What a Job Request Card Is and when teams use it

A Job Request Card is a standardized internal form used to initiate, document, and approve discrete work orders or project tasks. Typical uses include new service requests, maintenance jobs, IT tickets, and one-off professional engagements. The card captures requester and project details, scope, schedule, cost estimates, required approvals, and attachments so teams can route work consistently and track fulfillment. When handled electronically and combined with an audit trail from an eSignature provider such as signNow, the Job Request Card supports secure approvals, versioning, and reproducible records for later review or audit.

Why a clear Job Request Card matters

A complete Job Request Card reduces ambiguity, speeds approvals, and creates an auditable record of scope, cost, and authorization. Consistent cards lower rework, support budget control, and help enforce safety or compliance checks before work begins.

Why a clear Job Request Card matters

Who typically prepares and approves a Job Request Card

Departments and roles that commonly create or review Job Request Cards.

  • Project managers — prepare requests, define scope, and route approvals for resources and budget.
  • Facilities or maintenance supervisors — submit service jobs, schedule vendors, and confirm safety requirements.
  • Procurement teams — validate vendor selection, cost estimates, and contract terms before purchase orders are issued.

Responsibility usually flows from requester to manager to procurement or finance for acceptance and execution.

Step-by-step: Completing a Job Request Card

Follow these ordered steps to produce a complete card that can be routed for approval and executed without delays.

  • 01
    1. Create: Enter requester, project title, and unique identifier.
  • 02
    2. Describe: Detail scope, deliverables, and acceptance criteria.
  • 03
    3. Cost & Schedule: Provide budget estimate, payment terms, and target start date.
  • 04
    4. Route: Select approvers, attach documents, and submit for sign-off.

How to configure an online Job Request Card workflow

Common workflow settings ensure the form captures required approvals and triggers downstream processes automatically.

Field Configuration
Approval Routing Set conditional two-step or multi-step approvals by role.
Conditional Fields Show or hide fields based on job type selections.
Attachment Rules Require specific file types (PDF, DOCX) and size limits.
Integrations Connect to ERP/CRM for purchase orders and record sync.

Where to send the Job Request Card after completion

Routing depends on your organization’s approval tiers and whether the card triggers vendor procurement or internal work orders.

  • Direct Approver: Email or system route to immediate manager for first-level approval.
  • Procurement: Forward to procurement for vendor validation and purchase order creation.
  • Finance: Send cost estimates to accounts payable for budget checks.
  • Vendor / Field Team: Share signed card with vendor or on-site team as work authorization.

Digital formats and integrations to support eSubmission

Ensure your Job Request Card can be uploaded, signed, and exchanged in common enterprise formats.

  • Formats: PDF | DOCX | HTML | XLSX supported
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • Authentication: Email link, SMS code, or stronger KBA options

These platform capabilities help automate approvals, preserve audit trails, and integrate signed cards with back-office systems.

Typical timelines and processing expectations

Set realistic lead times and communicate expected turnaround to avoid scheduling conflicts and supply delays.

Submission Lead Time:

Submit requests at least five business days before planned start.

Manager Approval:

Expect first-level approval within three business days.

Procurement Review:

Allow up to seven business days for vendor sourcing.

Vendor Scheduling:

Scheduling often occurs within 7–14 days after approval.

Invoice Submission:

Vendors typically submit invoices within 30 days post-completion.

Common mistakes to avoid when preparing a Job Request Card

  • Incomplete scope descriptions that omit deliverables and acceptance criteria, leading to scope disputes and rework.
  • Missing attachments such as quotes, permits, or drawings, which delay procurement checks and vendor scheduling.
  • Incorrect cost estimates that exclude taxes, freight, or contingency, causing budget overruns and payment disputes.
  • Routing to the wrong approver or failure to set conditional approvals, which stalls the workflow and extends lead time.

Risks and consequences of an incorrect or incomplete Job Request Card

Schedule Delays: Work postponed; lost productivity
Cost Overruns: Unexpected charges or budget shortfalls
Contract Disputes: Vendor disputes over scope or payment

Real-world examples of Job Request Card use

Two customer examples illustrate how standardized cards remove friction and preserve compliance while enabling remote approvals.

Optica Ventures — Operations

The team standardized request cards for property work orders to centralize approvals and vendor selection.

  • They reduced miscommunications by consolidating attachments and approvals into one record.
  • As a result, operations reported fewer scheduling conflicts, faster vendor mobilization, and a clearer audit trail for billing and maintenance history across their portfolio.

Martin Properties — Field Services

Field teams used a mobile Job Request Card to capture scope and photos directly on site.

  • The mobile card replaced paper tickets and manual entry.
  • That change improved turnaround times, ensured consistent acceptance criteria, and produced signed work authorizations stored with the property record for compliance and warranty purposes.

Best practices for accurate and efficient Job Request Cards

Adopt these practical measures to reduce errors, accelerate approvals, and improve downstream billing and reporting.

Use a standardized template
Maintain a single approved Job Request Card template with required fields, conditional logic, and mandatory attachments to reduce omissions and support consistent approvals across teams.
Require essential attachments
Make quotes, drawings, permits, and safety checklists mandatory where applicable so approvers have necessary context and procurement can validate vendor terms.
Define approval limits
Set monetary thresholds and role-based routing to ensure that larger expenditures receive higher-level review without manual intervention or ad hoc escalation.
Preserve audit trails
Capture signer identity, timestamps, and version history; retain signed cards in secure storage to support audits, warranty claims, and regulatory reviews.
