What an International Sales Quote Is and when it's used

An International Sales Quote is a formal written offer from a seller to a buyer that lists prices, quantities, delivery terms, payment terms, taxes, duties, and any conditions for cross-border transactions. It functions as a commercial proposal used to secure buyer acceptance, start procurement planning, and support export compliance. While not always a binding contract by itself, a clearly drafted quote establishes the basis for subsequent purchase orders and sales contracts and reduces ambiguity about responsibilities for shipping, insurance, and customs clearance.

Why a clear International Sales Quote matters

A precise quote reduces disputes, speeds procurement, and clarifies obligations for international shipment, taxes, and customs. It also supports accurate invoicing and credit-risk assessment.

Why a clear International Sales Quote matters

Who typically prepares and relies on an International Sales Quote

Teams that prepare or act on international sales quotes often include sales, export compliance, finance, and logistics staff.

  • Export sales representatives and account managers who propose product pricing, delivery windows, and Incoterms to overseas buyers.
  • Finance or credit teams that verify payment terms, currency exposure, and VAT/goods-and-services tax treatment.
  • Logistics and operations teams responsible for scheduling shipment, arranging carriers, and confirming customs documents.

Clear role allocation helps ensure the quote is accurate, compliant with export rules, and aligned with internal billing and shipping capabilities.

Step-by-step: preparing and issuing a sales quote

Follow a consistent sequence to ensure accuracy and compliance before sending a quote internationally.

  • 01
Gather details: Collect SKU, quantities, weights, and dimensions.
  • 02
Calculate landed cost: Include freight, insurance, duties, and handling.
  • 03
Specify terms: Set Incoterm, payment method, and validity period.
  • 04
Send and track: Issue the quote and record acceptance or revisions.

Essential components to include in a professional quote

A complete quote reduces follow-up questions and aligns buyer and seller on commercial, logistical, and legal terms that affect cost and delivery.

Product Details

SKU, description, unit price, quantity, total price, and any product-specific handling or export restrictions to ensure correct customs classification.

Pricing Breakdown

Line-item costs for goods, packaging, freight, insurance, and estimated duties so the buyer sees the full landed cost.

Payment Terms

Accepted currency, payment method (wire, LC, open account), payment schedule, and any required letters of credit or advance payment.

Delivery Terms

Chosen Incoterm, estimated lead time, carrier responsibilities, and delivery point to establish risk and cost allocation.

Compliance Notes

Export control classification, required export licenses, and any sanctions or restricted-party screening requirements relevant to the shipment.

Validity and Signatures

Quote expiry date, acceptance procedure, and signature blocks or electronic acceptance instructions to form a binding agreement when accepted.

Configuring an electronic quoting workflow

Set up fields, authentication, and routing so quotes move automatically from sales to finance and logistics for approval.

Field Configuration
Currency field Restrict to ISO codes and display conversion notes.
Approval routing Route to credit and operations after sales entry.
Authentication Choose email, SMS, or stronger ID verification.
Template locking Lock pricing sections after approval to prevent edits.

Typical routing from quote to accepted order

A predictable handoff reduces errors and shortens sales cycles when working across time zones and multiple teams.

  • Sales prepares quote: Sales fills template and attaches commercial info.
  • Internal approvals: Finance and export compliance review and sign off.
  • Send to buyer: Delivered via email or secure link for acceptance.
  • Buyer acceptance: Buyer signs or issues purchase order to confirm.

Digital signing and eSubmission considerations

Confirm platform support for eSignature, secure delivery, and audit logs before sending quotes internationally.

  • Document formats: Support for PDF, DOCX, and converted HTML documents.
  • Authentication methods: Email links, SMS codes, or advanced signer verification.
  • Integrations: CRM and ERP connections for automatic quote creation.

Ensure the chosen platform can export a tamper-evident copy and a complete audit trail to support enforceability and internal recordkeeping.

Common mistakes when preparing an international quote

  • Omitting Incoterms or using an outdated Incoterm leads to disputes about who pays freight and insurance and can delay customs clearance.
  • Failing to specify currency and payment method exposes both parties to exchange-rate confusion and potential non-payment under differing invoicing expectations.
  • Not including estimated duties and taxes causes unexpected landed-cost increases and buyer pushback during import clearance.
  • Using ambiguous product descriptions or missing HS tariff codes causes customs delays and possible incorrect duty classification.

Who can legally sign an International Sales Quote

Export Manager

The Export Manager typically prepares the quote and can be authorized to sign on behalf of the seller if corporate delegation provides signature authority; confirm internal signatory limits in company charter or delegation of authority policy.

Chief Financial Officer

The CFO or an officer with delegated authority signs payment and credit terms; their signature binds the company to payment obligations and should be recorded with evidence of board-authorized signing limits.

Practical tips for accurate, efficient quoting

Apply a consistent template and approval workflow to reduce errors and accelerate acceptance when dealing with international buyers.

Standardize templates and fields
Use a single template with locked pricing sections and mandatory fields to avoid omissions. Include required customs and compliance fields so exports are processed consistently.
Validate taxes and duties
Check VAT, GST, and customs duty assumptions with customs brokers before issuing quotes. Incorrect duty estimates often create disputes at import.
Record electronic acceptance
Capture signed confirmations, IP address, and timestamp in an audit trail. That evidence supports enforceability under ESIGN and UETA.
Keep version history
Maintain a clear revision log for quote updates. Label versions and retain prior copies to resolve any later disputes about terms or pricing.
