What the Marketing Advertising Review Is and when it applies

A Marketing Advertising Review is a structured approval record used to document review, compliance checks, and final sign-off for marketing materials before public release. It captures the creative assets, factual claims, required legal and regulatory checks, reviewer notes, and approval timestamps to create an auditable trail of decisions and responsibilities.

Why a formal review matters for compliance and risk control

A documented review reduces regulatory risk, supports claims substantiation, and creates a reproducible record for audits and disputes. Electronic records signed under the ESIGN Act (15 U.S.C. ch. 96) and UETA align with U.S. signature law and help demonstrate intent, consent, attribution, and retention.

Why a formal review matters for compliance and risk control

Who typically completes a Marketing Advertising Review

Teams and individuals responsible for content approval vary by organization; roles below are most common.

  • Marketing Managers coordinating campaign readiness, legal compliance checks, and delivery schedules.
  • In-house Legal or Compliance reviewers verifying claims, disclosures, and regulatory requirements.
  • External Agencies or Creative Directors submitting assets and acknowledging review comments.

Responsibilities should be assigned up front so signatory authority and timelines are clear before assets enter paid or earned channels.

Step-by-step: completing a Marketing Advertising Review

Follow these ordered steps to ensure complete, auditable approvals before publication.

  • 01
Upload assets: Attach final creative files and supporting documentation.
  • 02
Assign reviewers: Add legal, compliance, and marketing approvers in order.
  • 03
Review checklist: Complete factual claim and disclosure checks.
  • 04
Sign and record: Collect signed approval with timestamped audit trail.

Configuring the online review workflow

Set up routing and authentication rules to match your internal approval process before sending documents for review.

Field Configuration
Sender Role Marketing Manager | Initiates and assigns approvals
Approval Sequence Legal > Compliance > Creative | Sequential approval order
Authentication Method Email link or SMS code | Signer verification
File Types Accepted PDF, DOCX, JPG | Common creative formats

Typical submission and approval flow

A predictable flow reduces delays and ensures reviewers get required context and documentation.

  • Submit: Sender uploads assets and selects reviewers.
  • Notify: Platform sends review request with asset links.
  • Review: Design, legal, and compliance complete checklist.
  • Approve: Sign-off captured with timestamped audit record.

Technical considerations for eSubmission and distribution

Confirm file formats, authentication, and integrations before sending reviews to avoid processing delays.

  • File Formats: PDF, DOCX, HTML, XLSX supported
  • Authentication: Email link, SMS code, or stronger methods
  • Integrations: Salesforce, NetSuite, Google Workspace compatibility

Align technical settings with legal and retention policies so signed records are reproducible and searchable across systems.

Core elements to include in a professional review

Ensure each review form captures content, claims, required checks, and final approvals to create a defensible audit trail.

Campaign ID

Unique identifier linking the review to project plans, budgets, and publication schedules for traceability.

Creative Files

Attach final artwork, text files, and alternate sizes so reviewers see exactly what will run.

Claims Log

Document factual statements, substantiation sources, and required citations for regulatory or consumer protection review.

Disclosure Checklist

Record required legal disclosures, disclaimers, and format rules tied to the medium and audience.

Reviewer Roles

List required signatories and their order to prevent missed approvals or unauthorized publication.

Audit Trail

Capture timestamps, IP addresses, and action history to support later compliance reviews.

Security and compliance controls to verify

Encryption in transit: TLS 1.2/1.3
Encryption at rest: AES-256
Audit standard: SOC 2 Type II
HIPAA support: BAA required for PHI
FDA records: 21 CFR Part 11 compliant
International: GDPR and CCPA controls

Common mistakes to avoid when preparing reviews

  • Submitting preliminary or draft creative as final, leading to inconsistent assets and rework across channels.
  • Failing to document the factual basis for claims, which increases regulatory and consumer protection risk.
  • Using ambiguous version labels instead of a clear asset ID, causing older files to be published by mistake.
  • Not assigning explicit signatory authority or order, which can create gaps in legal accountability.

Risks and potential penalties for inadequate reviews

Regulatory fines: Enforcement for deceptive claims
Contract liability: Breach claims from partners or clients
Advertising takedown: Platform removal or suspension
Reputational harm: Lost consumer trust
Tax reporting errors: Incorrect deductions or credits
Recordkeeping violations: Failure to retain proof of review

Timelines and typical turnaround expectations

Establish clear lead times for each review stage to support scheduling and media buys.

Submission lead time:

Deliver assets at least 5 business days before planned publication.

Legal review:

Allow 3 business days for claims and disclosure checks.

Compliance review:

Allow 2 business days for regulator-specific checks.

Final approval:

Reserve 1 business day to collect signatures and lock files.

Scheduling buffer:

Add extra time for revisions or stakeholder escalations.
