What the Lease Agreement Signature Page Is

The Lease Agreement Signature Page is the concluding page of a residential or commercial lease that collects signatures, printed names, dates, and execution details from all parties. It confirms the parties who agreed to the lease terms and ties signature blocks to the body of the agreement and any referenced exhibits. A complete signature page shows who signed, when, and under what authority, and it serves as the official execution record used to enforce lease obligations, calculate notice periods, and document receipt of disclosures.

Why a Clear Signature Page Matters

A properly completed Lease Agreement Signature Page reduces disputes about execution, clarifies signatory authority, and supports enforceability under federal ESIGN rules (15 U.S.C. §7001) and state electronic transaction laws such as UETA.

Why a Clear Signature Page Matters

Who typically completes the signature page

Typical users include landlords, property managers, tenants, and leasing agents who need a clear execution record.

  • Landlords and property managers: document execution for multiple units and corporate signatories.
  • Tenants: confirm identity, date of signing, and receipt of required disclosures or move‑in instructions.
  • Third‑party agents (brokers, attorneys): signatory authority lines and date stamps for delegated signatures.

Accurate signature pages shorten move‑in workflows, reduce disputes, and document the exact date obligations begin.

Who signs and why

Jane Doe, PM

As property manager, Jane executes lease signature pages on behalf of owners, tracks tenant initials, and ensures all required disclosures are signed. She logs the execution date, maintains copies for compliance, and arranges notarization or RON when legal or contractual language demands it.

John Smith, Tenant

As tenant representative, John signs to accept lease terms, documents his mailing address and emergency contact, and confirms receipt of move‑in condition reports. He keeps a dated copy for records and uses the signature page to prove acceptance of rent, deposit, and notice provisions.

Essential elements on a professional signature page

A professional Lease Agreement Signature Page combines clear signatory blocks, printed names, dates, and authority statements so the execution is unambiguous and legally useful.

Execution Lines

Separate signature lines for each party with printed name and title to confirm who executed the lease and in what capacity.

Date Fields

Date of signature and effective date fields that determine when obligations and notice periods begin.

Authority Statement

A brief line stating the signer’s authority (owner, manager, authorized agent) when a corporate or third‑party signatory executes the lease.

Witness/Notary

Notary or witness blocks when state law, local practice, or lender requirements make notarization or witnessing advisable.

Reference Clause

A statement tying the signature page to the main lease and any exhibits by date and title to avoid ambiguity.

Delivery Record

A line for how and when signed copies were delivered (email, hand delivery, RON session) to track service of the executed document.

How to complete the Lease Agreement Signature Page

Follow these ordered steps to reduce errors and ensure the signature page proves execution.

  • 01
Review the lease: Confirm lease term, rent, and exhibits match references on the signature page.
  • 02
Fill party details: Enter full legal names, addresses, and titles before signing.
  • 03
Sign and date: Each party signs, prints name, and dates in MM/DD/YYYY format.
  • 04
Distribute copies: Provide signed copies to all parties and retain an executed original for records.

How to set up an online signing workflow

Configure an eSignature workflow that captures required fields, authenticates signers, and saves executed copies automatically.

Field | Configuration Signer Field | Required; initial and signature fields
Authentication Method Email link | Basic; use SMS or KBA for higher assurance
Audit Trail Enable | Capture IP, timestamp, and action log
Document Format PDF | Final signed file stored as PDF/A
Notifications Send | Automatic copy to all parties after execution

Where to send and file the executed page

Know where executed signature pages should be delivered, who keeps originals, and how eCopies are retained.

  • Landlord Records: Keep original or signed PDF in property file and accounting records.
  • Tenant Copy: Provide tenant a dated, signed copy promptly after execution.
  • Agent/ Broker: Send executed copy to broker or agent for their transaction file.
  • Registrar/ County: Record only if lease requires recording; otherwise retain internally.

Delivery and digital signing considerations

Choose a delivery method that preserves the execution record, audit trail, and signer authentication.

  • File Formats: PDF, DOCX supported; use PDF/A for long‑term storage.
  • Integrations: Connect to cloud storage and CRM for automated filing.
  • Authentication: Email, SMS, or stronger methods per risk level.

Required data elements on the signature page

Full Legal Name: Signer’s legal name
Signature: Hand or e‑signature
Printed Name: Readable printed name
Title/Capacity: Role or authority
Execution Date: MM/DD/YYYY
Notary/Witness: If applicable

Key timelines to track when executing a lease

Track signature dates and related deadlines that are commonly triggered by execution to meet statutory or contractual obligations.

Execution Date:

Date signed; determines when tenant and landlord obligations begin

Effective Date:

If different from execution, this starts the lease term

Security Deposit Accounting:

State statutes often require accounting or deposit placement within specific days after receipt

Move-in Condition Deadline:

Tenant typically must provide defect notices within a short window after occupancy

Notice Periods:

Termination and renewal notice periods measured from execution or effective date

Common mistakes to avoid

  • Leaving capacity or title blank, which can invalidate corporate signings and require corrective affidavits.
  • Using inconsistent dates between the signature page and the lease body, creating ambiguity over when obligations start.
  • Not capturing signer identity or contact information, which complicates service of notices or rent collection.
  • Assuming notarization is required; unnecessary notary steps can increase cost and delay execution.

Risks if the signature page is incorrect

Enforceability Risk: Lease may be contested
Administrative Delay: Move‑in or rent processing delayed
Financial Exposure: Security deposit disputes
Recording Issues: Failure to record required documents
Compliance Gaps: Missing statutory notices
Legal Costs: Higher litigation or correction fees
