or guardian signature for a minor entrant, which can render the agreement unenforceable.
  • Omitting material medical conditions or medications, increasing safety risk and complicating on-site medical response.
  • Submitting an unsigned or undated form before the registration cutoff, potentially resulting in denial of competition entry.

Potential consequences of incomplete or incorrect agreements

Disqualification: Event removal
Medical Risk: Delayed treatment
Legal Liability: Claims against parties
Insurance Gap: Coverage denial
Financial Loss: Refund or fine exposure
Sanctions: Suspension or ban

Practical tips for accurate and efficient completion

Follow these best practices to reduce processing time and avoid disputes on event day.

Verify Identity Before Submission
Match the legal name on the form to government-issued photo ID at check-in; confirm membership and IBJJF ID to prevent bracket errors and eligibility challenges.
Use Standardized Formats
Enter dates as MM/DD/YYYY and weights in the unit required by the event; consistent formatting speeds automated verification and reduces manual correction.
Collect Guardian Signatures for Minors
Require a parent or legal guardian to sign and include their contact details; consider a notarized or witnessed consent where state law or venue policy recommends it.
Keep Signed Copies Accessible
Store signed agreements securely with access controls and an audit trail; ensure event staff can retrieve records quickly for medical or disciplinary incidents.
