What the Marketing Campaign Guidelines Cover

The Marketing Campaign Guidelines is a structured document that standardizes how campaigns are planned, approved, executed, and measured. It includes campaign objectives, target audiences, messaging frameworks, channel and cadence plans, asset lists, roles and responsibilities, approval workflows, and required compliance checks. The Guidelines are intended to reduce ambiguity between marketing, legal, and external partners while preserving an auditable record of decisions and approvals. Where electronic signatures or eSubmission are used, the Guidelines reference ESIGN and UETA-compliant processes to ensure legal enforceability.

Why Adopt a Formal Guideline for Campaigns

A documented Guideline improves consistency, reduces review cycles, and helps manage regulatory and privacy obligations. It clarifies ownership, preserves an audit trail of approvals, and supports faster execution while reducing rework and legal risk.

Why Adopt a Formal Guideline for Campaigns

Who Typically Uses These Guidelines

Teams and stakeholders who participate in campaign planning and execution use the Guidelines to coordinate work and approvals.

  • Marketing managers and campaign owners — centralizes scope, KPIs, budget, and launch timelines across teams.
  • Legal and compliance reviewers — verifies advertising claims, data use, and contract terms before campaign release.
  • Agency partners and vendors — receive standardized asset lists, technical requirements, and sign-off steps to reduce back-and-forth.

Use the Guidelines as the single source of truth for campaign decisions, handoffs, and post-mortem analysis.

Primary Signatories and Their Roles

Marketing Director

Responsible for final campaign strategy and budget sign-off. Signs to confirm objectives, target audiences, and performance targets; may delegate operational approvals but retains strategic accountability for campaign outcomes.

Legal Counsel

Reviews claims, compliance with advertising rules, data processing and privacy implications, and contract terms with partners. Signs to attest that legal and regulatory risks have been addressed prior to public launch.

Core Components of a Professional Campaign Guideline

A complete Guideline bundles planning, approvals, and measurement into a single document so teams can execute with clarity and accountability.

Campaign Overview

Concise statement of objectives, business rationale, target metrics, and primary offer. Sets expectations for success criteria, allowable audience segments, and any exclusions or embargoes applied to the campaign.

Target Audience

Detailed audience definitions including demographics, segments, behavioral triggers, and sample lists or suppression rules. Include consent status and any restrictions on processing personal data.

Messaging & Creative

Approved messaging pillars, creative directions, mandatory disclaimers, and examples of acceptable copy. Attach final art files and accessibility checks required before publishing.

Channels & Cadence

Channel mix with planned send dates, frequency caps, sequence logic, and tracking parameters. Specify vendor IDs, campaign parameters, and UTM conventions for consistent measurement.

Approval Workflow

Role-based signing order and required reviewers, including legal and privacy checkpoints. Define authentication level for signatures and required documentation for each approver.

Measurement & Reporting

Primary KPIs, attribution window, reporting cadence, and post-campaign analysis template. Identify responsible owners for data collection and reconciliation procedures.

Step-by-Step: From Draft to Launch

A clear sequence reduces bottlenecks and ensures required compliance checks occur before publication.

  • 01
Draft Plan: Compile objectives, audience, messaging, channels, budget, and assets.
  • 02
Assign Roles: Set campaign owner, approvers, and technical contacts.
  • 03
Legal & Privacy Review: Obtain legal sign-off on claims and data use.
  • 04
Finalize and Sign: Execute approvals and archive signed Guideline.

Configure the Digital Approval Workflow

Use these configuration settings when setting up eSubmission and automated routing for campaign approvals.

Field Configuration
Approval Flow Sequential routing with role-based steps and conditional branching.
Authentication Email link or SMS code; stronger methods for sensitive approvals.
Template Lock required fields and attach supporting documents automatically.
Notifications Automated reminders and overdue escalations to designated owners.

How eSubmission and Review Typically Flow

A predictable review flow reduces errors and preserves an auditable trail of decisions.

  • Upload Guideline: Sender uploads the completed Guideline and attachments.
  • Place Fields: Add signature, date, and checkbox fields for reviewers.
  • Send for Review: System routes documents to approvers in defined order.
  • Capture Audit: Signed copy and audit trail are automatically stored.

Technical Requirements and Supported Formats

Ensure the signing platform supports required integrations, file formats, and authentication methods before rollout.

  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • File Formats: PDF, DOCX, HTML, Excel supported
  • Authentication: Email, SMS, KBA, or SSO where required

Confirm vendor compliance requirements (HIPAA BAA, 21 CFR) for regulated campaigns and validate encryption in transit and at rest.
