What the In-Person Work Order Agreement Is

An In-Person Work Order Agreement is a written contract used to define on-site services, scope of work, timelines, responsibilities, and payment terms when work is performed at a client or vendor location. It documents who will perform the work, where and when it will occur, any materials or equipment to be provided, and the acceptance criteria for completed tasks. The agreement reduces ambiguity about deliverables, clarifies invoicing and change-order procedures, and provides a record for dispute resolution, insurance, and compliance purposes.

Why Use an In-Person Work Order Agreement

A clear, signed in-person work order protects both parties by establishing scope, schedule, payment terms, and acceptance criteria in writing. It reduces disputes and creates a defensible record for billing, insurance, and regulatory compliance.

Why Use an In-Person Work Order Agreement

Who Typically Prepares and Signs This Agreement

The In-Person Work Order Agreement is used by service providers, contractors, facility managers, and procurement teams to authorize and record on-site work.

  • Contractors and subcontractors who perform fieldwork and need documented scope and payment terms for each job.
  • Facility or property managers who request repairs, maintenance, or installations and require vendor accountability.
  • Small-business owners and clients authorizing time-and-materials or fixed-price on-site services.

Use this agreement whenever work will occur at a physical site and parties need immediate, written authorization of tasks, materials, and payment.

Step-by-Step: How to Complete an In-Person Work Order Agreement

Follow these sequential steps when preparing and executing the agreement to ensure completeness and enforceability.

  • 01
Draft Order: Record parties, location, date, and detailed scope of work.
  • 02
Agree Price: Specify totals, hourly rates, and payment milestones.
  • 03
Review Terms: Verify warranties, indemnities, insurance, and change-order process.
  • 04
Sign and Distribute: Obtain signatures and provide copies to all parties.

Where to File, Send, and Store the Signed Agreement

Use a consistent distribution and filing workflow so each executed work order is accessible for invoicing, auditing, and compliance.

  • Client Copy: Provide the client a signed PDF or printed copy for their records.
  • Vendor File: Store an executed copy in the vendor's contract repository tied to the project.
  • Accounting: Send invoice and signed order to accounts payable/receivable for payment processing.
  • Project Folder: Attach to digital project management files and change-order logs.

How to Configure an Online Completion Workflow

Set up a repeatable digital workflow for creating, signing, and archiving in-person work orders.

Field Configuration
Signer Order Set sequential or parallel signing as required by approval hierarchy
Authentication Choose email, SMS code, or stronger ID verification for access
Required Fields Mark scope, price, start date, and signature fields as mandatory
Archive Rule Auto-save signed PDF to cloud storage and accounting system

Digital Signing and eSubmission Considerations

Use an eSignature platform that supports secure signing, audit trails, and integration with your accounting or project systems.

  • File Formats: Accept PDF and DOCX files for templates and signed output
  • Integrations: Connectors for Salesforce, NetSuite, Google Workspace, and Box speed routing
  • Security: TLS in transit and AES-256 at rest required for sensitive records

Ensure the chosen solution provides tamper-evident signed documents, an audit trail (IP, timestamps), and secure long-term storage to meet recordkeeping obligations.
