What the Marketing Campaign Exhibit Is and when it’s used

A Marketing Campaign Exhibit is an attached schedule or appendix to a primary agreement that documents campaign scope, deliverables, timelines, budget, reporting requirements, and approval checkpoints. It translates high-level marketing commitments into operational tasks and measurable milestones so legal, finance, and operations teams can verify obligations, calculate payments, and confirm performance. Exhibits are commonly used with master services agreements, creative statements of work, media buying contracts, and vendor engagement letters to ensure the campaign’s parameters and acceptance criteria are explicit and enforceable.

Why including a clear Marketing Campaign Exhibit matters

A well-drafted exhibit reduces ambiguity, establishes measurable deliverables and approvals, and aligns marketing, legal, and finance on scope and payment terms.

Why including a clear Marketing Campaign Exhibit matters

Who typically prepares and relies on the Marketing Campaign Exhibit

Teams across marketing, procurement, and legal prepare or review the exhibit before execution.

  • Marketing managers coordinating assets, channels, and KPIs for campaign delivery and measurement.
  • Procurement or vendor managers documenting payment milestones, invoice triggers, and acceptance criteria.
  • Legal and finance teams confirming intellectual property, indemnity, and invoicing language prior to signing.

Clear roles reduce review cycles and help ensure the exhibit matches operational needs and contractual terms.

Step-by-step: complete the Marketing Campaign Exhibit

Follow these sequential steps to complete the exhibit so it is consistent with the master agreement and executable by operations.

  • 01
Prepare Scope: Define campaign objectives, channels, and deliverables with measurable KPIs.
  • 02
Set Timeline: List milestone dates and approval windows for each deliverable.
  • 03
Confirm Budget: Itemize fees, payment triggers, and expense reimbursement rules.
  • 04
Assign Approvals: Name approvers and specify required sign-offs for acceptance.

Configure an online completion workflow for the exhibit

When using an e-signature platform, set up the template and signer workflow to match legal and operational requirements.

Field Configuration
Template Name Use a clear name matching the contract (e.g., 'Exhibit A - Q3 Campaign').
Signer Order Set sequential or parallel routing to control approval flow.
Authentication Choose email, SMS code, or stronger authentication if required.
Required Attachments Mark creative briefs, SOWs, and budgets as mandatory uploads.

Typical routing for the Marketing Campaign Exhibit

A common signing sequence reduces bottlenecks and keeps campaign launch timelines on track.

  • Upload Document: Sender uploads finalized exhibit to the signing platform.
  • Place Fields: Add signature, date, and text fields for each party.
  • Send to Signers: Send in defined order or via shared link.
  • Capture Audit Trail: Platform records timestamps, IPs, and actions.

Digital signing and platform compatibility considerations

Modern exhibits are commonly completed and signed online; verify integrations and file formats before starting.

  • File Formats: PDF and DOCX supported for templates and signatures.
  • Integrations: Connectors for Salesforce, NetSuite, and Google Workspace streamline routing.
  • Authentication Options: Email, SMS, KBA or SSO as required by policy.

Confirm that your platform supports required formats and authentication to preserve legal validity and operational traceability.

Common dates and deadlines to include in the exhibit

Specify absolute dates and relative timing to avoid ambiguity about deliverable due dates and approval windows.

Production Deadline:

Final assets due by a specific MM/DD/YYYY date to meet launch schedules.

Approval Window:

Allow a defined number of business days for approvals after submission.

Campaign Launch:

Specify launch date and any phased rollout timing.

Reporting Dates:

Set dates for interim and final performance reports.

Invoice Due Date:

Define payment terms (net 30, net 45) tied to acceptance.

Track the exhibit lifecycle with discrete milestones so stakeholders know when approvals and actions are due.

Detailed milestone schedule, revision windows, and final delivery date tied to campaign launch.

Budget

Itemized costs, variable spend limits, payment milestones, and expense reimbursement rules.

Acceptance Criteria

IP and Usage

Specify ownership, license duration, media types permitted, and post-campaign usage rights.

Security and compliance items to record in the exhibit

Encryption: TLS 1.2/1.3; AES-256 at rest.
Audit Trail: Timestamped signing history available.
HIPAA: BAA required for protected health information.
ESIGN/UETA: E-signatures valid under federal and state law.
SOC 2: SOC 2 Type II compliance available.
21 CFR Part 11: Options for FDA-regulated records.

Common pitfalls when preparing a Marketing Campaign Exhibit

  • Ambiguous deliverable descriptions that leave acceptance subjective and provoke disputes during launch.
  • Missing or inconsistent dates between the exhibit and the master agreement, causing confusion on which date controls.
  • Unclear payment triggers tied to informal approval methods rather than documented acceptance criteria.
  • Omitting reporting templates or metrics, which leads to retroactive disagreements about performance measurement.

Consequences of an incomplete or incorrect exhibit

Delayed Launch: Missed campaign dates and lost marketing windows.
Payment Disputes: Withheld invoices or delayed payments.
Contract Breach: Claims for damages or contract remedies.
Regulatory Risk: Privacy breaches may incur regulatory scrutiny.
Reputational Harm: Public-facing errors reduce brand trust.
Operational Cost: Increased management time and rework.

Real-world examples of using an exhibit to streamline approvals

These short case arcs show how organizations used exhibits to reduce back-and-forth and accelerate campaign launches.

Martin Properties

Tim Martin’s team moved approvals online to avoid in-person signatures and cut turnaround time substantially.

  • The exhibit listed deliverables and exact approval steps.
  • The result was consistent compliance and faster execution across property marketing campaigns, with fewer disputes over creative acceptance.

Fertility Centers of Illinois

John Butler’s organization standardized exhibits to match billing cycles and privacy rules.

  • Each exhibit included reporting templates and signatory authority.
  • Standardization simplified audits, ensured consistent data handling, and reduced administrative overhead during campaign launches.

Practical tips to complete exhibits quickly and accurately

Adopt consistent templates and review checklists so each exhibit is complete before routing for signature.

Use a standard template
A reusable exhibit template reduces drafting time, ensures consistent clauses, and helps legal and finance perform rapid reviews.
Be specific with metrics
Define KPIs numerically (for example, impressions or conversion targets) and supply measurement windows to avoid ambiguity.
Require attachment lists
List required attachments (creative specs, media plans) to prevent missing deliverables at sign-off.
Match signature names
Ensure printed names match corporate records to avoid enforceability issues and delays in execution.
