What the Legitimisation Copy Document Is

A Legitimisation Copy Document is a formal declaration that a reproduced document is a true, complete, and accurate copy of an original. Organizations use it to certify identity documents, corporate records, transcripts, translations, and other records when an original cannot be provided. It accompanies administrative or legal filings, supports identity verification workflows, and may be combined with notarization, remote online notarization (RON), or an eSignature audit trail to prove authenticity for domestic or cross-border processes.

Why a Legitimisation Copy Document Matters

A Legitimisation Copy Document reduces friction when an original document is unavailable, helps meet agency or counterparty verification requirements, and creates an auditable record that supports admissibility and administrative acceptance.

Why a Legitimisation Copy Document Matters

Typical users and scenarios

Common organizations and roles that request or prepare a legitimisation copy are listed below.

  • Universities and registrar offices requesting certified transcript copies for admissions and credential evaluation.
  • Immigration counsel and applicants submitting document copies with USCIS forms and petitions.
  • Banks and compliance teams verifying identity or corporate authority for account opening and KYC.

Selecting the correct signer and supporting evidence reduces the chance of rejection and accelerates downstream processing.

Step-by-step: preparing a Legitimisation Copy Document

Follow these sequential steps to prepare a clear, acceptable legitimisation copy for administrative or legal use.

  • 01
Collect Originals: Locate the original document(s) and verify legibility.
  • 02
Make Copy: Create a clean, full-page copy without cropping or annotations.
  • 03
Complete Declaration: Add a signed statement certifying the copy is a true reproduction.
  • 04
Add Authentication: Obtain notary, RON, or eSignature audit trail as required.

Common preparation pitfalls to avoid

  • Submitting low-resolution scans that obscure security features or small text, leading to rejection or requests for certified originals.
  • Failing to name the signer’s capacity (for example, not indicating the certifier is a registrar or notary) which undermines the attestation.
  • Overlooking recipient requirements for notarization or RON acceptance and assuming a simple signed declaration will be sufficient.
  • Providing inconsistent dates or incomplete fields (e.g., missing issuing authority) that trigger administrative rework and delay.

Essential components of a professional legitimisation copy

Include clear structural elements to improve acceptability and create a durable, auditable record for reviewers and systems.

Clear copy

A full-page, legible reproduction showing all margins and security features reduces the chance of rejection and helps visual verification.

Signed declaration

A concise statement signed by the certifier that the copy matches the original, including certifier name and printed capacity.

Signer capacity

Explicitly state whether the signer is the original holder, a registrar, notary public, or authorized representative for legal clarity.

Authentication stamp

Notary acknowledgement, RON certificate, or institutional seal provides additional accepted proof of authenticity for many recipients.

Date and jurisdiction

Record the date and jurisdiction where the certification occurred, as acceptance can be jurisdiction-dependent for notarized copies.

Retention note

Document how and where the certified copy and any RON recordings or audit trails will be stored and for how long.

How authentication and eSubmission typically flow

This high-level flow shows how a legitimisation copy moves from preparation to authenticated delivery, whether physical or digital.

  • Prepare copy: Scan or photocopy the original full page.
  • Attach declaration: Include signed certification language.
  • Authenticate: Notary, RON, or institutional stamp applied.
  • Deliver: Send to recipient with audit trail.

Suggested digital workflow settings

A minimal set of configuration choices for electronic preparation and secure delivery of a legitimisation copy.

Field Configuration
Signature Type Audit-trail eSignature with timestamp
Authentication Email + SMS code or ID check
Document Format PDF/A for long-term preservation
Retention Encrypted storage with access logs

Technical and integration considerations

Choose a platform that supports secure uploads, notarization or RON workflows, and a retrievable audit trail.

  • File types: PDF, DOCX
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: KBA, SMS, SSO

Typical timelines and recipient deadlines

Time-sensitive submissions and retention obligations vary by receiving agency and document type—confirm deadlines before sending.

University admissions:

Submit certified copies by program deadline or risk application hold.

USCIS filings:

Include required certified copies per form instructions at time of filing.

Banking KYC:

Provide certified identity documents during account onboarding to avoid delays.

Notary timing:

Complete notarization or RON within recipient-specified validity periods.

Record retention:

Retain copies per regulatory retention schedules after submission.
