What the Marketing Advertising Connection Is

The Marketing Advertising Connection is a standardized agreement and technical onboarding form used to grant access to ad accounts, pixels, creative assets, and reporting endpoints between advertisers, agencies, and publishers. It records consent, scope of access, data categories shared, roles and responsibilities, and basic security controls so teams can enable campaigns and measurement while preserving a clear audit trail and compliance posture.

Why a Clear Connection Document Matters

A formal Marketing Advertising Connection reduces ambiguity about who can access accounts, what data may be transmitted, and when services begin or end. When executed electronically consistent with the ESIGN Act (15 U.S.C. ch. 96) and applicable state UETA/ESRA rules, it can meet legal enforceability tests for intent, consent, attribution, and record retention.

Why a Clear Connection Document Matters

Who Prepares and Receives This Document

Common users who complete or receive this document include marketing teams, agencies, publishers, ad tech vendors, and legal/compliance reviewers.

  • In-house marketing managers granting campaign access and billing permissions to external agencies.
  • Advertising agencies onboarding client ad accounts, pixels, and creative distribution rights.
  • Publishers and platforms documenting data use limitations, attribution windows, and reporting requirements.

Signatory roles vary by organization size; ensure authorized representatives sign and verify their authority before granting access.

Typical Signers and Their Responsibilities

Agency COO

The COO or operations lead authorizes agency access to client ad accounts, approves billing or spend arrangements, and coordinates technical handoffs. They verify contractual permission to share data, confirm vendor privacy controls, and sign on behalf of the agency with attestations of authority.

Marketing Director

The marketing director or head of growth approves scope, designates campaign owners, and confirms data categories permitted for use. They ensure tracking, attribution windows, and reporting formats match campaign requirements before signing access agreements.

Key Parts of a Professional Marketing Advertising Connection

A complete document balances legal clarity with technical detail so technical teams can act and counsel can confirm compliance.

Parties

Identify the legal entities involved, including full legal names, DBA names, and contact information for authorized signers and technical contacts.

Scope of Access

List specific ad accounts, platforms, pixels, conversion events, and permissions (view, edit, billing) granted to each party.

Data Sharing

Describe categories of data shared (PII, hashed identifiers, cookies), permitted uses, retention limits, and any prohibited uses.

Security Controls

Specify authentication methods, password policies, two-factor requirements, and requirements for secure transmission and storage.

Term & Termination

State effective date, end date or trigger events for termination, and procedures for access revocation and data deletion.

Legal & Privacy

Include governing law, liability allocations, and references to applicable privacy regulations and required addenda (e.g., HIPAA BAA if PHI present).

Required Information and Fields

Company Legal Name: Legal entity name as on tax records
Primary Contact Email: Primary contact email for notices
Ad Account ID: Platform account identifier
Access Scope: List platforms, pixels, conversion events
Data Types Shared: PHI, PII, hashed identifiers, cookies
Effective Date: Enter in MM/DD/YYYY format

Step-by-Step: Completing the Marketing Advertising Connection

Follow these steps to complete and distribute the connection form with minimal friction.

  • 01
Prepare Document: Populate parties, scope, and data fields
  • 02
Review Legal: Confirm governing law and privacy clauses
  • 03
Assign Signers: Specify authorized individuals and order
  • 04
Execute and Archive: Collect signatures, save final PDF, and retain audit trail

How to Configure the Online Workflow

Set up a repeatable electronic workflow so technical and legal teams receive the right inputs and notifications.

Field Configuration
Signature Order Sequential or parallel based on approval needs
Authentication Email link, SMS code, or stronger MFA
Conditional Fields Show fields only when specific answers selected
Notification Automatic copies to legal and ops contacts

Where to Send and How It’s Processed

Understand routing so approvals, technical handoffs, and archiving happen reliably.

  • Send to Legal: Legal reviews privacy, liability, and governing law
  • Send to Operations: Ops configure platform access and credentials
  • Client/Publisher Review: Counterpart confirms scope and reporting needs
  • Archive Copy: Final PDF and audit trail retained for records

Digital Signing and Distribution Requirements

Choose an e-signature workflow that supports audit trails, secure storage, and the authentication level needed for your risk profile.

  • Integrations: CRM, cloud storage, and ad platform connectivity
  • File Formats: PDF, DOCX, or exportable HTML for records
  • Authentication: Email, SMS, or advanced signer verification

Typical Timelines and Deadlines

Plan deadlines for onboarding, access revocation, and document retention so campaigns remain compliant and auditable.

Onboarding Window:

Complete access provisioning at least 3 business days before launch

Access Review:

Quarterly review of granted permissions recommended

Termination Effect:

Revoke access within 24–72 hours after termination

Record Retention:

Retain signed connection for the active campaign plus minimum retention period

Contract Renewal:

Revisit terms 30–60 days before expiration

Key Milestones for a Connection Lifecycle

Track milestones from request through revocation to maintain compliance and operational continuity.

01

Request Submitted

Initiator provides necessary IDs and scope for approval

02

Legal Review

Privacy and liability provisions are verified

03

Technical Provisioning

Credentials and pixels are configured on platforms

04

Decommission

Access removed and data copies handled per retention rules

Common Mistakes Teams Make

  • Failing to identify the authorized signer leads to rejected access requests and delays while verification is completed by legal or procurement.
  • Listing vague permissions such as 'editor access' without specifying platform or account IDs can result in overbroad privilege grants.
  • Neglecting to document data categories means downstream processors may receive PII or PHI unintentionally, increasing regulatory risk.
  • Skipping a defined offboarding process leaves stale credentials active and can enable unauthorized access after campaigns end.

Penalties and Risks from Errors

Data-Protection Fines: Potential HIPAA or FTC enforcement
Contract Liability: Breach claims and indemnity exposure
Credibility Harm: Client trust and reputational damage
Operational Downtime: Campaign pauses and revenue loss
Access Abuse: Unauthorized ad spend or configuration changes
Regulatory Notices: Required consumer or agency notifications

Practical Examples of Use

Two concise scenarios show how a connection form clarifies responsibility and accelerates setup.

Case Study 1

A mid-market retailer needs cross-platform pixels enabled quickly

  • Agency requests account access and lists pixel IDs
  • Clear scope and signer authority allowed the agency to provision pixels within 48 hours while legal preserved data-use limits and audit records for later review.

Case Study 2

A publisher accepts client creative across multiple domains

  • Client supplies hashed user lists and permitted reporting metrics
  • The connection documented retention rules and IP restrictions, avoiding a later dispute about unauthorized list reuse and ensuring consistent attribution.

Practical Tips for Accurate Completion

Adopt procedures that reduce errors and speed approvals while preserving legal clarity and auditability.

Use Exact Legal Names
Always enter the registered legal entity name and matching signer names; mismatches can delay verification and may invalidate authority assertions during disputes.
Limit Access Scope
Grant the minimum permissions required (least privilege) and document specific account IDs and pixel identifiers to avoid accidental over-permissioning and security exposure.
Record Consent Explicitly
Include an explicit electronic consent paragraph for e-signing and a statement that the signer can withdraw consent; this supports ESIGN/UETA enforceability and consumer-facing disclosure rules.
Automate Revocation
Create a documented offboarding process that automatically revokes credentials, deletes temporary data, and records completion of decommissioning steps.
