What the Lot Package for Real Estate Is and When it Applies

A Lot Package for Real Estate is a consolidated set of documents assembled to convey, transfer, or record rights in a specific parcel or lot. It typically includes the executed deed or deed draft, legal description, plat map, seller and buyer contact details, title-related disclosures, required affidavits, and any municipal or HOA paperwork needed to complete a transaction or municipal filing. Agents, title companies, developers, and closing attorneys use the package to verify property boundaries, disclosure compliance, and chain of title before recording or closing.

Why a Complete Lot Package Reduces Risk and Delays

A fully assembled Lot Package centralizes required records, clarifies legal descriptions, and streamlines title review and recording. By collecting all supporting items before closing or submission, parties reduce rework, expedite lender underwriting, and limit recording rejections.

Why a Complete Lot Package Reduces Risk and Delays

Common Users and Roles for the Lot Package

The Lot Package ensures the right parties have the information needed to resolve encumbrances and meet recording office requirements before the transaction moves forward.

  • Real estate brokers and sales agents preparing closing documentation and buyer disclosures.
  • Title companies and abstractors verifying legal description, easements, and chain of title.
  • Lenders and underwriters assessing collateral completeness and recording requirements.

Essential Elements to Include in a Professional Lot Package

A professional Lot Package groups legal, survey, and administrative records so reviewers can quickly validate ownership and encumbrances. Organize items, label exhibits clearly, and include contact information for each responsible party.

Deed or Draft

Executed deed or preparatory draft with full legal description and grantor/grantee names.

Legal Description

Metes-and-bounds or recorded lot description matching county records and plat references.

Plat Map

Recorded plat or survey map showing lot boundaries, easements, setbacks, and improvement locations.

Title Exceptions

List of recorded liens, easements, covenants, or conditions that affect the lot.

Disclosure Forms

Seller disclosures, hazard notices, and any state-mandated property condition forms.

Supporting Affidavits

Affidavits of heirship, occupancy, or marital status and any required notarizations.

Data Points Typically Required in the Lot Package

Property Address: Street, city, state, ZIP
Parcel ID: County assessor parcel number
Legal Description: Full recorded lot description
Owner Name: Full legal name as on title
Survey Reference: Plat book and page or survey date
Recording Info: County recording book and instrument number

Step-by-Step: Preparing and Delivering a Lot Package

Follow a consistent sequence when assembling the Lot Package to reduce errors and rework during title review and recording.

  • 01
Collect Documents: Gather deed, survey, disclosures, and title exceptions.
  • 02
Verify Names: Confirm party names against ID and prior records.
  • 03
Complete Fillables: Populate fields, dates, and notarization blocks.
  • 04
Deliver for Review: Send to title officer, lender, or county recorder.

Typical Digital Workflow Settings for an eLot Package

When assembling the Lot Package in a document platform, configure signing order, authentication, and required fields to match legal and recording requirements.

Field Configuration
Signing Order Specify sequential order: seller → buyer → notary
Authentication Email + SMS code or ID verification for notary
Required Fields Name, date, parcel ID, signatures, and notary block
Retention Enable audit trail and PDF/A export

Technical Considerations for eSubmission and eSigning

Ensure the platform can produce an auditable certificate of completion and export a recorder-ready PDF to match county requirements.

  • Formats Supported: PDF, DOCX, HTML
  • Integrations: CRM and cloud storage connectors
  • Security: TLS in transit and AES-256 at rest

How the Digital Lot Package Flow Typically Works

A standard digital process reduces handoffs and provides an auditable timeline for all participants from preparation to recording.

  • Upload Documents: Import deed, plat, disclosures into a single file or packet.
  • Place Fields: Add signature, date, and notary fields in the correct locations.
  • Authenticate Signers: Use email, SMS, or ID verification as required.
  • Export & Record: Export final PDF with audit trail for county recorder submission.

Timing Considerations and Typical Deadlines

Some Lot Package elements are time-sensitive: recording dates, tax prorations, and mortgage payoff windows affect closing schedules and legal priorities.

Recording Timing:

Record promptly after closing to protect priority and avoid lien conflicts.

Survey Age:

Some lenders require surveys dated within a specified period for underwriting.

Tax Proration Date:

Use the closing date to compute seller/buyer prorations.

Escrow Deadlines:

Meet lender disbursement and payoff cutoffs to avoid delays.

Notary Window:

Complete notarizations close to signing to ensure commission validity.

Key Milestones From Preparation to Recording

A sequential milestone view helps teams coordinate tasks and confirm dependencies before recording a deed or completing a closing.

01

Pre-Closing Review

Title search and exceptions clearance are confirmed before signing.

02

Document Execution

Seller and buyer sign in the required order, with notarizations where necessary.

03

Final Audit

Title officer reviews executed documents and attachments prior to delivery.

04

Recordation

Submit to county recorder and obtain instrument number and receipt.

Common Preparation Pitfalls to Avoid

  • Using an informal or paraphrased legal description that does not match recorded documents can result in recording rejections and title defects.
  • Mismatched party names between deed, ID, and title commitment often trigger requests for corrected instruments or affidavits, delaying closing.
  • Missing notary acknowledgements or improper notary language leads to rejection by the county recorder and requires re-signing with a valid notary.
  • Failing to include required exhibits such as survey plats, easement documentation, or HOA disclosures creates incomplete packages and slows underwriting.

Consequences of an Incorrect or Incomplete Lot Package

Recording Rejection: Requires re-execution and re-recording
Title Delay: Closing and funding may be postponed
Lien Risk: Priority may be affected if not recorded timely
Financial Costs: Additional notary, recording, or courier fees
Legal Exposure: Disputes over boundaries or encumbrances
Tax Issues: Incorrect proration or assessment errors

Real-World Use Cases for Lot Packages

Examples show how teams use Lot Packages to resolve title issues and accelerate closing.

Title Company Closeout

A title company compiled the lot package to clear easement exceptions

  • It confirmed legal descriptions matched the county plat
  • The organized packet reduced title objections and allowed same-week recordation, avoiding delayed funding and added fees.

Developer Conveyance

A developer prepared uniform packages for gated-lot closings

  • Each included plat, HOA covenant, and recorded maps
  • Standardized packets simplified lender review, shortened underwriting time, and improved coordination across multiple closings.

Practical Tips for Accurate and Efficient Lot Package Assembly

Small process and formatting choices significantly reduce recording errors and post-closing disputes.

Use Exact Language
Copy the legal description and recorded instrument citations verbatim to avoid ambiguity and recorder rejection.
Label Exhibits Clearly
Number and title each exhibit (A, B, Survey) so reviewers can quickly find references cited in the deed.
Check Notary Requirements
Confirm notary wording, witness counts, and any RON acceptance rules for the target county and state.
Secure an Audit Trail
When using eSignatures, retain a certificate of completion and a PDF/A export for the county recorder.
