What the Interior Design Colour Selection Is and when it's used

The Interior Design Colour Selection is a structured document used to record a client’s color, finish, and material decisions for a design project. It consolidates specifications (paint codes, fabric swatches, finish types), approval dates, and signatory consent so contractors, suppliers, and project managers have a single, auditable source for execution and ordering.

Why a clear colour selection record matters

A formal colour selection reduces ordering errors, protects both client and designer from scope disputes, and creates a documented acceptance point for production and installation. It supports accurate procurement, prevents costly rework, and provides traceable approval history should warranty or compliance questions arise.

Why a clear colour selection record matters

Who typically completes and relies on this form

Designers, project managers, and clients use the colour selection to finalize aesthetic decisions and to authorize procurement.

  • Interior designers and design firms — prepare the form, recommend options, and obtain client approvals during design development and prior to ordering.
  • Clients and owners — review samples, confirm selections, and sign to accept specified colors and finishes as contract deliverables.
  • General contractors and suppliers — reference approved codes and materials for purchasing, fabrication, and installation to meet scope.

Main elements included in a professional colour selection

A complete selection sheet pairs visual swatches with precise identifiers and administrative details so every stakeholder interprets specifications the same way.

Project and client

Project name, client name, site address, and contract or PO number to link selections to the correct job and invoicing records.

Room or area

Clear room names or area codes (e.g., Kitchen A, Suite 201) so selections map to construction drawings and installation scopes.

Colour identifiers

Exact colour references (Pantone, RAL, NCS, manufacturer code, or hex) accompanied by physical swatch IDs and finish descriptions.

Sample source

Manufacturer, product name, batch or lot number, and supplier contact details for procurement and quality checks.

Approval fields

Signature blocks, printed name, role, and date for client approval plus optional designer confirmation and installer acknowledgement.

Notes & exceptions

Conditional notes for alternate selections, lead times, expected variations between sample and production, and any mock-up requirements.

Step-by-step: documenting and approving colour selections

Follow these steps to collect approvals and distribute the finalized selection to procurement and installers.

  • 01
Prepare sheet: Assemble swatches, codes, and supplier data into a single document.
  • 02
Review with client: Walk through samples and note any alternates or mock-up requirements.
  • 03
Record decisions: Enter exact codes, finishes, and room associations on the selection form.
  • 04
Obtain signatures: Get client and designer signatures and date the form for auditability.

Setting up an online approval workflow for selections

A simple digital workflow reduces turnaround time and maintains an audit trail; configure fields, approvers, and notifications before sending.

Field Configuration
Signature fields Place client and designer signature and date fields with required validation.
Conditional fields Show alternate selection fields only if primary option is declined.
Authentication Use email or SMS verification for client identification based on project sensitivity.
Notifications Configure routing to procurement and installer once final signature is captured.

Typical routing after a selection is finalized

After approval, distribute the finalized selection to teams that act on it; include procurement, manufacturing, and site supervision.

  • Designer to Client: Designer presents selections and obtains client approval and signature.
  • Client to Procurement: Signed selection routes to procurement with supplier and code details.
  • Procurement to Supplier: Supplier receives exact codes and lot numbers for ordering.
  • Installer Acknowledgement: Installer confirms receipt and notes any site mock-up requirements.

Digital signing and delivery: platform considerations

Choose a platform that supports secure eSignatures, preserves formatting, and provides an audit trail for approvals.

  • File formats: PDF and DOCX preserve layout and are widely supported.
  • Integrations: Connectors to Google Workspace, Microsoft 365, and NetSuite streamline distribution.
  • Authentication: Email or SMS verification balances usability and identity assurance.

Time expectations and scheduling checkpoints

Track decision and procurement deadlines to avoid production delays; document cut-off dates for ordering and mock-ups on the selection form.

Design approval deadline:

Specify the date by which client must approve selections.

Order cut-off:

Supplier lead times determine the last date to place orders.

Mock-up review:

Schedule sample approvals before bulk ordering.

Installation window:

Align delivery dates with on-site installation slots.

Change request cutoff:

State the last date changes are accepted without additional cost.

Common mistakes to avoid when preparing selections

  • Using informal color names instead of manufacturer codes, which leads to incorrect orders and costly rework.
  • Failing to record sample batch or lot numbers, causing acceptance disputes when production material differs from the approved sample.
  • Not capturing explicit client sign-off dates, which complicates responsibility for out-of-scope changes and additional charges.
  • Omitting finish or substrate specifications, which can change appearance and performance despite the same color code.

Potential legal or financial risks from poor documentation

Rework costs: Supplier replacement and reinstallation expenses.
Project delays: Missed lead times and installation windows.
Dispute escalation: Contract claims over scope or acceptance.
Warranty issues: Manufacturer warranties void if wrong materials are used.
Regulatory compliance: Safety or labeling requirements unmet in some jurisdictions.
Payment holdbacks: Clients may withhold payment pending corrective work.
