What a Marketing Exhibitor Packet Is and what it contains

A Marketing Exhibitor Packet is a consolidated document that event organizers provide to companies participating as exhibitors. It combines logistics, branding requirements, asset specifications, order forms, pricing for booth upgrades and sponsorships, rules and site maps, submission deadlines, and contact information for production and show services. The packet standardizes required deliverables (artwork, proofs, measurements) and explains approval steps so both organizers and exhibitors share a single source of truth for promotional materials and on-site setup.

Why using a single packet matters

A clear Marketing Exhibitor Packet reduces misunderstandings, shortens review cycles, enforces brand standards, and centralizes billing and approvals. It helps organizers collect compliant materials on schedule and gives exhibitors a predictable path to meet show requirements.

Why using a single packet matters

Who typically prepares or receives the packet

The packet is exchanged between event organizers and exhibitor teams, and shared with service vendors for production and installation.

  • Exhibitor marketing teams preparing logos, campaign copy, and promotional assets for the show.
  • Event organizers and production coordinators managing schedules, approvals, and vendor orders.
  • Third-party vendors (printers, AV, drayage) that require specifications to quote and deliver services.

Effective packets align expectations across multiple stakeholders—marketing, operations, production houses, and on-site staff—reducing last-minute issues.

Essential sections to include in a professional packet

A complete packet groups technical specifications, deadlines, pricing, branding rules, and administrative terms to make review and fulfillment efficient for both parties.

Contact & Logistics

Primary organizer contacts, on-site operations lead, emergency phone numbers, loading dock instructions, and preferred shipping carriers plus arrival windows for freight and materials.

Booth Specifications

Exact booth dimensions, ceiling heights, floor loading limits, electrical and network access details, and permitted fixture types so vendors produce compliant builds.

Branding & Creative Assets

Required file formats, resolution and color profiles, logo usage rules, trademark attributions, and acceptable messaging to preserve brand consistency and avoid rework.

Promotional Opportunities

Optional sponsorship packages, upgrade pricing for premium placements, lead-capture options, and any cross-channel promotion terms that affect visibility and cost.

Deadlines & Deliverables

Submission timelines for artwork, proof approvals, shipment arrivals, and final balance due dates with explicit consequences for missed cutoffs.

Terms & Payment

Billing procedures, cancellation and refund policies, liability limitations, insurance expectations, and any required certificates or permits for the exhibit.

From packet creation to delivery: the routing flow

A typical flow moves the packet from exhibitor to organizer, then to production vendors and back for final approval.

  • Create packet: Organizer drafts packet with templates and rules.
  • Send to exhibitor: Exhibitor completes forms and uploads assets.
  • Review cycle: Organizer and vendor review and request revisions.
  • Distribute orders: Approved assets sent to production and logistics.

Technical formats, delivery channels, and integrations

Ensure the packet specifies accepted file types, maximum sizes, and any required metadata before upload.

  • Supported formats: PDF, DOCX, JPEG, PNG
  • Integrations: Google Drive and Box supported
  • Authentication: Email or SMS codes

Common mistakes to avoid when preparing the packet

  • Uploading low-resolution or incorrectly sized artwork that fails print preflight and requires last-minute corrections.
  • Missing the artwork or payment deadline, which can trigger expedited fees and delay booth setup.
  • Providing incomplete contact or billing information that prevents organizers from issuing invoices or confirmations.
  • Ignoring venue rules (electrical loads, fire code clearances) that may force on-site modifications and additional charges.

Consequences of incomplete or incorrect submissions

Late fees: Daily or fixed late charges
Artwork rejection: Rework required before production
Booth relocation: Fees for changing assigned space
Brand removal: Noncompliant materials withheld
Forfeit slot: Loss of reserved space
Tax obligations: Sales/permit liabilities possible
