What a Job Analysis Report Is and when it’s used

A Job Analysis Report documents the duties, responsibilities, skills, working conditions, and performance criteria for a specific position. It is used by HR, hiring managers, compensation analysts, and classification boards to set job descriptions, grade jobs, establish recruitment criteria, and determine FLSA classification. A clear report separates essential from marginal duties, records physical and cognitive demands, and captures supervisory relationships. Well-prepared reports support hiring, reasonable accommodation decisions under the ADA, performance management, and defenses in labor or pay disputes by showing how job tasks were assessed and validated.

Why a formal Job Analysis Report matters

A Job Analysis Report creates an objective record of role requirements that supports consistent hiring, accurate pay decisions, ADA accommodation assessments, and legally defensible classification. It reduces ambiguity between managers and HR while documenting the basis for employment actions.

Why a formal Job Analysis Report matters

Who typically prepares and reviews this report

The report is usually prepared by HR with input from the direct supervisor and reviewed by legal or classification specialists where required.

  • HR generalist or analyst responsible for classification and job descriptions
  • Hiring manager or supervisor who validates tasks and performance measures
  • Compensation specialist or classification board that approves grade and pay range

Core sections every professional Job Analysis Report should include

A complete Job Analysis Report is structured to capture role identity, essential duties, skills and credentials, working conditions, physical and cognitive demands, and review sign-offs.

Job Identity

Job title, department, location, supervisor, and position code; establishes the reporting line and organizational context for classification.

Purpose Summary

Two-to-three sentence summary of the role’s primary objective and how it supports organizational goals or specific programs.

Essential Duties

Detailed, enumerated list of essential tasks with frequency and percentage of time spent to distinguish core responsibilities from occasional tasks.

Knowledge & Skills

Required education, certifications, technical skills, and preferred competencies tied to measurable performance expectations.

Physical/Cognitive Demands

Document physical requirements, environmental exposures, cognitive load, and decision-making responsibilities for ADA and accommodation analysis.

Approval & Review

Signatures, dates, version number, and reviewers; reference validation method (interview, observation, questionnaire) used to collect data.

Step-by-step: completing a Job Analysis Report

Follow these sequential steps to collect, validate, and finalize the report so it is consistent and defensible.

  • 01
Plan the Analysis: Identify stakeholders and choose methods (interview, observation, questionnaire).
  • 02
Collect Data: Interview incumbent, supervisor, and review job documentation and outputs.
  • 03
Draft Report: Populate fields, list duties with time percentages, and note sources for each entry.
  • 04
Validate and Approve: Obtain manager and HR sign-off; archive with version control and signatures.

How to customize the Job Analysis workflow in an online system

Typical digital workflows include role-based routing, conditional fields, and automated versioning to speed review and maintain audit trails.

Field Configuration
Conditional Duties Section Show additional fields only if the role performs regulated tasks (e.g., driving, patient contact).
Reviewer Routing Route automatically to supervisor, HR, and classification board in sequence.
Signature Capture Enable electronic signatures with timestamp and signer ID for auditability.
Version Control Lock prior versions and record author, date, and change summary on each update.

Where to send or file the completed Job Analysis Report

A clear routing path ensures the report is reviewed, filed, and made accessible to payroll and personnel records systems.

  • Supervisor Review: Supervisor confirms duties and signs the report prior to HR submission.
  • HR Classification: HR analyst reviews, assigns job code, and recommends grade or FLSA status.
  • Legal or Labor Review: Where collective bargaining or legal risk exists, route to labor relations or counsel.
  • Archive: Store final signed report in HRIS and personnel file for retention and audit.

Digital signing and file formats to support the Job Analysis Report

Use platforms that produce auditable signed PDFs, retain metadata, and integrate with HR systems to prevent manual rekeying.

  • File Formats: PDF and DOCX are the most compatible with HRIS and document management systems.
  • Authentication: Support email, SMS, or SSO authentication for stronger signer attribution.
  • Integrations: Integrates with HRIS, Google Workspace, Microsoft 365, and document repositories for seamless archiving.

Maintain an audit trail that records signer identity, timestamps, IP address, and revision history; preserve signed copies for retention obligations.

Typical timelines and deadlines for preparing and approving the report

Set clear internal deadlines to avoid delays in hiring, payroll changes, or classification appeals.

Data Collection Window:

Two weeks from initiation to collect interviews and documents.

Draft Completion:

One week after data collection to produce the initial draft.

Manager Sign-off:

Three business days for supervisor review and corrections.

HR Review:

Five business days for classification, compensation, and legal review.

Final Filing:

File signed report in HRIS within three business days of final approval.

Common pitfalls to avoid when preparing a Job Analysis Report

  • Vague duty descriptions that do not identify measurable outputs or frequency, which undermines classification and accommodation decisions.
  • Failing to document sources and validation methods (interviews, observation), leaving the report open to challenge in grievances.
  • Omitting physical or cognitive demands, which complicates ADA accommodation assessments and return-to-work determinations.
  • Neglecting version control and signatures, which makes it difficult to prove which job content applied at a given date.

Risks if the Job Analysis Report is incomplete or incorrect

FLSA Misclassification: Exposure to wage and hour claims and back pay.
ADA Noncompliance: Denial of reasonable accommodation risk and potential litigation.
Collective Bargaining Disputes: Grievances over job duties or bargaining unit placement.
Payroll Errors: Incorrect pay grade assignments and related payroll adjustments.
Recordkeeping Gaps: Failure to retain signed reports can weaken defense in audits.
Operational Risk: Unclear duties leading to performance disputes and turnover.

Who typically signs and certifies the Job Analysis Report

HR Manager

The HR manager or classification analyst certifies that the report follows organizational templates, confirms the classification decision, and records version control and filing instructions in the HRIS.

Hiring Manager

The hiring manager or direct supervisor signs to validate the accuracy of duties, percentage time estimates, and physical/cognitive demands based on observation and incumbent input.

Real-world scenarios showing how Job Analysis Reports are used

These examples show typical outcomes when a report is prepared and applied correctly in organizational processes.

Municipal Classification Review

A city HR team completed a systematic analysis of a field inspector role using observation and supervisor interviews

  • Data captured 60% field inspection, 20% reporting, 20% travel
  • The resulting report justified a reclassification and adjusted the pay grade, with signed approvals retained in the personnel file for audit.

Hospital Role Validation

A hospital used a Job Analysis Report to document essential functions and lifting requirements for nursing positions

  • Physical demand metrics supported accommodation requests
  • Documented duties and credential checks streamlined onboarding and reduced disputes during leave and return-to-work processes.

Practical tips for accurate and efficient Job Analysis Reports

Applying a few consistent practices will increase accuracy and reduce follow-up work.

Use multiple data sources
Combine interviews, direct observation, and work output review to triangulate duties and time estimates rather than relying on a single interview.
Quantify duties
Assign percent time or frequency to each essential duty to aid workload and FLSA analyses and to make comparisons across roles.
Standardize vocabulary
Use consistent terms for actions and tools (e.g., 'prepare reports' vs 'paperwork') so classification and competency frameworks can map reliably.
Record validation evidence
Note who provided each data point and how it was verified; this reduces challenge risk during audits or grievances.
