What the IDX Property Policy Is and Why It Matters

The IDX Property Policy is a broker-level document that defines how MLS listing data may be accessed, displayed, and redistributed by participating websites and vendors. It clarifies permitted uses of photos, descriptions, and listing metadata, prescribes attribution language, and sets technical expectations for feed delivery and refresh cadence. The policy assigns responsibilities to brokers, authorized vendors, and MLS administrators, explains remediation steps for inaccuracies, and aligns operational practices with privacy and e-signature legal frameworks used in U.S. real estate operations.

Why an IDX Property Policy Protects Brokers and Consumers

An IDX Property Policy reduces legal and operational risk by establishing consistent display rules, protecting consumer data, and defining vendor responsibilities; it improves data quality and helps avoid disputes over listing misuse.

Why an IDX Property Policy Protects Brokers and Consumers

Primary Parties That Use the IDX Property Policy

Brokers, MLS administrators, IDX vendors, and website operators rely on the IDX Property Policy to set permissions for listing data use.

  • Brokers and agents: ensure compliance with MLS display rules and manage broker-of-record responsibilities.
  • MLS administrators: publish rules, approve feeds, and enforce violations or suspensions.
  • Website owners and IDX vendors: implement feed parameters, attribution, and timely status updates.

Clear role definitions reduce ambiguity in enforcement and simplify technical onboarding for feed providers and website partners.

Essential Elements Every IDX Property Policy Should Contain

A comprehensive IDX Property Policy combines authorization, display, technical, enforcement, privacy, and data-limit rules into a single, enforceable document that governs broker and vendor conduct.

Authorization

Specify which brokerage entities and affiliated agents are authorized to use IDX data, including any agent-level opt-outs. Name broker-of-record and include procedures for adding or removing authorized accounts.

Display Rules

Detail required attribution language, permitted edits to listing text, display of MLS IDs, and rules for photos and virtual tours. Include templates for legal attribution on web pages and printed materials.

Data Limits

Define allowed fields, prohibited personal data, and whether broker-provided remarks may be displayed. Restrict scraping and unauthorized indexing and require audit logs and periodic compliance attestations from vendors.

Technical Specs

State feed formats (IDX, RETS, or MLS API), authentication methods, acceptable image file types, and expected error-handling procedures. Include SSO or API key requirements where applicable.

Enforcement

Describe monitoring, reporting channels for suspected violations, disciplinary steps, fines, and feed suspension processes. Provide timelines for notices, remediation, and appeals to ensure procedural clarity.

Privacy & Compliance

Reference applicable privacy laws and MLS privacy rules. Require vendors to support data subject requests and maintain security measures aligned with industry standards and any applicable HIPAA constraints.

Step-by-Step: How to Prepare and Approve an IDX Property Policy

Step-by-step: completing an IDX Property Policy requires stakeholder review, legal alignment, and MLS approval before enforcement.

  • 01
Assemble Parties: Collect broker, MLS, vendor, and legal representatives for policy drafting.
  • 02
Define Scope: Specify listing types, display permissions, and data fields allowed.
  • 03
Set Technical Rules: State feed method, refresh cadence, and attribution requirements.
  • 04
Approve and Publish: Obtain MLS sign-off and publish notice to participants.

How IDX Feed Requests and Provisioning Operate

Routing and submission: how IDX feeds are requested, provisioned, and monitored under the IDX Property Policy.

  • Request Feed: Broker submits vendor details to MLS.
  • Approve Vendor: MLS verifies credentials and grants access.
  • Provisioning: Vendor configures feed and maps fields.
  • Ongoing Monitoring: MLS or broker audits data and enforces rules.

Technical and Integration Requirements for eSubmission and Management

Digital execution and feed submission require secure transport, compatible formats, and authenticated vendor access per MLS technical standards.

  • Formats: PDF, DOCX, CSV, XML supported.
  • Integrations: Salesforce, NetSuite, Google Workspace supported.
  • Security: TLS 1.2 and 1.3 in transit, AES-256 at rest.

Common Mistakes to Avoid When Preparing an IDX Property Policy

  • Failing to name the broker-of-record clearly, which can delay MLS approval and complicate enforcement actions.
  • Vague display specifications that allow inconsistent attributions or omitted MLS credits across consumer-facing pages and mobile apps.
  • Not specifying refresh cadence or escalation procedures for status changes leads to stale listings and compliance complaints.
  • Allowing vendors to resyndicate or sell data without explicit permission opens brokers to unauthorized commercial reuse.
