What the Marketing Exhibitor Flyer Is and When It’s Used

A Marketing Exhibitor Flyer is a one- or two-page printed or digital promotional sheet prepared by an event exhibitor to summarize product or service highlights, booth location, and contact details for show attendees. It typically includes the exhibitor name and logo, event name and date, booth number, concise product descriptions or offers, essential visuals, and legal or privacy disclosures where required. Flyers are used at trade shows, expos, conferences, and networking events to support lead capture, brand recognition, and post-event follow-up in both physical and electronic formats.

Why a Clear Exhibitor Flyer Matters

A well-structured flyer communicates key value quickly to busy attendees, reduces confusion at the booth, and preserves consistent branding across staff and partners. For events, concise, accurate flyers help capture leads, support compliance for promotions, and provide a durable record for follow-up communications.

Why a Clear Exhibitor Flyer Matters

Who Prepares and Uses Exhibitor Flyers

Exhibitor flyers are prepared by marketing teams, event coordinators, sales representatives, and third-party print vendors to promote booth activities and capture attendee interest.

  • Marketing teams producing brand-consistent collateral for events and campaigns.
  • Sales staff using flyers as leave-behinds during meetings and demos.
  • Event coordinators managing proofs, vendor orders, and booth inventories.

Depending on scale, creation and approval workflows may involve legal review for claims, compliance checks for regulated industries, and digital distribution via email or event portals.

Step-by-Step: Create and Finalize Your Flyer

Follow a simple sequence from brief to distribution so proofs, legal checks, and production align with event deadlines.

  • 01
Draft Content: Collect copy, images, and legal text for review.
  • 02
Design Layout: Place logo, headlines, images, and contact fields clearly.
  • 03
Review & Approve: Have marketing and legal sign off before print proofs.
  • 04
Produce & Distribute: Order prints and prepare digital files for emailing or event upload.

From File to Floor: Typical Distribution Workflow

A standard production chain reduces last-minute issues: create, approve, print, and deliver to the booth, with parallel digital distribution for registrants.

  • Create File: Generate print-ready PDF or editable DOCX at final size.
  • Proofing: Circulate proofs for branding and compliance approval.
  • Print Run: Send approved files to printer with quantity and paper specs.
  • Delivery: Ship to event address or deliver directly to the booth.

Recommended File and Print Settings

Optimize files for reliable print output and consistent color reproduction across vendors.

Field Recommended Setting
File format PDF/X-1a or flattened PDF at final trim size
Page size Standard 8.5x11 or custom 4x6 postcard dimensions
Resolution 300 DPI for images and graphics
Color profile CMYK for commercial print; include bleed and crop marks

Digital Distribution and Platform Compatibility

Deliver digital flyers as PDF or DOCX and verify compatibility with event portals and email clients before sending.

  • File formats: PDF, DOCX, JPEG supported
  • Integrations: Salesforce, Google Workspace, Microsoft 365
  • Accessibility: PDF/A or tagged PDF recommended

Export and Save Options for Final Files

Master File

Keep an editable source (InDesign, Illustrator) for future edits; archive as DOCX if needed.

Print PDF

Export a print-ready PDF with bleed, crop marks, and CMYK color profile.

Web PDF

Create a compressed PDF for emailing and event site uploads.

Image Exports

Save high-res JPEG or PNG for social and online listings.

Common Mistakes to Avoid When Preparing Flyers

  • Using low-resolution images that appear pixelated when printed; always verify 300 DPI source files before production.
  • Failing to confirm booth number with event organizers, which causes misdirected attendees and wasted printing costs at scale.
  • Omitting required legal disclaimers or privacy language when collecting attendee information at the booth or via QR forms.
  • Mixing multiple typefaces, colors, or inconsistent branding elements that reduce trust and make the flyer appear unprofessional.

Risks and Compliance Considerations

False Advertising: Potential fines or claims
Trademark Infringement: Cease-and-desist risk
Privacy Violations: State law penalties
Permit Noncompliance: Event access denied
Inaccurate Contact: Lost leads and disputes
Copyright Misuse: Removal or legal action

Production and Lead Time Deadlines to Track
