What a Job Placement Notice Is and when it’s used

A Job Placement Notice is a formal written statement that documents the placement of a candidate into a role by an employer or placement agency. It records core placement details — parties, job title, start date, compensation, reporting location, and any conditions of placement — and serves as the basis for payroll, tax forms, and onboarding. This notice can be a standalone document or part of a placement agreement; it is typically shared with the worker, the client employer, and retained by the placement agency for compliance and recordkeeping.

Why issuing a clear Job Placement Notice matters

A clear notice reduces disputes, documents acceptance of placement terms, and supports downstream payroll and tax reporting. It provides an auditable record that helps demonstrate consent and attribution under U.S. e-signature law (ESIGN, UETA).

Why issuing a clear Job Placement Notice matters

Who typically prepares and receives this notice

Placement agencies, HR teams, hiring managers, and contracting departments commonly prepare the notice and circulate it to stakeholders before the placement begins.

  • Placement agencies and recruiters: create the notice to confirm client and candidate details and protect contractual rights.
  • Hiring managers and client employers: receive notice to confirm start dates, location, and reporting structure.
  • Placed workers and contractors: receive the notice to accept or query placement terms prior to starting work.

Essential elements a professional Job Placement Notice should include

A complete notice organizes placement data so recipients can quickly verify key terms and next steps. Include identity, role, compensation, reporting details, conditions, and signature lines to make the notice effective for onboarding and recordkeeping.

Parties

Legal names and roles of the placement agency, client employer, and the placed worker, including business entity types where applicable and a contact person for questions.

Placement Details

Job title, description, expected hours per week, assignment location, and any remote or hybrid work conditions so expectations are unambiguous.

Compensation

Pay rate, pay period, overtime rules if applicable, expense reimbursement terms, and whether the worker is an employee, temporary worker, or independent contractor.

Start & End Dates

Effective start date formatted as MM/DD/YYYY, expected end date or duration, and any probation or review periods tied to the placement.

Conditions

Background checks, drug testing, certifications required, licensing, or client-specific onboarding steps that must occur before or shortly after the start date.

Signatures

Signature and printed name fields for authorized agency representative, hiring manager, and placed worker, plus date fields and space for witness or notary when required.

Required fields to include for accuracy and compliance

  • Entering mismatched legal names or incorrect start dates that delay payroll and background checks.

  • Not retaining an auditable signed copy, complicating audits, tax reporting, or dispute resolution.
