What the Lot Purchase Information Form Is and When it Applies

A Lot Purchase Information Form collects the essential details needed to transfer ownership of a parcel of land, document the parties, and provide the legal description, purchase price, and closing terms. It typically accompanies an offer, purchase agreement, or closing package and is used by buyers, sellers, brokers, title companies, and lenders to ensure the lot is correctly identified, taxed, and recorded. The completed form supports title search, escrow instructions, property tax proration, and recording at the county recorder or land registry office.

Why a Complete Lot Purchase Information Form Matters

A properly completed form reduces delays in closing, prevents recording errors, and helps avoid tax and title complications while creating an auditable record of the transaction.

Why a Complete Lot Purchase Information Form Matters

Who Typically Prepares and Uses This Form

Accurate completion by the party responsible for providing primary data (often the seller or listing broker) speeds title clearance and recording.

  • Buyers and buyers' agents — confirm buyer identity, financing, and intended use of the lot.

  • Title companies and escrow officers — use the form to order searches, calculate prorations, and prepare recording documents.

How Real Organizations Use a Lot Purchase Information Form

Two practical examples show how completing the form supports timely closings and digital workflows.

Martin Properties (Real Estate)

Their team used an online form to capture parcel data and signatures before closing

  • Saved days per transaction by eliminating paper mail
  • They reported consistent compliance with recording requirements and faster handoffs between agent, title, and escrow, improving closing predictability.

Optica Ventures (Investment)

A small land developer standardized the form to include survey and title fields

  • Reduced title exceptions during underwriting
  • The standardized packet allowed the title company to issue commitments sooner and accelerated funding timelines for acquisitions.

Practical Tips for Accurate and Efficient Completion

Follow these practices to reduce rework, improve title clearance, and shorten time to recordation.

Use recorded sources
Always pull the legal description and APN directly from the county recorder or assessor website rather than relying on informal listings to avoid mismatches.
Validate party names
Confirm buyer and seller names against government ID or entity formation documents and record any authorized signatory titles explicitly to prevent acceptance issues.
Attach required exhibits
Include deeds, plats, and surveys as attachments so title and escrow have immediate access to referenced materials during clearance.
Keep change control
If terms change after signing, create an amendment with a new effective date and require fresh signatures rather than overwriting the original file.
