What the Marketing Campaign Logo Refresh Form Is

The Marketing Campaign Logo Refresh Form is a structured request and approval document used to update, standardize, and authorize new logo artwork for a campaign. It collects identity and usage details, source files, color specifications, and licensing or trademark confirmations so designers, legal, and marketing can coordinate a controlled rollout across channels while preserving brand consistency and compliance.

Why a Formal Logo Refresh Form Matters

A dedicated form centralizes approvals, reduces versioning errors, and documents consent and asset provenance. When executed electronically it remains legally admissible under ESIGN (15 U.S.C. ch. 96) and state UETA laws, provided intent, consent, attribution, and reliable record retention are satisfied.

Why a Formal Logo Refresh Form Matters

Who Typically Completes This Form

Marketing, legal, and creative teams complete or initiate this form to manage logo changes across channels and partners.

  • Marketing Manager — Submits branding rationale, campaign scope, and target channels for logo updates.
  • Brand/Creative Lead — Provides design files, color values, and production-ready formats for implementation.
  • Legal / Compliance — Confirms trademark ownership, licensing terms, and any usage restrictions.

The form also serves agencies and external vendors who need documented permission and technical specifications before publishing assets.

Representative Signatories

Marketing Manager

Jane Doe, Brand Marketing Director. Responsible for initiating logo refresh requests, defining campaign objectives, verifying usage contexts, and ensuring assigned approvers complete review within the project timeline.

Agency Creative Lead

John Smith, Creative Director (agency). Responsible for uploading source artwork, confirming file formats and color systems, and acknowledging acceptance of any licensing or usage constraints specified by the client.

Essential Elements to Include in the Form

A professional logo refresh form captures identification, technical assets, usage limits, approval workflow, and delivery expectations to avoid misapplication and legal exposure.

Project ID

Assign a short identifier and campaign name so asset management and version control reference the correct initiative across systems and communications.

Source Files

Request original vector files (SVG, EPS, AI) plus high-resolution PNG/JPEG. Specify color profiles and any layered source documents required for production.

Usage Scope

Define permitted channels, geographic limits, and duration of use. Clear scope prevents unintended commercial use or conflicts with existing licensing.

Visual Guidelines

Include spacing rules, minimum sizes, acceptable color variations, and examples of incorrect usage to keep the refreshed logo consistent across placements.

Approval Workflow

List approvers, required signatures, and order of review so the document produces a clear audit trail and avoids parallel, conflicting approvals.

Delivery Specs

Specify final file formats, naming conventions, and handoff location (asset library or CMS) to ensure production teams receive usable files.
