Practical tips for fast, accurate completion

Apply these practices to reduce errors and speed processing of Job STR Applications.

Pre-fill common fields
Where permitted, pre-fill known applicant data from your ATS to reduce typing errors and speed submission. Ensure applicants can review and correct pre-filled fields before signing to avoid accuracy issues.
Use clear date formats
Require MM/DD/YYYY for all dates and validate entries to reduce cross-border confusion and incorrect timeline interpretations during background checks or eligibility assessments.
Require explicit consent
Include clear, separate consent checkboxes for background checks and data sharing. ESIGN requires demonstrable consent and the ability to withdraw for consumer-facing records under 15 U.S.C. §7001.
Audit and retention policy
Preserve a PDF with an audit trail for every signed application. Document retention policies should align with IRS, HIPAA, and state rules and be enforced in the HRIS.
