What the Locker Room Use Agreement Is

A Locker Room Use Agreement is a written contract that sets the terms for access to and use of locker room facilities at a school, gym, workplace, or recreational venue. It defines who may use lockers, storage limits, acceptable items, cleaning and maintenance responsibilities, access hours, and rules for lost property. The agreement also clarifies liability, indemnification, and procedures for violations or removal of property. Tailoring these provisions reduces disputes and makes enforcement and incident response clearer for facility managers and users.

Why a Clear Agreement Matters

A concise Locker Room Use Agreement protects property, clarifies responsibilities, and limits organizational liability. It documents consent to rules, enables consistent enforcement, and supports safe operations while providing an auditable record of user acceptance.

Why a Clear Agreement Matters

Who Typically Completes This Agreement

Use the completed agreement to support enforcement, inventory tracking, incident response, and periodic audits.

  • School administrators and athletic directors who assign lockers to students or teams and need written permission and conduct rules.
  • Gym and recreation center managers who require user acknowledgment of storage limits, prohibited items, and liability waivers.
  • Workplace safety or security officers who control employee locker access and maintain property records for investigations.

Primary Signers and Their Roles

Facility Manager

Facility managers review, issue, and revoke locker assignments. They are responsible for enforcing rules, documenting condition reports, and coordinating maintenance or cleaning schedules for lockers and associated areas.

Locker User

The locker user (student, employee, member) signs to accept rules, permit inspections within defined limits, and acknowledge liability or storage restrictions. Their signature documents consent and attribution for enforcement and audits.

Core Elements a Professional Agreement Should Include

A robust Locker Room Use Agreement balances operational rules, user rights, and compliance language to reduce disputes and support facility safety.

Parties

Clear identification of the facility and individual user, including legal entity names and full legal names for attribution and enforcement.

Access Terms

Hours of access, conditions for temporary or permanent suspension, and the process for returning or repossessing locker contents.

Prohibited Items

Explicit list of items not allowed (hazardous materials, illegal goods) and consequences for storing prohibited property.

Maintenance & Inspections

Procedures and frequency for inspections, notice requirements, and how maintenance issues are reported and rectified.

Liability & Indemnity

Limitations of facility liability for theft or damage, user indemnity obligations, and insurance expectations where applicable.

Termination

Conditions for ending access, timelines for vacating lockers, and disposal procedures for unclaimed items.

Return of Property:

Common Mistakes to Avoid

  • Using vague language about allowed contents or liability, which can lead to disputes and inconsistent enforcement across users.
  • Failing to capture a clear effective date or locker identifier, resulting in mismatched records during audits or when resolving claims.
  • Neglecting to specify inspection notice or frequency, which can create legal challenges around privacy and search consent.
  • Relying on unsigned or implied acceptance rather than a signed record, weakening enforceability and increasing administrative friction.
