What the Interview Tender Sheet Is and When it’s Used

An Interview Tender Sheet is a standardized procurement document used to summarize requirements, evaluation criteria, and logistical details for vendor or candidate interviews during a competitive selection process. It collects identifying data, interview topics, scoring metrics, and submission instructions so evaluators and invitees share a single source of truth. When issued with an RFP or invitation to interview, the sheet supports consistent comparisons, documents interviewer assignments, and creates an auditable record of interview outcomes for procurement, legal review, and later contract award justification.

Why Use an Interview Tender Sheet

A clear Interview Tender Sheet reduces ambiguity, standardizes scoring, and preserves the procurement record required for audits and contract decisions. It helps enforce consistent interview content and timelines while supporting legal defensibility under procurement rules and internal policies.

Why Use an Interview Tender Sheet

Who Completes and Relies on This Sheet

Typical users prepare and use the sheet to run fair, documented interview rounds across procurement and hiring situations.

  • Procurement officers and contract managers who need standardized vendor evaluation and audit trails.
  • Hiring managers and HR teams running structured candidate interviews across multiple panels.
  • Legal or compliance staff who require documented evidence of equal treatment and selection rationale.

The sheet is retained by procurement, legal, or HR as the official interview record and may be shared with auditors or selection committees.

Step-by-step: Preparing and Issuing the Interview Tender Sheet

Follow this sequence to create, distribute, collect, and archive the Interview Tender Sheet efficiently and in compliance with recordkeeping requirements.

  • 01
Draft: Compile scope, evaluation criteria, schedules, and required attachments before circulation.
  • 02
Review: Obtain legal and procurement sign-off for scoring and disclosure language.
  • 03
Issue: Send to invited parties with submission deadlines and authentication instructions.
  • 04
Collect: Receive completed sheets, record scores, and store signed copies in the official repository.

Configuring a Digital Workflow for the Sheet

Set up the online workflow to place fields, assign roles, and control authentication so signers complete the sheet in the intended order.

Field Configuration
Signature Field Required; date-stamped with audit trail
Scoring Matrix Conditional fields to capture numeric scores
Attachments Allow PDFs and DOCX; set required uploads
Authentication Email link or SMS code; consider stronger methods for vendor confidentiality

How eSubmission and Routing Typically Work

A standard eSubmission flow moves the sheet from issuer to signers, captures evidence of signing, and returns a certified copy to stakeholders.

  • Upload Document: Issuer uploads the completed template to the signing platform.
  • Place Fields: Issuer positions signature, initial, and data fields for each signer.
  • Assign Signers: Add emails and set signing order or parallel routing.
  • Capture Evidence: Platform records timestamps, IP, and completion certificate.
