Practical tips to complete the proposal accurately

Adopt standardized fields, templates, and review checklists to reduce errors and speed approvals while maintaining compliance.

Use a standard template
Standardized templates reduce omissions and ensure every campaign includes necessary legal language, consent source documentation, and fields for signatures and dates.
Document consent sources
Record the list origin and opt-in evidence in the proposal. Maintain timestamps and any acquisition terms so you can substantiate permission if questioned.
Require named approvers
Specify approvers by role and name in the proposal to avoid ambiguity. Capture electronic signatures and dates for each required approver before scheduling sends.
Maintain suppression lists
Attach and version-control suppression lists and do-not-contact records. Update them immediately after opt-outs to protect deliverability and compliance.

Real-world examples of how teams use proposals

These short case summaries show how organizations document campaigns and use eSignatures to speed approvals and preserve audit trails.

Optica Ventures (Brian Fitzgibbons)

Optica standardized a single proposal template to align teams and reduce approval friction.

  • They attached explicit list consent evidence to each campaign.
  • As a result, Optica reduced back-and-forth approvals, maintained consistent compliance records, and sped campaign launches while keeping a clear audit trail for partners and internal reviewers.

Tech Data (Bob Dutkowsky)

Tech Data integrated proposal approvals with its revenue systems to link spend and performance.

  • The company required legal sign-off for partner promotions.
  • This ensured promotional terms matched billing arrangements, improved internal accountability, and provided documented evidence for downstream reconciliation and compliance checks.

Technical and integration considerations

Confirm integrations, file formats, and authentication methods before sending the proposal for signature.

  • Integrations: Salesforce, NetSuite, Google Workspace supported
  • File formats: PDF and DOCX recommended for archive
  • Authentication: Email link or SMS code options

Common preparation mistakes to avoid

  • Failing to document opt-in source or permission dates, which weakens your ability to defend against spam complaints or privacy investigations.
  • Using inconsistent campaign names or template versions that break analytics linking and make audit reconstruction difficult for compliance reviewers.
  • Missing unsubscribe or suppression logic in the proposal, which can lead to regulatory complaints and ISP deliverability consequences for future sends.
  • Collecting signatures without an audit trail or proper authentication, reducing evidentiary value under ESIGN and UETA if approval authority is disputed.
