What IT Project Information captures and why it matters

An IT Project Information form centralizes the essential details needed to plan, approve, and execute an information technology initiative. Typical entries include project name, scope, objectives, stakeholders, schedule, estimated budget, technical requirements, security and compliance needs, third-party vendors, and acceptance criteria. The form creates a single, consistent record used by project managers, procurement, security teams, and executives to make informed decisions and to track approvals across stages of design, procurement, implementation, and go-live.

Why a standardized IT Project Information form adds value

A consistent IT Project Information record reduces ambiguity, speeds approvals, and helps identify compliance or security gaps early. It provides decision-makers with comparable cost and risk data and creates an auditable trail for procurement and post-implementation review.

Why a standardized IT Project Information form adds value

Typical users and when each team engages

Multiple groups use IT Project Information to ensure projects meet technical, budgetary, and regulatory requirements before work begins.

  • Project managers — Use the form to record scope, milestones, resource needs, and status for planning and reporting to stakeholders.
  • Security and compliance teams — Evaluate requirements for data handling, encryption, access controls, and applicable regulations such as HIPAA or FERPA.
  • Procurement and finance — Review budget estimates, vendor selection criteria, and total cost of ownership to approve spend.

Use the completed form as the single source of truth for kickoff, vendor onboarding, and post-implementation audits.

Completing the IT Project Information form step by step

Follow these sequential steps to collect the information required for approval and execution.

  • 01
    1. Identify project: Enter project name, sponsor, and objective succinctly.
  • 02
    2. Define scope: List deliverables, in-scope/out-of-scope items, and acceptance criteria.
  • 03
    3. Record schedule: Add key milestones, target dates, and dependencies.
  • 04
    4. Confirm compliance: List data classifications, regulatory controls, and required approvals.

Typical online workflow settings for digital completion

Configure electronic fields and routing to match your internal approval chain and authentication requirements.

Field Configuration
Signature Type Electronic signature with audit trail
Authentication Email link or SMS code; KBA for sensitive approvals
Routing Order Sequential approvers or parallel review groups
Retention Automatic archive to secure repository after completion

Where completed forms are routed and stored

Understand typical destinations and notification flows after form submission.

  • Project Repository: Saved to project folder in document management system for lifecycle access.
  • Approvals Queue: Routed to approvers with reminders until action is taken.
  • Procurement System: Key financial fields pushed to procurement or P2P platforms.
  • Audit Archive: Signed copy and audit trail archived for compliance and audits.

Technical and security considerations for eSubmission

Ensure the chosen platform supports the authentication, encryption, and integration needs of IT projects.

  • Authentication: Supports email, SMS, KBA, and SSO for stronger signer identity.
  • Encryption: TLS in transit and AES-256 at rest for data protection.
  • Integrations: Connects with systems like NetSuite, Salesforce, Google Workspace, and Box.

Confirm platform certifications and a Business Associate Agreement (BAA) when handling protected health information.

Common timing expectations and deadlines to track

Record dates clearly to align procurement, security review, and implementation windows.

Project Initiation Date:

Date work may begin and baseline for timelines.

Budget Approval Deadline:

Target date by which finance sign-off is required.

Security Review Completion:

Deadline for risk acceptance and control implementation.

Vendor Onboarding:

Date vendor must be contractually cleared to start work.

Target Go-Live:

Planned production launch date for the deliverable.

Key milestones from request to go-live

Track milestones sequentially so stakeholders can see approval dependencies and critical-path items.

01

Request Submission

Form submitted with initial scope and sponsor information.

02

Review & Security Approval

Security and compliance teams verify controls and approve risk posture.

03

Procurement & Contracting

Vendors are selected and contracts executed if required.

04

Implementation and Go-Live

Deployment, acceptance testing, and production launch.

Common mistakes that delay approvals or increase risk

  • Unclear scope descriptions that omit exclusions, causing change orders and delayed sign-off.
  • Missing or inconsistent budget figures that prevent procurement from completing vendor comparisons.
  • Incomplete security classification or control requirements that halt vendor onboarding pending additional assessments.
  • Incorrect sponsor or contact information that breaks routing and leaves tasks unassigned for days.

Consequences of incomplete or inaccurate IT Project Information

Procurement Delays: Projects stalled until missing data is provided.
Budget Overruns: Unexpected costs due to unscoped requirements.
Security Incidents: Unaddressed controls increase breach risk.
Regulatory Noncompliance: Violations when regulated data controls are omitted.
Contractual Exposure: Vague requirements lead to disputes.
Audit Findings: Missing approvals result in negative audit reports.

Required security and compliance entries

Data Classification: Public | Internal | Confidential | Restricted
Encryption: At-rest and in-transit requirements
Access Controls: Role-based access list
BAA Required: Yes or No for PHI
Regulatory Notes: HIPAA, FERPA, or industry rules
Audit Log: Retention and visibility
