What an Information Request Template Is

An Information Request Template (sometimes called an RFI or request for information) is a standardized document used to collect specific data from vendors, partners, or internal teams. It defines the scope of requested materials, required formats, response deadlines, and contact points. Organizations use this template to compare proposals, verify compliance, and document communications during procurement, due diligence, or regulatory reviews. A clear template reduces follow-up questions, speeds review cycles, and creates a consistent record that supports auditability and later decision-making.

Why a Structured Template Matters

A consistent Information Request Template clarifies expectations, reduces administrative back-and-forth, and creates a single source of truth for evaluators. It improves comparability between responses and supports compliance with internal policies and external audits.

Why a Structured Template Matters

Who Typically Prepares or Responds to an RFI

Teams that use Information Request Templates vary by function and objective; the template supports procurement, legal review, and vendor onboarding.

  • Procurement teams preparing vendor comparisons and cost estimates.
  • Legal or compliance teams verifying contract terms and regulatory information.
  • Business owners and project managers collecting technical specifications and timelines.

Core Sections to Include in a Professional Template

A robust Information Request Template structures request items logically, sets deadlines, and lists required supporting documents so evaluators can compare submissions efficiently.

Cover Summary

Brief project overview, purpose of the request, single contact name and contact details, and submission deadline to orient respondents and reviewers.

Scope of Request

A precise list of information, data formats, and the level of detail required (e.g., executive summary, technical specs, pricing matrix) to avoid ambiguous answers.

Response Instructions

Required file types, naming conventions, preferred delivery method, and any page limits or template fields to ensure consistent, machine-readable submissions.

Compliance Requirements

Regulatory or contractual items to confirm (e.g., HIPAA, SOC 2, insurance certificates) and any mandatory attestations or certifications.

Attachments & Exhibits

List of supporting documents to include (sample contracts, datasheets, references) and whether redacted versions are acceptable.

Evaluation Criteria

How responses will be scored or reviewed, weighting of technical vs. commercial factors, and expected timeline for decisions.

Essential Data Elements to Collect

Respondent Name: Legal entity name
Primary Contact: Name, title, email
Tax Identifier: EIN or TIN
Insurance: Policy types and limits
Certifications: SOC 2 / HIPAA status
Proposed Delivery: Timelines and milestones

Step-by-Step: How to Prepare and Issue an Information Request

Follow these sequential steps to create, distribute, and process an Information Request Template for consistent results.

  • 01
Draft Template: Define scope, questions, and required attachments.
  • 02
Review Legal: Have compliance verify required attestations.
  • 03
Distribute: Send to respondents with clear deadline.
  • 04
Collect & Evaluate: Centralize submissions and score per criteria.

How to Configure an Online RFI Workflow

Set up the digital workflow to automate routing, reminders, and secure document collection when issuing the template online.

Field Configuration
Response Deadline Field Auto-calc reminders and lock submissions after deadline
Attachment Requirement Enforce required file types (PDF, DOCX)
Reviewer Routing Assign sequential or parallel reviewer roles
Access Controls Limit download/print based on user role

Where Responses Should Be Sent and How They Are Routed

Define a single submission channel and an internal routing path to keep responses organized and auditable.

  • Submission Portal: Designated upload site or secure email for incoming responses.
  • Intake Validation: Automated checks for required attachments and field completion.
  • Reviewer Queue: Assigned stakeholders receive items for evaluation.
  • Archive: Store final package in document repository with index metadata.

Technical Considerations for Digital Distribution and Signing

Choose a platform that supports required authentication, file types, and integrations for downstream workflows.

  • File Formats: Accept PDF and DOCX for consistent rendering.
  • Authentication: Support email, SMS, or stronger methods as needed.
  • Integrations: Connect to CRM or document repositories for automation.

Typical Timelines and Deadlines to Include

Specify clear dates for submission, questions, and final evaluation so respondents understand timing and avoids disputes.

Submission Deadline:

Exact date and time (MM/DD/YYYY) with timezone

Questions Cutoff:

Final date for clarifying questions before evaluation

Addendum Issuance:

Date when amendments are posted to all respondents

Evaluation Window:

Range of dates reviewers will assess submissions

Decision Notification:

Planned date to announce selected providers

Common Mistakes to Avoid

  • Vague questions that yield inconsistent responses and require clarifying follow-up, slowing procurement timelines.
  • Failing to require specific file formats or naming conventions, which complicates automated comparison and ingestion.
  • Not specifying authorized signatories, resulting in delayed verification or invalid attestations under company policy.
  • Missing a documented review rubric, which opens the process to subjective evaluations and potential audit findings.

Risks and Consequences of Incomplete or Incorrect Responses

Contract Delay: Missed or incomplete responses
Tax Withholding: Incorrect TINs can trigger backup withholding
Regulatory Noncompliance: Missing certifications risk audits
Data Exposure: Insecure delivery can leak sensitive data
Disqualification: Late or nonconforming submissions
Legal Challenge: Procedural flaws risk protest or litigation

Real-World Examples of Template Use

Examples show how organizations use a standard Information Request Template to reduce friction when collecting vendor data.

Optica Ventures LLC

  • The interface was made easy for external partners.
  • Brian Fitzgibbons, COO, noted the simple interface improved response consistency and made it easier for customers to provide required materials quickly and accurately.

Martin Properties

A real estate firm used an RFI to collect tenant-vetting documents and proof of insurance.

  • Mobile submission capability was critical.
  • Tim Martin, Founder, reported that moving to online forms enabled fully compliant, mobile-friendly submissions that sped approvals and reduced paper handling.
