What the Interior Design Update Is

An Interior Design Update is a written amendment that records changes to a design project after the original agreement is executed. It typically documents scope revisions, material substitutions, schedule adjustments, and cost impacts so all parties share the same record. When signed by the client and designer, it creates an enforceable record of agreed changes and supports billing, permit applications, and subcontractor instructions. Electronic signatures are legally acceptable in the United States under the ESIGN Act (15 U.S.C. ch. 96) and state UETA statutes where adopted.

Why a Clear Update Matters

A formal Interior Design Update reduces ambiguity, allocates cost and schedule responsibility, and creates a clear audit trail for approvals, billing, and permits. It helps prevent disputes by confirming mutual consent to changes.

Why a Clear Update Matters

Who typically completes an Interior Design Update

The Update is useful across project scales — from small remodels to multi-room commercial fits — whenever a change affects cost, scope, or timeline.

  • Independent designers and studios responsible for client communication and scope control.
  • Residential and commercial clients approving material or budget changes requiring formal acknowledgment.
  • Contractors and subcontractors needing written change direction to proceed with ordering and installation.

Core elements of a professional Interior Design Update

A concise, well-structured Update collects the who, what, when, cost impact, approvals, and attachments needed to implement changes while preserving a clear record for all parties.

Identification

Project name and unique update number so the document can be tracked alongside the original contract and related change orders.

Scope

Clear description of the change including affected rooms, finishes, fixtures, and any exclusions to avoid later interpretation disputes.

Cost Impact

Line-item estimate or fixed price for the change, including taxes, handling fees, and whether it affects retainers or payment milestones.

Schedule

Revised delivery or completion dates and any acceleration or delay charges tied to the update.

Approvals

Designated signature block for client, designer, and any required contractor or vendor acknowledgement to authorize work.

Attachments

Supporting materials such as revised drawings, product spec sheets, permit applications, or photos that clarify the requested change.

Step-by-step: completing an Interior Design Update

Follow these four practical steps to create, approve, and implement an Update with minimum delay.

  • 01
Draft the update: Summarize the change, attach evidence, and calculate cost and schedule impacts.
  • 02
Send for review: Provide the Update to the client and required contractors with clear review deadlines.
  • 03
Obtain signatures: Secure signatures from authorized client and designer representatives; document date and signer identity.
  • 04
Implement and archive: Authorize work, update procurement lists, and file the executed Update in project records.

Typical routing flow for an executed Update

A standardized routing process reduces bottlenecks and ensures each stakeholder receives the signed Update for execution and records.

  • Designer prepares: Uploads Update with attachments and assigns approvers.
  • Client reviews: Checks scope and cost, requests clarifications if needed.
  • Signatures collected: Designer and client sign; contractor acknowledges if required.
  • Distribution: Final signed copy shared with project team and archived.

Configuring an online Update workflow

Set up a repeatable digital workflow to send, sign, and store Updates with minimal manual steps.

Notification cadence Email reminders at 3 and 7 days after initial delivery
Signer order Client signs before contractor acknowledgement
Authentication level Email link or SMS code for signer verification
Template use Save common Update structure as a reusable template
Storage location Save signed copies to project folder in cloud storage

Digital delivery and format considerations

Ensure the solution preserves a tamper-evident copy and audit trail, and that long-term storage exports to searchable PDF/A for records retention.

  • File formats: PDF, DOCX supported
  • Integrations: Google Drive, Box, NetSuite
  • Authentication: Email or SMS code

Typical review and processing timeframes

Set clear internal and client deadlines so Updates do not stall procurement or installation.

Client review window:

7–14 days to accept or request changes

Contractor acknowledgement:

3–7 days for vendor capacity and lead-time confirmation

Effective date:

Date the Update specifies for work to begin or pricing to apply

Billing milestone:

Invoice tied to acceptance or delivery per Update terms

Archive timing:

Store executed Update immediately; follow retention schedule thereafter

Common mistakes to avoid

  • Vague descriptions that omit quantities, product codes, or exact locations, which lead to differing expectations and disputes between parties.
  • Failing to state the cost basis clearly — omitting tax, shipping, labor, or contingencies causes billing disputes and delayed payments.
  • Not capturing a proper signature block or using initials only when full signatory authority is required, which can affect enforceability.
  • Sending the Update informally (text or chat) without attaching formal signed documentation, which undermines audit trails and permit filings.

Potential consequences of an incorrect or incomplete Update

Scope disputes: Contractual disagreements and change order claims
Payment delays: Invoices withheld pending clarification
Permit rejection: Incomplete attachments may delay permits
Liability exposure: Installation errors or defects risk claims
Record gaps: Missing approvals weaken audit trail
Project delays: Late approvals push schedules back
