What the IDX Property Request Form Is and when it’s used

The IDX Property Request Form is a structured document used by listing agents, brokers, and MLS administrators to authorize and record permission for a listing to appear in an Internet Data Exchange (IDX) feed. It identifies the property and parties, records consent for display and photo usage, and specifies any display restrictions or branding rules. The form creates an auditable record of authorization for IDX vendors and broker websites, and it supports downstream ingestion into MLS systems, third-party portals, and broker-managed IDX feeds.

Why completing an accurate IDX Property Request Form matters

A correct, signed IDX Property Request Form reduces disputes over display rights, helps MLS systems process listings reliably, and documents consent for images and data reuse. It centralizes authorization and supports compliance with MLS rules and broker policies.

Why completing an accurate IDX Property Request Form matters

Who typically completes and relies on this form

The IDX Property Request Form is used by listing agents, broker administrators, and MLS data managers to manage online listing display permissions.

  • Listing agents: prepare and submit the request to the MLS or broker for approval and attach necessary photos.
  • Broker/office administrators: review, approve, or reject requests and record any broker-specific display restrictions.
  • MLS data managers: ingest approved requests into the feed and log audit entries for compliance and reporting.

Proper use keeps MLS feeds accurate, protects intellectual property rights, and provides a clear audit trail for audits or disputes.

Key elements every professional IDX Property Request Form should include

A professional form groups identity, consent, and technical mapping so MLS and IDX systems can process requests without follow-up. Include explicit fields for rights, display constraints, and integration metadata.

Property ID

MLS number and full street address with unit if applicable. Use the exact MLS identifier for automated matching during ingestion.

Owner Consent

Clear, dated statement signed by the owner or authorized agent granting permission for IDX display and specifying any limitations.

Photo Rights

Specify which images are authorized for IDX, copyright owner, and any credit or watermarking requirements for third-party display.

Display Restrictions

List any required disclaimers, branding, or geographic exclusions that limit where or how the listing may be shown online.

Broker Information

Include broker name, license number, office contact, and the responsible administrator for approvals and follow-up.

Effective Date

Specify when the authorization begins and when it expires or requires review to maintain accurate display status.
