What the Identity Verification ID Check Is

The Identity Verification ID Check is a standardized process that collects and records a signer’s government-issued identification and supporting evidence to confirm identity for transactions, onboarding, or regulatory compliance. It typically includes captured ID images, issuing authority, expiration date, and a biometric or selfie comparison. When combined with documented consent and an audit trail, the check supports electronic workflows, establishes attribution, and provides a reproducible record for audit and dispute resolution across hiring, financial, and healthcare processes.

Why an ID Check Matters for Compliance and Risk Control

An Identity Verification ID Check reduces impersonation risk, documents signer attribution, and helps meet regulatory requirements such as ESIGN (15 U.S.C. ch. 96) and state electronic transactions laws (UETA). Properly executed checks strengthen auditability and can reduce costly downstream remediation for fraud or incorrect onboarding.

Why an ID Check Matters for Compliance and Risk Control

Who Typically Runs or Completes an ID Check

Organizations that require verified identities for compliance, payments, or access control commonly use Identity Verification ID Checks.

  • Real estate agents and property managers verifying tenants and signers for leases.
  • Healthcare administrators and clinics validating patient identity for records and consents.
  • Banks, lenders, and fintech firms performing KYC and onboarding checks.

The specific user role varies by industry — operations, compliance, HR, or customer service teams commonly initiate and review the check.

Quick steps to complete an Identity Verification ID Check

Follow a consistent workflow to capture ID data, confirm authenticity, and store results with an auditable record.

  • 01
Upload ID: Capture front and back images using a high-resolution camera.
  • 02
Selfie Match: Take a live selfie for biometric comparison and liveness assurance.
  • 03
Verify Fields: Confirm name, DOB, ID number, issuing authority, and expiration.
  • 04
Store Audit: Save the certificate of completion and tamper-evident audit trail.

How an electronic ID check is typically executed

Most digital identity checks follow a repeatable sequence that combines document capture, authentication, and recorded evidence.

  • Document Capture: User uploads or scans government ID images.
  • Automated Analysis: System reads MRZ/OCR and checks security features.
  • Biometric Match: Selfie is compared to ID photo for liveness and similarity.
  • Audit Record: Timestamped evidence and decision rationale are saved.

Typical configuration settings for an online ID check

Configure capture, authentication, and retention options to match your compliance and operational needs.

Field Configuration
ID Capture Mobile camera with auto-crop and OCR fallback.
Liveness Optional: passive or active liveness prompts.
Authentication Email, SMS OTP, or knowledge-based checks as required.
Retention Policy Configurable retention period and export options.

Platform and integration considerations

Choose integrations and file formats that fit your systems and security controls.

  • Integrations: Support for Salesforce, Microsoft 365, NetSuite, Google Workspace.
  • File Formats: Accepts PDF, DOCX, HTML, and Excel inputs and outputs.
  • API & SSO: API access and SAML/SSO for enterprise authentication.

Ensure the chosen platform provides tamper-evident audit trails, secure storage, and the authentication strength required by your compliance program.

Core components of a professional Identity Verification ID Check

A complete ID check combines capture, authentication, analysis, logging, and secure storage to produce admissible identity evidence.

Document Capture

High-resolution front/back image capture with OCR and MRZ extraction to reduce manual entry and support automated validation.

Liveness & Biometrics

Selfie-based liveness checks and face-match algorithms to confirm the presenter is the legitimate bearer of the ID.

ID Credential Analysis

Automated checks for expiration, format, and common security features to detect altered or forged documents.

Authentication Options

Multi-factor choices (SMS OTP, KBA, knowledge checks) to increase confidence in signer attribution.

Audit Trail

Timestamped, tamper-evident log of capture, verification results, and signer consent for dispute resolution.

Compliance & Security

Encryption, certifications, and retention controls that align with HIPAA, 21 CFR Part 11, and enterprise governance.

Security and compliance elements to verify

In-transit encryption: TLS 1.2 / 1.3
At-rest encryption: AES-256
Certifications: SOC 2 Type II, ISO 27001
HIPAA support: BAA available
Authentication: 2FA, KBA, SMS OTP
Audit logging: Tamper-evident timestamps

Key risks and regulatory consequences

Identity Mismatch: Transaction invalidation risk
Fraud Exposure: Financial loss and reputational harm
I-9 Violations: $281–$2,789 per violation
Backup Withholding: 24% rate for incorrect TIN
Data Breach Fines: Regulatory penalties and remediation costs
Contract Risk: Disputes over attribution and enforceability

Common preparation and submission mistakes

  • Uploading blurred or cropped ID images that prevent OCR and manual verification, causing delays and re-submission requests.
  • Using expired identification documents or failing to capture the expiration date, which leads to automatic rejection by automated checks.
  • Mismatched names between ID and application records, often caused by nicknames, initials, or omitted middle names, triggering manual review.
  • Poor lighting or obstructed selfies that fail liveness checks; follow on-screen guidance to avoid false non-matches.
