What the Marketing Hubspot Instance Form Is

The Marketing Hubspot Instance Form collects the standardized data an organization needs to provision, configure, and authorize a new HubSpot marketing instance. Typical fields capture account and billing details, primary and backup administrators, domain and DNS settings, data processing preferences, integration endpoints, and any compliance or data residency requirements. Completed forms support approvals, technical onboarding, and audit trails; when executed electronically they meet U.S. e-signature standards (ESIGN/UETA) provided intent, consent, attribution, and retention criteria are satisfied.

Why a Standardized Form Matters for Provisioning

A single, consistent form reduces configuration errors, documents approval decisions, and shortens onboarding time by centralizing required inputs. Using an electronic form with a verifiable audit trail preserves signer intent and supports legal admissibility under the ESIGN Act and UETA.

Why a Standardized Form Matters for Provisioning

Who Typically Completes and Reviews This Form

The form is completed by marketing operations or the designated HubSpot administrator and routed to technical and finance approvers.

  • Marketing Operations manager: Prepares account details and campaign requirements for provisioning.
  • IT or DevOps administrator: Verifies DNS, SSO, and firewall settings before approving the request.
  • Finance or Procurement lead: Confirms billing account, payment method, and contract terms for activation.

Final sign-off commonly comes from an IT owner or procurement contact before provisioning begins.

Essential components of a professional instance form

A well-designed form balances clarity, required technical inputs, and compliance checks to speed provisioning and reduce rework.

Clear ownership

Designate primary and backup administrators with corporate email addresses and phone numbers to avoid account lockouts during setup.

Billing details

Collect billing contact, payment method, and purchase order number to ensure the account activates without billing disputes.

DNS and domain data

Capture exact host records, TTL expectations, and the DNS owner so propagation and SSL validations run smoothly.

Security and SSO

Record SAML identity provider details, required attributes, and certificate expiry dates to prevent authentication failures.

Compliance options

Include a checkbox for Data Processing Addendum, data residency requests, and HIPAA or FERPA flags when applicable.

Attachments and evidence

Require screenshots or export files for DNS settings, domain ownership verification, and any signed agreements or PO documents.

Required information and fields at a glance

Account name: Exact corporate billing name
Hub ID / Tenant: HubSpot account identifier
Admin email: Corporate address required
Billing contact: Name, phone, and email
Authorized domains: Full domains and DNS owner
Compliance flags: DPA, HIPAA, or data residency

Penalties and practical risks from incorrect forms

Provisioning delay: Activation postponed
Billing errors: Incorrect invoices issued
Access issues: Admin lockouts
Compliance exposure: DPA or HIPAA gaps
Integration failures: CRM sync broken
Data loss risk: Migration failures

Common mistakes to avoid when preparing the form

  • Entering a personal email for the primary admin instead of a corporate account, which can delay SSO configuration and support escalations.
  • Providing incomplete DNS information or screenshots that omit TTL or full host names, causing SSL or domain verification failures.
  • Skipping the Data Processing Addendum or failing to note required data residency, which can create compliance issues for regulated industries.
  • Not routing the form to finance before provisioning, resulting in unexpected billing holds or activation delays.

Expected timelines and processing expectations

Typical timelines help set expectations for stakeholders and identify when follow-up is required.

Provisioning SLA:

3–10 business days after approvals, depending on complexity

DNS propagation:
