What 'Legal Signatures Only' means

Legal Signatures Only describes a document template or submission that captures one or more legally valid signatures without collecting substantive new contract terms or supplemental data. The template is used where parties have already agreed to terms separately or where signature acknowledgment, consent, or attestation is required as a discrete action. Because the form focuses on signature capture, workflow and authentication controls are critical: the document must record signer intent, identity attribution, and retention metadata to meet U.S. e-signature law and evidentiary standards.

When a signatures-only form is appropriate

Use a signatures-only document when you need a clear, auditable record of consent, acceptance, or attestation and when the legal substance of the agreement exists elsewhere; this reduces data duplication and simplifies signer experience while preserving legal evidentiary elements.

When a signatures-only form is appropriate

Typical users and signers

Organizations across industries use signatures-only documents to collect attestations, approvals, or acknowledgment of previously negotiated terms.

  • Legal and compliance teams who need discrete client or counterparty acknowledgements without reissuing full agreements
  • HR and payroll administrators collecting employee acknowledgements for policies or handbooks
  • Healthcare providers capturing patient acknowledgements or consent confirmations

These forms are useful when speed and minimal friction are priorities, provided required authentication and retention requirements are observed.

Step-by-step: completing a Legal Signatures Only form

Follow these concise steps to prepare, authenticate, and archive a signatures-only record while preserving legal validity.

  • 01
Prepare document: Attach or reference the underlying agreement before sending.
  • 02
Add fields: Place signature, date, and role fields in clear locations.
  • 03
Select authentication: Choose appropriate signer verification (email, SMS, KBA).
  • 04
Capture audit trail: Ensure timestamps, IP, and certificate data are recorded.

Simple workflow for signatures-only submissions

A concise signing flow reduces friction while ensuring each legal element of an e-signature event is recorded for future proof.

  • Upload document: Host the signatures-only form or reference the primary agreement.
  • Assign signers: Enter signer contact details and role order.
  • Authenticate signer: Send link with email or SMS code verification.
  • Complete signing: Signer reviews and applies signature; system records evidence.

Recommended digital configuration settings

Configure a minimal, secure workflow to capture intent, identity, and retention metadata for each signatures-only transaction.

Field Configuration
Authentication Email link or SMS code verification
Signature Type Click-to-sign or handwritten on device
Notifications Automated reminders and completion emails
Retention Audit trail retained with document export

Technical and format considerations

Choose a platform that supports secure authentication, audit trails, and export to standard formats.

  • Integrations: Salesforce, Microsoft 365, NetSuite, Google Workspace support
  • File formats: PDF, DOCX, HTML, and PDF/A for archiving
  • Security: AES-256 at rest and TLS 1.2/1.3 in transit

Verify the chosen platform can produce a signed copy with an embedded audit trail and supports required compliance controls.

Common preparation errors to avoid

  • Sending a signatures-only form without referencing the controlling agreement can lead to ambiguity about what the signer is attesting to.
  • Using weak or missing authentication may make attribution difficult and increase the chance of a successful repudiation claim.
  • Failing to capture a complete audit trail (timestamps, IP, device) reduces evidentiary weight in legal or regulatory reviews.
  • Neglecting state-specific witness or notarization requirements can render signatures invalid for deed, probate, or power of attorney purposes.

Essential components of a professional signatures-only record

Retention Metadata

Document versioning, storage format (PDF/A), and retention timestamps to meet regulatory retention obligations.
