What a Jobsite Information Sheet Is and when it's used

A Jobsite Information Sheet is a concise project-level form used to record essential site details—location, project number, primary contacts, contractor and subcontractor information, safety contacts, access instructions, and permit references. It acts as a single-source reference for field crews, inspectors, delivery drivers, and office teams to reduce confusion, speed onsite coordination, and document conditions at project start and during turnover.

Why maintain a clear Jobsite Information Sheet

A complete Jobsite Information Sheet reduces delays, supports safety and compliance, and provides an auditable record of who controlled the site and when. It simplifies deliveries, inspections, and onboarding of temporary workers while helping resolve payment or scope disputes.

Why maintain a clear Jobsite Information Sheet

Who prepares and relies on the Jobsite Information Sheet

Typical users prepare and consult this sheet at mobilization and whenever site conditions or contacts change.

Maintain a current copy on-site and in your project management system so field and office stakeholders reference the same data.

Core sections every professional Jobsite Information Sheet should include

A standard Jobsite Information Sheet groups information so each reader can find what they need quickly. Arrange sections for site ID, contacts, permits, safety, logistics, and signatures then keep the document concise and dated.

Project Identification

Project name, project number, client/developer, address, and GPS coordinates. Use the official project ID used across schedules and contracts so records match.

Primary Contacts

Names, roles, phone and secondary contact methods for the on-site superintendent, project manager, owner rep, and safety officer for immediate reachability.

Permits and Approvals

List permit numbers, issuing authority, expiration dates, and any on-site display or availability requirements to support inspections and compliance.

Logistics and Access

Delivery gates, hours, staging areas, weight limits, parking rules, and special directions that affect material deliveries, heavy equipment, and emergency access.

Site Safety

Emergency contact, nearest hospital, required PPE, and on-site first-aid or AED locations to meet basic safety communication needs.

Signatures and Acknowledgments

Block for contractor and owner signatures, date, and acceptance of the conditions and responsibilities recorded on the sheet.

Where to file or send completed Jobsite Information Sheets

Use these destination roles to ensure the sheet is available to both on-site personnel and office teams that manage scheduling, compliance, and payments.

  • Field Superintendent: Provide a printed or mobile copy on site for daily reference and to brief incoming crews.
  • Owner / Developer: Send a signed copy to the owner or owner’s rep for their records and approvals.

Practical tips for accurate and efficient Jobsite Information Sheets

Apply these practices to keep the sheet current and useful to field and office teams.

Standardize project identifiers
Use the same project name and ID across all forms, invoices, and permit documents so digital searches and integrations locate every record reliably.
Use conditional fields
Show only relevant fields—such as hazardous materials or overtime access—based on selected project attributes to reduce clutter and input errors.
Keep history of revisions
Save each dated version and include a short revision note describing what changed and who approved it for auditability and to resolve future disputes.
Train field users
Provide a brief checklist or one-page instruction for superintendents and delivery staff so they know which parts to verify and which contacts to use.

Real-world examples of Jobsite Information Sheet use

These short case notes show how teams used a centralized sheet to improve on-site coordination and recordkeeping.

Martin Properties (Construction)

A mid-size contractor standardized a single sheet for each project to reduce delivery errors and rework.

  • Centralized sheet reduced site delays.
  • The team reported faster turnarounds for deliveries and approvals and fewer phone calls coordinating access and staging.

BIS (Project Services)

An operations team attached permit snapshots and contact trees to each sheet for public works jobs.

  • Permit-linked sheets improved inspections.
  • Inspectors received up-to-date permit details on arrival, cutting inspection time and reinspection rates on multi-shift projects.
